OneDesk
By OneDesk Inc
The typical implementation process for OneDesk software generally follows these steps and can be completed in a matter of days to a few weeks, depending on organizational needs and complexity:
Account Setup: Register and configure organizational settings, user accounts, and permissions.
Customization: Adjust workflows, views (Gantt, Kanban, calendar), forms, automations, and ticketing rules to match business processes.
Integration: Connect email, chat, customer portals, and third-party tools (Microsoft Teams, Outlook, Gmail, QuickBooks, WordPress, etc.).
Data Import: Migrate existing tickets, customers, and project data as needed.
Training: Conduct user training on ticketing, project tracking, automation, and reporting features.
Testing: Run end-to-end tests of key workflows, automations, and communication paths.
OneDesk can be extensively customized to fit specific business needs, offering a wide range of configurable options and flexible automations.
Businesses can choose from Gantt, kanban, calendar, and workload views to visualize their projects and support operations according to their preferred management style.
Views can be filtered, grouped, or sorted by any property, and shared across the organization to maintain unified collaboration.
The automation engine enables businesses to create custom workflow rules that automatically send replies, assign tickets or tasks, organize work, and update progress based on their internal processes.
Automations can streamline repetitive actions, ensuring that tickets are routed, triaged, and managed according to tailored support or project requirements.
Customer portals and request forms can be configured to capture information specific to a business’s support or project initiation needs.
Email integration and ticketing options allow for routing, assignment, and status logic that fit unique service processes.
Project templates can be built to match specific business models, such as fixed-fee, hourly, or retainer engagements.
Businesses can create and schedule custom reports, and export project data to analyze performance according to their KPIs.
OneDesk can be integrated with popular platforms like Microsoft Teams, Outlook, Gmail, QuickBooks, WordPress, and more, allowing businesses to connect their existing ecosystem for seamless operations.
Notification systems (push, email, in-app) can be customized to alert specific team members or entire departments.
Businesses can tailor communication workflows for both staff and customers, controlling visibility, interaction, and information flow on tickets, tasks, and projects.
User roles, permissions, and team assignments can be customized so that each individual accesses the features, data, and workflows that pertain to their business function.
OneDesk provides training and support resources to help new users get started and maximize their use of the platform.
Onboarding includes step-by-step guidance for account setup and platform configuration, ensuring users know how to register, assign roles, and establish workflows.
Users receive instruction on customizations such as work views, automations, and templates, empowering teams to tailor OneDesk to their business needs.
Training covers core features like ticketing, project management, timesheet recording, reporting, invoicing, and integrations with third-party tools like Microsoft Teams and QuickBooks.
OneDesk features a robust knowledge base that allows users to search for answers to common questions, deflect support requests, and learn best practices independently.
Customer portal access helps users submit and track their own support tickets, chat live, and communicate directly with support staff.
Integrated online chat and messaging tools ensure users can receive support and collaborate instantly for troubleshooting and guidance.
Automated ticketing and email integration enable users to ask for help and receive replies quickly, facilitating continuous support.
OneDesk implements a robust set of security measures to protect customer data across its platform.
OneDesk servers are hosted on Amazon Web Services (AWS), which adheres to high-security standards and compliance certifications such as PCI-DSS, HIPAA, FedRAMP, GDPR, FIPS 140-2, and NIST 800-171.
Data is stored in secure, professionally managed data centers in the United States.
All sensitive data, including credit information, is encrypted via SSL (Secure Socket Layer) technology.
Support for Single Sign-On (SSO) using SAML 2.0, OpenID Connect, and integrations with identity providers like Azure Active Directory.
Two-Factor Authentication (2FA) is available to add an extra layer of login security.
Passwords must meet NIST (National Institute of Standards and Technology) guidelines for strength and complexity.
Optional enforced session timeouts automatically log out users after periods of inactivity.
Role-based access control allows administrators to set granular permissions for different users, limiting access as needed.
Cloud backups are scheduled every 6 hours to minimize potential data loss and ensure quick restoration if needed.
Users can export their own data at any time as an additional backup measure.
Activity logs are provided for all plan levels, showing changes to work items, logins/logouts, user modifications, and automation rule changes.
Regular audits and monitoring are in place to detect abnormal activities or vulnerabilities.
OneDesk maintains GDPR compliance and supports HIPAA-enabled accounts, offering Business Associate Agreements (BAA) for clients in healthcare.
OneDesk releases updates on a regular and frequent basis, typically multiple times per year, introducing new features, enhancements, and bug fixes.
Major releases are documented publicly (e.g., May 2025, January 2025), showing that updates occur at least every few months, with some features and enhancements added between main versions.
User reviews describe the update cycle as "frequent but necessary," ensuring users continually receive improvements and security patches.
Updates are deployed automatically by OneDesk’s development and operations team, so users do not need to manually install new versions or disrupt workflows.
Release notes are published for each significant update, detailing new functionality and changes for user reference.
OneDesk’s policy is that customers retain ownership of their data and have strong rights to data portability—meaning data can be exported from the system in common formats whenever required.
Users maintain full control and legal ownership of all personal and organizational data entered into OneDesk.
OneDesk acts as a data processor and only accesses customer data for platform functionality, account management, or as required by law, not for resale or unrelated purposes.
Data is stored securely on servers located in the United States and Canada (primarily via selected cloud providers), in compliance with privacy regulations such as GDPR.
Users have the right to export their data at any time. OneDesk provides flexible exporting tools: data in list or tree views can be exported to CSV for reporting, backup, or migration needs.
Customers can create custom export views, selecting relevant fields and filters, then export information for easy use in other systems.
OneDesk offers straightforward terms for scaling up or down as organizational needs change by allowing users to flexibly manage licenses and plan levels.
Administrators can add more user licenses at any time through the account’s Subscription section, with charges immediately reflected for each additional license.
Upgrades to higher-tier plans (for more features or capacity) can be done on demand, and costs adjust accordingly based on user count and chosen subscription tier.
Customers pay only for the number of users they need, making it easier to scale as teams grow.
User licenses can be reduced or removed at any time from the same account interface; reductions typically take effect at the next billing cycle, with charges remaining until the current cycle ends.
Downgrading plans is also possible; features exclusive to higher tiers become unavailable after the downgrade, but core data and access persist.
Volume discounts and prorating are applied as appropriate when scaling down, ensuring organizations only pay for what they use going forward.
OneDesk offers flexible terms for contract renewal and cancellation, especially for subscriptions paid every month.
Monthly subscriptions can be canceled at any time, providing maximum flexibility for customers who prefer not to be locked into long-term contracts.
After cancellation, access and services are typically maintained until the end of the current billing period.
Information about annual plans and associated cancellation/refund policies is not detailed in public sources, so these may require direct inquiry with OneDesk support for specifics.
Renewal appears to be automatic based on existing subscription selections, whether monthly or annual.
If no cancellation is made, the contract continues to renew according to the original billing cycle (usually monthly or annually).
Any changes to pricing, terms, or renewal conditions are likely communicated in advance, but public documentation does not specify an advance notification period.
Upgrading or downgrading plan levels, and changing the number of user licenses, can typically be done within the account management interface, with charges prorated appropriately.
OneDesk software meets several major compliance and security standards, with a particular focus on data protection regulations and industry-standard security measures.
