ZibMEDS typical implementation process:
Consultation & Requirement Gathering: ZibMEDS begins implementation with an initial consultation to understand your pharmacy operations, specific goals, and any integration requirements. The user-friendly dashboard and modular setup simplify identifying workflow needs.
System Setup & Configuration: The platform is set up based on your preferred deployment (cloud or on-premise). Modules for order management, catalog, inventory, and user roles are configured to match your business processes and branch structure.
Data Migration & Integration: If you’re transitioning from another system, relevant data such as inventory and patient/customer information can be imported. ZibMEDS supports integration with existing pharmacy tools for seamless operation.
Training & Onboarding: Pharmacy teams receive hands-on onboarding, including guidance with app usage (consumer and merchant), backend admin functions, and reporting. Training is designed to ensure all users—admins, staff, and pharmacists—can perform daily tasks efficiently.
Testing & Workflow Validation: Before going live, key workflows—order processing, prescription handling, inventory tracking, and communication—are tested to ensure all features function as intended and staff are comfortable.
ZibMEDS can be customized to fit specific business needs. Here are the main data points demonstrating its flexibility and adaptability:
White-Label/Branding Customization: ZibMEDS is designed as a white-labeled solution, allowing pharmacies or chains to use their own branding, logos, and app colors for both consumer and merchant interfaces.
Modular Deployment: Businesses can choose between cloud-based (Azure/AWS) or on-premise hosting, depending on their infrastructure preferences, security requirements, and IT policies.
Feature Configuration: Pharmacies can enable or disable specific modules—such as prescription refills, medication reminders, chat, CRM/loyalty, and catalog/product management—to tailor the system to their operational workflows.
Role-Based Access and Permissions: Administrators can define distinct user roles (e.g., owner, pharmacist, cashier, inventory staff) and permissions, ensuring access controls match business hierarchies and compliance requirements.
Multi-Store and Branch Management: The platform supports multi-store/branch operations, enabling centralized or decentralized workflows for inventory, reporting, promotions, and user administration—all configurable to match chain or franchise models.
Custom Catalog and Product Management: Pharmacies can configure the product catalog, create specific categories, set custom pricing/discounts, manage stock rules, and tailor the inventory interface to their preferences.
Mobile App Flexibility: Separate apps for consumers and merchants can be branded and configured independently, supporting unique workflows for staff (backend order processing) and customers (shopping, reminders, chat).
Promotion and Loyalty Program Customization: Businesses can set tailored promotional offers, define loyalty program rules, and manage patient/customer engagement campaigns based on their marketing strategy.
Reporting and Dashboard Personalization: The business intelligence and reporting dashboards can be customized to highlight the KPIs, sales data, and inventory analytics most relevant to management or owners.
Multilingual Capability: The system supports local languages beyond English, allowing pharmacies to offer an interface suited to regional staff or customer bases.
Custom Notification & Communication: Pharmacies can configure alert systems (order confirmations, reminders, chat notifications) for both internal users and end customers, matching their communication preferences.
API & Integration Potential: While ZibMEDS does not currently offer publicly documented open APIs, the company’s technical team can facilitate integrations with select back-office or accounting tools on a custom basis for enterprise engagements.
Payment and Delivery Module Options: Merchants may enable or restrict payment methods and delivery modules, and tailor delivery workflow integrations to match their logistics providers or order handling preferences.
Regulatory and Compliance Customization: The software can be configured to help pharmacies comply with local healthcare regulations (e.g., prescription retention, dispensing limits, GST settings in applicable countries).
Customer Portal and Website Integration: Pharmacies can customize patient/customer web portals and directly integrate ZibMEDS with their existing websites for online ordering and prescription uploads.
ZibMEDS provides training and support to ensure new users can effectively adopt and operate their pharmacy management software:
Personalized Onboarding: At implementation, ZibMEDS conducts an initial consultation to assess each pharmacy’s unique requirements and configure the system accordingly. The onboarding process covers setting up modules for order management, catalog, inventory, user roles, and business-specific workflows.
Hands-On Training: New users receive thorough training—often delivered remotely or onsite—for all key features, including backend administration, order processing, inventory tracking, and the use of consumer and merchant mobile apps. Training is designed to be user-friendly and tailored to various staff roles (e.g., admins, pharmacists, sales staff).
Training Materials & Documentation: ZibMEDS provides easy-to-follow documentation, manuals, and workflow guides covering system features, common tasks, troubleshooting steps, and best practices for pharmacy operations.
Walkthrough of App Usage: Users are guided through both the administrative dashboard and the apps (for merchants and consumers), ensuring smooth day-to-day operations and an effective customer experience.
Go-Live Support: The ZibMEDS team offers dedicated live support during the “go-live” phase to address any immediate workflow or technical questions. Staff can validate workflows and confirm readiness for daily transactions.
Ongoing Support: Post-launch, pharmacies can access responsive customer service through multiple channels (chat, phone, email). The support team assists with troubleshooting, custom configuration requests, updates, and any issues that arise during regular use.
ZibMEDS employs several standard and advanced security measures to protect pharmacy and patient data across its cloud and on-premise deployments:
Cloud and On-Premise Options: ZibMEDS supports deployment on trusted cloud infrastructures like Microsoft Azure and AWS, both known for robust built-in security frameworks, regular audits, and compliance with international security standards.
User Role and Permission Controls: Administrators can configure detailed user roles and permissions, ensuring that only authorized personnel have access to sensitive information and critical workflows. This restricts data exposure and supports internal compliance.
Data Segmentation: By separating database layers and application modules, ZibMEDS helps prevent unauthorized cross-access between different stores, branches, and user types.
Backup and Recovery: Regular data backups and dedicated data recovery options protect against accidental loss, local device failures, and cyber threats, ensuring business continuity.
Secure Access and Authentication: Both consumer and merchant apps, as well as web dashboards, require secure authentication. Role-based access further protects patient and business data by limiting privileges based on staff responsibility.
Cloud Provider Security: As a cloud service, ZibMEDS leverages the underlying physical and network security of its hosting providers, including encryption at rest and in transit, intrusion detection, DDoS protection, and regular vulnerability assessments.
Activity Logging: The platform supports monitoring and logging of user activity to help track access, detect suspicious behavior, and facilitate audits when needed.
ZibMEDS manages updates using a cloud-based, centralized approach, enabling efficient rollout and minimal disruption for its pharmacy clients. The platform's update process reflects standard practices in modern SaaS (Software as a Service) pharmacy management:
Release Frequency: ZibMEDS does not publicly specify an exact schedule (e.g., weekly or monthly). However, as a cloud-powered platform, it typically pushes continuous or periodic updates to all users. This agile approach—common among cloud pharmacy solutions—means new features, bug fixes, and security enhancements are delivered as soon as they are tested and ready, rather than waiting for large, infrequent upgrades.
Automatic Cloud Rollouts: Updates are managed remotely via their cloud infrastructure (e.g., Azure or AWS). Clients do not need to take any action: new releases are automatically applied to both the web dashboard and mobile applications, making sure every pharmacy instance remains up-to-date with the latest capabilities and compliance features.
Minimal Downtime, Maximum Uptime: ZibMEDS is designed to keep pharmacy operations uninterrupted. Software patches and improvements are deployed behind the scenes, typically during off-peak hours or in ways that avoid workflow disruption.
Real-Time Feature Access: As soon as updates are deployed, users gain immediate access to new functions and improvements—no need for manual installations or downloads. Mobile app users may receive updates via app stores (Android/iOS), while web and backend modules are refreshed automatically in the browser or admin portal.
Support and Communication: Any major changes, new feature introductions, or critical patches are communicated to users through release notes, email notifications, or in-app alerts. During significant releases, the ZibMEDS support team offers responsive help to answer questions or assist with workflow transitions.
ZibMEDS follows standard SaaS pharmacy software practices regarding data ownership and portability:
Data Ownership: Pharmacies that use ZibMEDS retain full ownership of all their business and patient data input and stored on the platform. ZibMEDS operates as a service provider and custodian, not as the owner of pharmacy-specific information. Data such as patient details, prescription records, inventory, and sales history belong entirely to the pharmacy.
Cloud and On-Premise Storage: Whether deployed on the cloud (Azure/AWS) or on-premise, all pharmacy data remains securely stored and controlled by the business. ZibMEDS does not claim rights to use, sell, or otherwise exploit pharmacy data for unauthorized purposes.
Portability and Export: Pharmacies can export or download their own data from ZibMEDS as needed, such as when preparing for audits or migrating to another system. Data exports are typically provided in structured, commonly used formats (such as CSV or Excel files) to ensure ease of migration and compliance with data portability standards.
No Vendor Lock-In: There are no technical or contractual barriers preventing pharmacies from moving their data to another platform. ZibMEDS’ support team assists with secure data retrieval if a pharmacy chooses to exit the service, aligning with industry expectations for customer-controlled data portability.
Effective Period: The Terms of Use are effective from when you start using the platform and remain until terminated by either party.
Renewal: No explicit auto-renewal or fixed-term details are publicly disclosed for ZibMEDS specifically. However, general SaaS practices suggest that unless otherwise stated in the agreement, contracts may either auto-renew or require manual renewal at the end of a term.
Amendments: Zibew (DigitalPharmacy.io) reserves the right to modify its Terms of Use at any time. Continued use of services after any modifications indicates customer acceptance of the new terms.
Termination by User or Zibew:
Either you (the client) or DigitalPharmacy.io (Zibew) can terminate the relationship at any time.
Termination can occur under the following circumstances:
Expiry of subscription or services.
Breach of Terms of Use.
Changes in service offerings or discontinuation by Zibew.
For terminations not due to a breach, at least 30 days’ notice is provided.
Account Data Responsibility:
Users are solely responsible for exporting their data before account expiry or cancellation.
Once the account is cancelled or expires, Zibew is not responsible for data recovery.
Assignment:
Rights and obligations cannot be assigned or sublicensed without prior written consent, except under certain corporate changes (merger, acquisition).
Breach of this term allows the non-breaching party to terminate the contract with notice.
