Extensiv Order Management
By Extensiv
Extensiv Order Management typical implementation process:
Discovery and requirements gathering – 3PL and Extensiv define scope, channels, warehouses, workflows (batch fulfillment, backorders, routing rules), data sources, and integration targets; this is usually done in workshops over a few days to a couple of weeks.
Solution design and project planning – Extensiv configures an implementation plan covering account structure, client setup, order flows, warehouse network model, and reporting/analytics needs, with clear milestones and owners.
System configuration and integrations – Set up warehouses, locations, users, client profiles, shipping rules, backorder handling flows, and connect shopping carts, marketplaces, carriers, and other tech partners; timeline depends heavily on integration complexity.
Data migration and validation – Import products/SKUs, inventory, open orders, and client data, then test sample orders end‑to‑end to verify routing, holds/splits, and status updates work as intended.
User training and parallel run – Train operations and client teams on order processing, exceptions, analytics, and dashboards, often running Extensiv alongside legacy processes for a short period to reduce go‑live risk.
Extensiv Order Management is highly configurable and can be tailored in many areas to fit specific business and 3PL needs.
Custom business rules (“orderbots”) let you create your own automation logic with extensive filters and actions (for example, set carrier/service, warehouse, packaging, customs fields, gifts, dropship vendor, hold rules, email templates, packing slips, etc.).
Per‑SKU inventory rules support custom channel allocation, min/max quantities, percentage‑based availability, and exclusion of specific warehouses, so each product can follow unique stocking and oversell strategies by channel.
Auto‑reorder rules can be configured globally or per SKU to control how purchase orders are automatically generated based on sales velocity, lead times, forecasted growth, and days‑of‑stock targets, with bulk upload tools for large catalogs.
Warehouse and fulfillment logic is configurable, including creating in‑house and 3PL warehouses, defining domestic backup warehouses, international ranking, and routing rules (for example, pre‑orders to virtual warehouses, specific SKUs to specific partners).
Order workflow customization covers merging/splitting orders, holds, backorder and preorder workflows, dropship flows via email, and rules to switch orders to Amazon MCF or export to external 3PLs.
UI and data layout can be tailored by re‑ordering and selecting columns in the Orders and other modules to match each team’s operational priorities.
Notification and document customization includes configurable email templates, packing slips, document print settings, and customer notification rules driven by orderbots and status changes.
Channel‑specific settings (for example, Shopify tags, locations, additional details, Amazon cancellation/fulfillment settings, mapping rules) let you tune behavior per sales channel.
Integration flexibility is provided through a wide connector and API ecosystem, allowing custom flows with ShipStation, accounting, ERPs, WMS/3PLs, and other partners to reflect unique tech stacks.
Extensiv Order Management provides a mix of formal onboarding, self‑service resources, and ongoing multi‑channel support for new users.
Implementation & onboarding support – New customers typically work with Extensiv onboarding/customer success teams during setup, including configuration, integrations, and go‑live guidance, which reviewers highlight positively for helping teams ramp quickly.
Help Center and product documentation – A dedicated Order Management help portal offers “Getting Started” guides, setup instructions, workflow articles (for example, routing, batch processing, dropship workflows), FAQs, and troubleshooting content for users to self‑learn at their own pace.
Knowledge resources and best‑practice content – Extensiv publishes blogs, guides, and resource hubs covering order management, 3PL operations, and process design that teams can use as training material and to design internal SOPs.
Multi‑channel technical support – New and existing users can reach Order Management support via email/help desk, phone, and in‑app chat (support‑[email protected] and dedicated phone menu), with guidance on how to log cases, share context, and receive follow‑up.
After‑hours coverage – Order Management support is available on weekdays from 5:00 PM to 2:00 AM Pacific by phone, chat, or email, with callback commitments for voicemails and conversion of chats outside support hours into tracked cases.
Extensiv Order Management is delivered as part of Extensiv’s SOC 2 Type II–II-certified SaaS platform, with multiple technical and organizational controls to protect customer data.
Extensiv has completed a SOC 2 Type II audit covering security, availability, and confidentiality controls for its omnichannel warehouse, inventory, and order management products, demonstrating independently verified security practices.
The platform runs on a cloud architecture with no single points of failure, using clustering, load balancing, firewalls, and segmented databases (each customer gets its own database instance) to isolate and protect data at the infrastructure level.
Data is protected with encrypted backups: weekly full, daily differential, and hourly log backups, stored encrypted on local storage, in separate S3 buckets, and in Glacier for extended retention to guard against data loss or ransomware.
All application access occurs over secure TLS/SSL connections, and user passwords are encrypted; Extensiv also leverages a web application firewall (WAF) that inspects tens of millions of requests per day and blocks large volumes of malicious traffic.
Security practices include rapid patching of critical vulnerabilities (for example, Log4j), use of managed cloud services, and continuous monitoring to verify there are no known breaches when vulnerabilities are disclosed.
Access is controlled via role‑based permissions in Extensiv Hub, where administrators can create users, assign roles (such as System Admin, View Only, Customer User), and manage risk levels for higher‑risk users.
Extensiv Order Management runs on the broader Extensiv cloud platform, which follows a frequent, structured release cadence with planned maintenance windows and documented release notes.
Extensiv schedules most releases that require downtime on Wednesday evenings between 20:00 and 22:00 Pacific Time, aligning feature updates and maintenance into this regular window whenever possible.
The company publishes detailed, product‑specific release notes in its Help Center (including 2025 release collections and quarterly notes), showing a pattern of multiple releases per month across applications rather than infrequent “big bang” upgrades.
For non‑urgent releases or maintenance that need longer downtime outside the usual Wednesday evening window, customers are notified in‑product at least one week in advance, and extended work is pushed to weekends to minimize operational disruption.
Extensiv focuses on platform‑wide terms rather than a detailed, product‑specific renewal/cancellation policy for Extensiv Order Management, so some details will depend on the individual SaaS contract you sign.
Extensiv sells Order Management on a subscription basis (commonly annual), with pricing “starting at” an annual fee; auto‑renewal of subscriptions is standard SaaS practice and is implied in Extensiv’s general terms and billing FAQs.
The Terms of Service state that Extensiv may terminate or suspend access if terms are violated, and that customers may also terminate their use of the services, but the exact notice periods, minimum terms, and any early‑termination fees are governed by the specific order form or subscription agreement rather than spelled out generically on the website.
Billing FAQs explain how auto‑pay can be enabled/disabled and updated per invoice but do not override contract‑level commitments; stopping auto‑pay does not in itself cancel the contract, so formal written notice is still required based on your agreement.
For other Extensiv products (for example, Integration Manager), help articles show that customers can cancel at any time but continue to receive service until the end of the current billing period, with no future renewals or charges; this pattern strongly suggests that Extensiv generally works on non‑refundable, term‑based subscriptions that run to the end of the committed period once notice is given.
Extensiv Order Management runs on the broader Extensiv SaaS platform, which is aligned with key security and data‑protection standards rather than classic industry‑vertical certifications.
Extensiv has successfully completed a SOC 2 Type II examination, covering security, availability, and confidentiality controls for its cloud products (including its warehouse, inventory, and order management offerings).
Platform documentation describes controls that support modern data‑protection expectations (encryption in transit, encrypted backups, WAF, segmented databases, and access controls), which are commonly used as evidence for customer security and compliance programs even when not tied to a specific vertical standard like PCI DSS or HIPAA.
Extensiv publishes a privacy policy that describes how personal and business data is collected, processed, secured via SSL/TLS, and shared with subprocessors, and positions Extensiv as a service provider/data processor—relevant for customers assessing GDPR or similar regulatory obligations on their own side.
