Unique Credentials & Password Protections: Each user receives unique, password-protected accounts, with brute-force protection and scanning for known breached passwords.
Granular Access Controls: Only a limited set of employees can access sensitive data, all under strict need-to-know and least privilege policies. Every data access event is logged and monitored to ensure accountability.
Multi-factor Authentication: Additional authentication options are available to further reduce the risk of unauthorized access.
Masked Personal Identifiers: Highly sensitive information like Social Security numbers is masked, showing only partial digits to frontline staff, while full details are accessible only for essential maintenance and under supervision.
Defense in Depth: Plexus deploys multiple layers of network protection—including firewalls, intrusion detection systems (IDS), and network segmentation—to block threats at different points of entry.

Application Security Lifecycle: Formalized security checks and code reviews are integrated throughout software development, backed by independent security testing and rapid patching of vulnerabilities.
Plexus releases software updates on a regular and ongoing basis, with patch notes and version histories suggesting maintenance releases, minor enhancements, and major feature updates occur several times per year. For example, recent version logs show at least two releases in 2025 (January and July) and a similar cadence in previous years, signaling a commitment to continual improvement and up-to-date functionality. This consistent update schedule ensures that clients receive enhancements for compatibility, performance, and new features promptly.
Versioned Releases: Updates are structured as versioned releases, each accompanied by detailed changelogs documenting new features, bug fixes, improvements, and compatibility enhancements. Users are encouraged to stay on the latest stable version for maximum performance and support.
Notification: Clients receive information about new releases directly through product channels, release notes, or email updates.
On-Demand Upgrades: Customers can download and install updates at their discretion. This enables organizations to schedule upgrades during appropriate maintenance windows and to test new versions in their environments before full deployment.
Legacy Support: Earlier software versions remain available for compatibility and testing purposes, supporting organizations with slower adoption cycles or complex integration needs.
Changelog and Testing: Every release is accompanied by a changelog that details bug fixes, feature additions, and critical compatibility notes. Clients are advised to review changelogs and deploy new updates in a staging environment before production rollout.
Backward Compatibility: Special attention is given to maintain compatibility across operating systems (such as Mac and Windows), and regular updates address changes in dependent platforms (for example, support for Adobe After Effects 2024 in the latest release).
Documentation: Updated documentation, help resources, and release notes are provided alongside each update, ensuring that users have the necessary guidance for smooth implementation.
Plexus maintains a clear stance that customers retain full ownership of all their data—including rights, title, and interest—stored and processed within Plexus platforms and services. Customers are solely responsible for the legality, reliability, integrity, accuracy, and quality of the data they input and manage. Plexus itself does not claim ownership of client business data and will not rent or sell personal information to third parties for independent use. If there is a change in company control or a major corporate transaction, data may be transferred to a Plexus successor, but such events are handled with notice and, typically, anonymization where possible.
Plexus will only use or process customer data as needed to provide services, fulfill contractual obligations, respond to legal requirements, or upon express customer consent. Access is governed by strict privacy and security policies, with any onward sharing limited to trusted service providers bound by data protection agreements. Clients are always notified about how data is handled and can request further details regarding privacy management at any time.
Plexus supports robust data portability and data export capabilities:
Right of Access and Portability: Customers can request their data in a structured, commonly used, machine-readable format at any time if they wish to transition to another platform or for compliance reasons. This right is recognized under regulations such as the European GDPR and is honored globally by Plexus.
Export Procedures: Users can export business records and content upon request, and Plexus provides tools and options to facilitate data migration needs, including API-based integrations and direct file exports in standard formats.
No Barriers to Data Transfer: When requested and lawful, Plexus will enable customers to port their data either directly to them or to another provider, subject to standard security and identity verification processes.
Automatic Renewal: Most Plexus contracts automatically renew for an additional 12-month period after the initial term, unless either party provides written notice of intent not to renew. The standard notice period is typically 30 days before the end of the current term.
Renewal Notification: Clients are usually notified of upcoming contract renewals via email at least 30 days before the renewal date. This provides an opportunity to review terms and decide on renewal or cancellation.
Ongoing Services: If only a specific order or service is terminated, other ongoing order forms or services under the broader agreement may continue without disruption.
Payment of Renewal Fees: Renewal fees (if applicable) are automatically charged to the designated payment method on file upon renewal, unless the customer cancels or updates their renewal preferences.
Order Form Handling: Terminating a specific order form does not affect the remaining order forms or the main agreement, unless the entire agreement is terminated.
Written Notice Required: Either party may cancel the agreement by providing written notice, commonly with a minimum of 30 days before the intended date of termination or contract renewal.
Automatic Deactivation: Upon cancellation, credentials are deactivated, and all related subscriptions and memberships are cancelled.
Refunds and Pro-Rata Charges: For cancellations not resulting from a breach, customers are generally entitled to a pro-rata refund of unused fees from the date of termination. If Plexus terminates the contract, the refund covers any unused license fees for the remainder of the current term. If the termination is due to a material breach or insolvency, refund rights may be forfeited.
Termination for Cause: Either party may terminate the agreement immediately if the other party fails to pay amounts due after a 30-day notice, becomes insolvent, or otherwise ceases substantial business operations.
Data Handling After Cancellation: Upon contract termination, users must cease all use of the services, return or cease using any Plexus-owned materials, and may request their most recent data backup. Such requests must be made in writing within 20 days of termination. Plexus aims to deliver data backups within 90 days, provided all outstanding fees are paid. Any associated costs for returning data are borne by the customer.
