DEXIS adheres to established data privacy standards that place ownership and control of patient data with the dental practice or the original submitting user. Under relevant regulations such as GDPR (General Data Protection Regulation) and HIPAA in the United States, dental practices and their patients retain primary rights over their data. DEXIS operates as a data processor—managing, storing, and securing the data on behalf of its clients, who serve as data controllers, meaning that the practice determines how data is collected, used, and shared. DEXIS does not claim ownership of practice or patient data; instead, it commits to storing, processing, and securing information according to contractual and legal requirements. Data submitted to or generated by DEXIS solutions is only used for agreed-upon purposes and is not sold or disclosed to unauthorized third parties.
DEXIS supports data portability to ensure that practices can access, retrieve, and transfer their data as needed. Under data protection policies and privacy rights, users have the right to:
Request a Copy: Obtain a copy of their personal or patient data in a structured, commonly used, and machine-readable format (such as CSV or other interoperable formats).
Transfer Data: Transmit their data to another service provider or system if desired, facilitating practice migration, software interoperability, or patient requests.
Automatic Renewal: Most DEXIS contracts are designed to renew automatically at the end of each term. This process keeps service and software continuity without requiring a new agreement each cycle.
Renewal Periods: Renewal periods are typically one year, but can also align with the original contract if different (for example, some plans offer annual, monthly, or custom options).
Notification Requirement: If customers wish to prevent automatic renewal, they must provide written notice of cancellation within the specified timeframe, usually before the renewal date.
Combined Contract Dates: For practices with multiple DEXIS equipment service plans, all equipment can be consolidated under one contract with a single renewal date for simplified administration.
Written Notice: Cancellation must be initiated by the customer with written notice, either via account management through the DEXIS portal or link received in subscription confirmation emails.
No Refunds for Processed Payments: Payments processed before cancellation are non-refundable. Once a billing cycle or payment is completed, no credit or refund is issued for that period.
Account Access on Cancellation: Upon cancellation, users will lose access to all related DEXIS software, data, account suggestions, and products. Continued access is not provided after termination.
Time Frame for Cancellation: Subscribers often need to cancel “prior to the renewal date” (specific terms may vary by contract, but commonly this means at least 30 days in advance when required).
