By TestWe
Needs Assessment & Planning: The process begins with a consultation to identify the institution’s assessment needs, technical requirements, and integration goals. This step ensures the platform is tailored to the organization’s specific context.
Account Setup & Configuration: TestWe’s support team sets up the organization’s account, configures user roles, and permissions, and integrates with existing LMS or ERP systems if needed. Custom branding and settings are applied at this stage.
Technical Prerequisite Check: Institutions and candidates must verify that their devices meet the minimum system requirements (Windows 10 or macOS 10.15+, 4GB RAM, 2GB free disk space). A mandatory technical test is conducted at least 48–72 hours before the first exam to ensure compatibility and avoid disruptions.
Software Installation & Training: Administrators and candidates receive installation instructions via email. Users install the TestWe application and participate in a training session or mock exam to familiarize themselves with the platform’s features and processes.
Exam Content Creation & Scheduling: Educators or administrators use the online exam builder to create assessments, upload multimedia content, and schedule exam sessions. The platform supports a wide range of question types and exam formats.
Candidate Onboarding: Candidates are registered on the platform, receive credentials, and complete a mock or training test to ensure readiness. Identity verification and environment checks are conducted as part of onboarding.
TestWe is designed with a high degree of flexibility, enabling organizations to tailor the platform to their unique business and educational requirements. Below are the main ways TestWe can be customized to fit specific business needs, supported by multiple data points:

Personalized User Interface: The platform’s interface can be adapted to match the visual identity and preferences of each client, ensuring a seamless brand experience for both administrators and candidates.
Language Customization: TestWe supports multiple languages, allowing organizations to set the platform to their preferred language, which is essential for multinational businesses or institutions with diverse user bases.
Custom Exam Creation: Administrators can create exams tailored to specific roles, skills, or learning objectives, using a wide range of question types (multiple-choice, essays, spreadsheets, simulations, and more).
Parameter Settings: Each exam can be configured with custom parameters such as timers, calculators, randomization, and weighted questions to meet the precise assessment needs of the organization.
Multimedia Integration: Exams can include audio, video, images, and interactive content, supporting specialized assessment formats across different industries.
LMS and ERP Integration: TestWe offers integration capabilities with major learning management systems (LMS) like Canvas, Moodle, and Blackboard, as well as custom ERP systems, enabling seamless data exchange and workflow automation.

Certification Management: The system supports automated or manual issuance of certificates, which can be customized to reflect organizational standards and branding.
Cloud or On-Premise Deployment: TestWe can be deployed as a cloud-based solution or installed on-premise, depending on the organization’s IT policies and security requirements.
Offline Exam Mode: The unique offline exam capability ensures that organizations can deliver secure assessments even in environments with unreliable internet, supporting equal opportunity and operational flexibility.
TestWe offers multiple support channels to assist new users throughout their experience:
Chatbot Support: For technical issues before the exam, users can contact TestWe’s support team via the integrated chatbot on the support portal. This is the primary channel for troubleshooting installation problems, login issues, or other technical concerns outside of exam sessions.
Helpdesk Ticketing: Users can submit support tickets through the TestWe helpdesk portal for more complex issues or if the chatbot cannot resolve their problem.
Phone Support During Exams: If technical issues arise during an exam, TestWe provides direct phone support. Dedicated helpdesk numbers are available, and users are encouraged to save these contacts in advance to ensure quick access during test sessions.
User Guides and Documentation: Comprehensive user guides and navigation documents are provided to walk users through common tasks, equipment setup, and troubleshooting procedures.
TestWe implements a comprehensive set of security measures to safeguard user data, exam integrity, and ensure compliance with strict European regulations. Below are the primary mechanisms and protocols in place:
Encrypted Data Storage: All personal and exam data are stored on servers located in Paris, France, using Amazon Web Services (AWS). Data is encrypted at rest and can only be accessed by TestWe using secure keys, ensuring that unauthorized parties cannot access sensitive information.
Limited Data Transfer: When data must be transferred outside the EU (such as for email delivery logs), only minimal information (like email addresses and delivery logs) is sent, and it is retained for a maximum of seven days before permanent deletion.
GDPR and CNIL Compliance: TestWe is built to fully comply with the General Data Protection Regulation (GDPR) and CNIL (French data protection authority) standards. This includes strict adherence to data minimization, user consent, and the right to access or delete personal data.
ISO 9001 Certification: The platform is ISO 9001 certified, ensuring quality management and robust procedural controls for data protection.
Role-Based Access: Multiple levels of access are enforced within the platform, ensuring that only authorized personnel can view or manage sensitive data.
Double Identification: Candidate identity is verified through webcam-based double identification, reducing the risk of impersonation and unauthorized access during exams.
Session Security: The platform ensures secure access and session management, with computer functions locked during exams to prevent unauthorized activity.
Device Lockdown: During exams, the software locks down the candidate’s device, preventing access to unauthorized resources or applications.
Offline Exam Mode: Exams can be completed offline, reducing the risk of network-based attacks and ensuring exam data is only uploaded once connectivity is restored and verified.
Proctoring and Monitoring: TestWe uses both synchronous and asynchronous proctoring, including webcam and audio monitoring, to detect and deter cheating. All monitoring is conducted in compliance with privacy regulations and requires candidate consent.
Data Minimization: Only data necessary for exam administration and security is collected and processed, in line with GDPR’s data minimization principle.
User Notification: Users receive email notifications with instructions to download the latest version of the TestWe application. These emails are sent at least several days before an exam, ensuring adequate time for installation and troubleshooting.
Mandatory Version Checks: Before each exam, candidates are required to verify and, if necessary, update their software to the latest version. This is a key part of the technical prerequisite check, which helps prevent compatibility issues on exam day.
Technical Support: TestWe provides support resources—including user guides, helpdesk access, and direct support channels—to assist users with updating and resolving any issues that may arise during the update process.
Version Control: In case of persistent issues with conflicting or outdated versions, TestWe offers detailed documentation to help users properly uninstall previous versions and install the latest release.
TestWe maintains a strict policy regarding data ownership, designed to ensure transparency, user control, and compliance with European data protection regulations:
User Data Ownership: All personal and exam data generated on the TestWe platform remains the property of the user or the contracting institution. TestWe acts as a data processor, handling information solely to deliver and manage online examinations.
Limited Third-Party Sharing: Data is not shared with third parties except in narrowly defined circumstances, such as sending email notifications (where only minimal data like email addresses and delivery logs are temporarily processed by secure subcontractors). These subcontractors, such as Twilio/SendGrid, store this information for a maximum of seven days before permanent deletion.
Access Controls: Only a limited number of authorized staff at TestWe and the contracting institution have access to personal data, and always on a strict need-to-know basis for technical support, exam administration, or legal compliance.
Data Storage Location: All data is stored on encrypted servers located in Paris, France, managed by Amazon Web Services (AWS) and protected by high compliance and security standards. Access to encrypted data is restricted to TestWe using secure keys.
TestWe’s approach to data portability is aligned with GDPR and EU best practices, providing users with robust rights and mechanisms to access and transfer their information:
Right of Access and Rectification: Users (typically candidates or administrators) have the right to access, rectify, complete, or update their personal data at any time. Requests can be made through the appropriate institutional contact or directly to TestWe, depending on contractual arrangements.
Data Export and Transfer: After exams, candidates’ responses and related data are downloaded by the contracting institution (such as a school or examination board) for storage and further processing. TestWe retains this data for a maximum of one year before deletion, while the institution may store it for a longer period as required by their policies.
Deletion and Retention: Candidates’ data is deleted from TestWe’s servers after the retention period, ensuring no unnecessary data is held. Institutions can request deletion or export of data in line with their own data management policies.
Automatic Renewal: TestWe contracts and subscriptions are generally structured to renew automatically at the end of each term (such as annually or per the agreed contract period), unless the client provides advance notice of non-renewal. This ensures uninterrupted access to the platform and its services.
Advance Notice for Non-Renewal: Clients wishing to terminate the contract at the end of a term must notify TestWe in writing before a specified deadline—often 30 days prior to the renewal date, though the exact period may vary based on the agreement. Failure to provide timely notice typically results in automatic renewal for the next term.
Review and Adjustment: Before renewal, organizations may review their subscription level, user count, or service requirements and negotiate changes as needed. Adjustments to the contract (such as upgrading or downgrading the plan) can usually be made to align with evolving needs before the new term begins.
Price Changes: If TestWe adjusts its pricing for the upcoming term, clients are generally notified in advance (commonly 30–60 days before renewal). This gives organizations time to review new rates and decide whether to continue, renegotiate, or cancel their subscription.
Contract Changes: Any amendments or renegotiations to the contract terms must be agreed upon by both parties before the new term takes effect.
Cancellation Before Renewal: To avoid renewal and associated charges, clients must submit a cancellation request in writing before the contract’s specified notice period (often 30 days ahead of the renewal date). Late cancellation requests may not prevent the next term’s renewal and billing.
No Pro-Rata Refunds: If a contract is canceled after a new term has started, access to TestWe typically continues until the end of the paid period, but no refunds are issued for unused time within that term.
Access After Cancellation: Upon cancellation, clients retain access to the platform and their data until the end of the current billing cycle. After the cycle ends, access to subscription-based features is terminated unless the contract is renewed.
