SPOL typical implementation process:
Initial Consultation and Needs Assessment: Institutions collaborate with SPOL’s team to discuss goals, requirements, and institutional structure to tailor the implementation approach for maximum effectiveness.
Platform Configuration and Customization: SPOL configures workflows, data fields, reporting templates, and user permissions to fit the institution’s unique strategic planning, accreditation, assessment, credentialing, and budgeting needs.
Data Migration and Integration: Existing data is securely imported and synced between SPOL and campus systems, including student information systems, ERP platforms, and document repositories.
User Training and Onboarding: Faculty, administrators, and staff receive guided training sessions to become familiar with SPOL’s modules, features, and support resources.
Pilot Rollout and Feedback: Select groups or departments begin using the platform, providing feedback for further customization and troubleshooting before campus-wide deployment.
Full Deployment: After necessary refinements are made, SPOL is launched across all relevant units to coordinate institutional effectiveness processes.

SPOL implements robust security measures to protect institutional and personal data, with a clear commitment to compliance and risk management for higher education organizations. The platform aligns with major security frameworks, including the Higher Education Community Vendor Assessment Toolkit (HECVAT), which is specifically designed for colleges and universities to evaluate third-party vendor data security. SPOL also achieves state-level certifications such as TX-RAMP, required for secure data management in Texas educational institutions, ensuring that its risk tolerance meets strict standards and institutions are protected against threats.
Beyond formal certifications, SPOL cultivates a proactive internal security culture centered around continuous improvement and vigilance. Regular security audits, ongoing staff training, and frequent technology upgrades are integral to its approach. These actions enable the platform to stay ahead of emerging cyber risks and adapt to new regulatory requirements, making its environment resilient and secure against evolving threats.
SPOL’s privacy practices include the adoption of technical, physical, and organizational safeguards. Personal data is stored and accessed following strict protocols, and regular oversight is maintained for data retention, dispute resolution, and legal compliance. The company enables users to review or correct their information, provides secure transfer of data—even across jurisdictions such as the US and EU—and follows laws regarding governmental or regulatory access. Institutions have the assurance that data is managed with transparency and strong privacy commitments throughout the data lifecycle and as dictated by the privacy policy and state regulations.
SPOL regularly releases updates to its cloud-based platform, incorporating feature enhancements, security improvements, and compliance adjustments to align with higher education sector needs. Major platform versions—such as the introduction of SPOL Diamond—are launched in consultation with numerous institutions and reflect user feedback as well as regulatory changes. In addition, ongoing incremental updates address bug fixes, interface refinements, and performance optimizations. Update notifications and detailed information about changes are distributed to users through SPOL’s official communication channels, blogs, and support resources.
SPOL’s policy on data ownership and portability is centered around strong user rights and transparent legal compliance. Institutions and users retain ownership of their data, with SPOL acting as a custodian and processor under clear contractual and privacy guidelines. Users have the ability to review, correct, and request deletion of their personal data, ensuring data control remains with the institution or individual as dictated by the service agreement and privacy policy.
SPOL also supports data portability, allowing users to request their personal and institutional data in structured, commonly used, and machine-readable formats for transfer to other systems if needed. This process adheres to GDPR and similar international standards, granting institutions and individuals the right to migrate or extract their data without undue delay. SPOL specifically maintains provisions for data requests, corrections, opt-outs, and compliance with legal obligations in all jurisdictions where partner institutions operate, reaffirming its commitment to portability and ownership protections throughout the customer relationship.
SPOL software contracts feature automatic renewal clauses, meaning service agreements renew for additional periods—commonly of 36 months—unless either party gives written notice of non-renewal at least 90 days before the expiration of the current contract term. This ensures seamless continuation of services unless institutions choose to discontinue.
For cancellations, either party can terminate for cause if the other breaches a material obligation and fails to cure the breach within 30 days after receiving written notice from the non-breaching party. Contracts may also be cancelled in cases of insolvency, bankruptcy, dissolution, or substantial cessation of business by either party. Upon termination, customers are required to immediately stop using SPOL services, but are granted at least 30 days of limited access solely to retrieve their data or content. Unless otherwise agreed in writing, SPOL does not maintain customer content beyond this period.
If SPOL discontinues services or materially reduces core functionality, affected customers may opt to terminate their agreement, and SPOL will provide a pro-rata refund of any prepaid, unused fees. Termination or non-renewal does not affect any claims or liabilities incurred before the termination date, and clauses related to fees, proprietary rights, and other critical provisions may survive beyond termination as necessary.
SPOL meets significant compliance standards specifically designed for higher education and data security. The platform aligns with the Higher Education Community Vendor Assessment Toolkit (HECVAT), which is widely used by colleges and universities to evaluate third-party vendor compliance in handling confidential and sensitive data. SPOL also holds TX-RAMP certification, a state-level requirement ensuring secure cloud management for Texas institutions and demonstrating adherence to rigorous data security, privacy, and risk management benchmarks.
SPOL’s privacy framework incorporates requirements found in the General Data Protection Regulation (GDPR) and other international data protection laws, supporting user rights, data portability, and institutional ownership over information assets. The platform’s continuous auditing, staff training, technical safeguards, and documented compliance policies contribute to its robust compliance posture, reassuring institutions of regulatory alignment and ongoing security vigilance.
