Encrypted Data in Transit: WorkPal uses TLS (version 1.2 and above) to encrypt data between user devices and their cloud servers, ensuring secure data transmission and protection against interception.
Role-Based Access Controls: Users are assigned access levels, managed by HR or administrators, ensuring only authorized personnel can view or manipulate sensitive information.

WorkPal releases software updates regularly—typically every few months—with new features and bug fixes driven both by client feedback and market trends.
Updates are released on a rolling basis, commonly at least two to four times per year, based on the extensive release notes from 2021 to 2025.
Minor patches and performance improvements sometimes occur more frequently, depending on critical needs or vulnerability fixes.
Major updates often include new features, UI enhancements, functional changes, and security improvements in response to user requests and roadmap priorities.
WorkPal manages updates using industry-standard configuration and change management strategies, monitored by tools such as AWS CloudWatch and CloudTrail.
All changes and releases are documented internally and communicated to users through release notes and online support portals, ensuring transparency about new features or bug fixes.
Vulnerabilities and bugs are identified, prioritized by severity, and addressed with the installation of patches in upcoming releases; critical bugs are addressed rapidly as needed.
WorkPal’s policy establishes that customers fully own their data and materials supplied or collected in the system during use, while WorkPal retains ownership of its platform and software IP rights. Data portability is supported at contract end or termination: WorkPal will, upon request, return all customer data in electronic format, unless the contract was terminated for breach or unless the customer requests earlier deletion.
Customer Ownership: The customer owns all rights, title, and interest in and to their data and materials within WorkPal; responsibility for legal compliance, accuracy, and management of data rests with the customer.
WorkPal Platform IP: The software, platform, and associated IP rights remain solely with WorkPal and its licensors; customers are given a licence to use (not own) the platform as specified by contract terms.
Third-Party Materials: Customers must own or have appropriate rights for any materials supplied to WorkPal and indemnify the platform against any infringement claims.
On Request Post-Termination: Upon ending the subscription (other than termination for breach), WorkPal will provide an electronic copy of all customer data and materials still retained, if requested by the customer.
Retention Timeline: By default, data is held for 12 months after subscription ends unless early deletion is specifically requested; after this period, data is deleted unless otherwise requested.
Support Scope: WorkPal can assist with porting or transferring data as a paid support service if needed.
Backups: Daily backups are performed and maintained to ensure data integrity and availability during the contract term.
WorkPal’s contract renewal and cancellation terms are contained in its licensing agreement, which sets out conditions and procedures for subscription, termination, and renewal. Key data points include the effective period, renewal processes, termination triggers, financial obligations, and post-termination provisions.
Subscription Term: The contract duration (Subscription Term) is specifically stated in the Order Terms and begins on the Licence Date (installation or first use).
Renewal Process: Renewal is governed by signing new Order Terms; updated Specific and General Terms should be reviewed whenever new Order Terms are signed. There is no mention of auto-renewal—each renewal appears to require explicit agreement.
Amendments: Terms can be amended with each new contract period, and changes must be checked upon each renewal.
Termination Triggers:
The agreement can be terminated for breach of terms, non-payment, the presence of inappropriate content, exceeding permitted use, or violation of obligations.
WorkPal reserves the right to suspend the licence (without full termination) if there is suspected default or breach; this includes disabling accounts before debts are cleared.
Effects of Termination:
Upon termination, access to all rights and licences ceases immediately.
All outstanding fees, charges, and any accrued liabilities must be settled upon termination.
The customer is required to return or dispose of all WorkPal deliverables, confidential information, and materials.
Data Handling Post-Termination:
All customer data is retained for 12 months after contract end, unless earlier deletion is requested; deliverables may be returned on request (except in cases of breach-triggered termination).
Ongoing Charges: Monthly licence fees are due on specified dates; non-payment (within 10 days overdue) allows WorkPal to suspend licences and services.
Outstanding Payments: Any outstanding sums (including interest) must be paid upon contract termination.
Additional Charges: Overuse (exceeding terms) incurs additional fees at prevailing rates; extra storage is billable above 10GB per company.
WorkPal software supports compliance by storing all data securely:
Data Accessibility for Auditing: WorkPal stores all operational data in a centralized, cloud-based system designed to be easily accessible for internal or external audit purposes, supporting business and industry-specific compliance reviews.
Technical Safeguards: The software incorporates administrative, physical, and technical protections for the security, confidentiality, and integrity of customer data. These include daily backups, restricted access, protection against unauthorized data modification or disclosure, and secure hosting.
General Data Protection: Customers are responsible for obtaining consent for all data supplied and for compliance with the Data Protection Act 1998; WorkPal processes data only as required for service delivery, support, and by legal mandate.
UK-Focused Compliance: The platform’s terms of service reference adherence primarily to UK legislation (e.g., Data Protection Act 1998), and not directly to global regulatory regimes such as GDPR, HIPAA, or SOX.
Customer Responsibility: Customers must comply with all laws and regulations relevant to their activities and the data they supply, with WorkPal specifying indemnity against liability resulting from unlawful or inappropriate data usage.
No Explicit Certifications: Publicly available documentation and marketing do not reference any certifications (ISO, SOC, GDPR, VPAT, etc.) or sector-specific compliance standards.
Data Retention and Deletion: All customer data is retained for the subscription term and 12 months post-termination unless deletion is requested earlier.
