Curogram protects patient data with layered technical, administrative, and physical safeguards aligned to HIPAA requirements for confidentiality, integrity, and availability across messaging, forms, and telehealth workflows.
Encryption in transit and at rest: All patient communications, forms, and attachments are transmitted over TLS-encrypted channels and stored on secure cloud infrastructure with encrypted databases and controlled access, supporting end-to-end protection for PHI exchanged through two-way texting, telemedicine, and mass notifications.
HIPAA-compliant platform and policies: The system is designed specifically for healthcare use cases, enforcing HIPAA privacy and security rules across reminders, intake, and telehealth, with audit-friendly logging of user and message activity to satisfy compliance reviews and documentation needs.
Access controls and permissions: Role-based access, team/shared inbox governance, and user management guardrails ensure only authorized staff can view, respond to, or export PHI, reducing the risk of inappropriate disclosure and supporting least‑privilege principles in daily operations.
Secure telemedicine: Video visits run on a HIPAA-compliant, encrypted workflow that does not require patients to download a separate app, minimizing device risk and improving adherence to secure session setup and identity confirmation practices.
Data minimization and EMR-integrated workflows: Bidirectional integrations with EHR/practice management systems eliminate duplicate entry and keep a single source of truth, lowering data handling errors and unnecessary PHI copies across systems and exports.
Audit logging and monitoring: Centralized conversation histories, delivery status, template usage, and staff actions create traceability for compliance audits, incident investigations, and continuous improvement of communication policies and retention settings.
Configurable retention and consent: Practices can standardize consent capture via digital intake, apply message/form templates with required disclosures, and align retention settings with internal policies and payer or regulatory guidance to meet ongoing governance needs.
Secure forms and documents: Mobile-friendly pre-visit forms and uploaded documents are processed through authenticated, encrypted channels and stored in controlled repositories, reducing paper exposure, transcription errors, and unsecured email exchanges.
Curogram follows a continuous update cycle, delivering new features, enhancements, security patches, and workflow improvements on a rolling basis—often monthly or even more frequently. The platform manages releases using cloud-native technology, ensuring that all customers benefit from the latest features automatically, with minimal disruption or manual intervention.
Most product updates—including feature launches, UI enhancements, and automation improvements—are pushed directly via the cloud and require no local installations or downtime. These updates become instantly available to all users, whether they access Curogram via web, mobile, or integrated EMR systems.
Change management is tightly coupled with user communication. Curogram maintains a public “Product Updates” blog and news section to announce new releases, outline changes, and highlight feature benefits for practice managers and staff. Notifications of critical system or workflow changes are provided through dashboard banners, admin emails, or in-app messages to ensure transparent adoption and quick adjustment.
For new features or significant module launches (such as deeper telehealth, new EHR integrations, or analytics upgrades), Curogram provides accompanying training resources—such as support articles, step-by-step guides, and sometimes quick webinars—to help users and admins get up to speed without risk of workflow disruption.
Curogram’s policy centers on provider control of PHI, clear processor boundaries, and practical data export paths to avoid vendor lock‑in. In short, healthcare organizations own their clinical and operational data, while Curogram processes it to deliver messaging, intake, reminders, telehealth, and analytics—with HIPAA safeguards and administrative controls for access, retention, and consent.
Data ownership: Patient information, messages, forms, schedules, and related clinical/operational records remain the property of the healthcare organization; Curogram hosts and transmits this data solely to provide the contracted services in a HIPAA‑compliant manner, not for resale or unrelated secondary use.
Processor role and HIPAA scope: The platform functions as a secure service provider for PHI, enforcing encryption, auditability, and role‑based access while allowing organizations to define who can view, send, export, or delete data, consistent with HIPAA’s minimum necessary standard.
Portability and export: Practices can export patient contacts, conversation histories, appointment data, and form submissions for migration or external reporting, and leverage bidirectional EHR/PM integrations (e.g., NextGen, eClinicalWorks, DrChrono, athenahealth, Prime Clinical) to maintain a single source of truth and reduce duplicate data entry, supporting operational portability.
Consent and retention governance: Digital intake and templated communications capture required consents and disclosures; organizations can align message/form retention and access rules with internal policy and payer/regulatory requirements, preserving compliance during transfer or deprovisioning.
Post‑termination considerations: Before contract end or deactivation, organizations are expected to complete necessary exports and confirm EHR sync status so records persist in their systems; Curogram’s integrations and CSV/API export options facilitate offboarding without data loss or undue friction.
Curogram is designed to scale flexibly, letting practices start small and expand features, users, and message volume without long-term lock‑in, while still keeping billing predictable and admin‑controlled.
Month‑to‑month flexibility: Subscriptions are offered without long‑term contracts, so practices can expand or reduce their usage footprint over time without multi‑year commitments, aligning spend to demand cycles or seasonal programs.
Start small, add modules: Organizations can begin with core two‑way texting and reminders, then add capabilities like telemedicine, digital intake, mass texting, and reputation management as needs grow; pricing is customized and additive, avoiding forced bundles.
Scale users and locations: Admins can onboard additional users and new locations as the practice grows; provisioning is handled centrally and typically reflected in the monthly subscription, so teams can scale quickly.
Integration‑first portability: As organizations add or consolidate EMRs/PMs, Curogram’s integration model supports growth or streamlining without re‑platforming; bidirectional sync keeps a single source of truth during scale‑up or scale‑down transitions.
Administrative control: Seat and feature changes are managed through account management and support, with rapid turnarounds; this enables quick adjustments for staffing changes, service‑line expansions, or pilot programs.
No punitive true‑down terms: Because contracts are month‑to‑month, organizations can reduce modules or volumes without waiting for an annual renewal window, minimizing shelfware risk and supporting continuous right‑sizing.
Curogram’s contract renewal and cancellation terms are structured to give clinics flexibility while maintaining clarity around payment obligations, data retention, and service continuity. The company’s Master Subscription Agreement (MSA) and support documentation establish transparent month-to-month billing, optional renewals, and straightforward termination procedures, all designed to minimize vendor lock-in while ensuring secure deactivation workflows.
Contract duration and renewal: Curogram subscriptions operate primarily on a month-to-month basis, allowing clinics to renew automatically each billing cycle or terminate service at their discretion without long-term commitments. This structure aligns with the company’s promise of “love it or leave it” flexibility, giving customers full control to scale or cancel service anytime without financial penalties tied to yearly contracts.
Notice period: Clients retain the right to cancel their subscription by submitting a cancellation notice before the next billing cycle to avoid renewal charges. In practice, clinics can cancel from their account portal or by contacting the support team before the renewal date to ensure the service concludes cleanly at the end of the paid term.
Automatic renewals: Unless a customer issues a cancellation notice, Curogram automatically renews the subscription for subsequent monthly terms, maintaining service continuity. This keeps access uninterrupted for operational systems tied to reminders, forms, or integrations, but does not impose multi-year financial lock-ins.
Early termination conditions: Because Curogram uses monthly renewals, there are no mid-term termination fees or prorated charges beyond the current billing period. Customers remain responsible for any outstanding balances incurred before the effective cancellation date. Multi-location or enterprise accounts governed under special order forms may have individualized early termination clauses.
Termination for breach or insolvency: Either party may terminate the agreement immediately in cases of non-payment, breach of contract, insolvency, or misuse of the platform. Upon breach-related termination, clients must pay outstanding fees, while Curogram commits to ending access without continuing charges once obligations are met.
Effect of termination: After expiration or cancellation, all user access, integrations, message archives, and related licenses are disabled. Curogram requires clients to export any necessary patient communication records or form data before termination. Within 10 business days of closure, customers must delete or return confidential materials and certify that all accounts and backups associated with Curogram have been securely removed from their systems.
Refund policy: Curogram’s contracts and standard SaaS practices specify that payments already made are non-refundable. However, since service is billed monthly and without long-term commitments, customers avoid large prepaid costs tied to annual licenses.
Curogram meets key healthcare compliance standards designed to protect patient privacy, ensure secure handling of health information, and support interoperability within clinical workflows.
HIPAA Compliance: Curogram is fully HIPAA-compliant, employing encryption and robust technical, administrative, and physical safeguards to ensure the confidentiality, integrity, and availability of protected health information (PHI) throughout all messaging, forms, reminders, and telemedicine interactions. The platform is designed to support covered entities and their business associates, meeting all HIPAA Security and Privacy Rule requirements for cloud-based communications and integrations.
HITECH Alignment: Curogram’s protocols and architecture comply with HITECH Act requirements regarding PHI breach notifications, EHR security, and digital patient engagement, supporting organizations navigating meaningful use and audit-readiness.
Data Security and Privacy: Curogram leverages state-of-the-art encryption for data in transit and at rest, maintains strict access controls, logs user and communication activity, and supports customizable consent, retention, and auditability to help clinics meet their specific regulatory obligations.
Practice Management and EHR Compliance: Integrations with EHR and practice management systems are structured to honor relevant health IT and privacy standards—providing bidirectional data flow and minimizing manual entry errors that can result in privacy breaches or data inconsistencies.
Business Associate Agreements (BAA): The platform offers BAAs to customers, formalizing Curogram’s obligations around privacy, data security, breach notification, and US-specific healthcare data handling.
