Anytime Pediatrics states that patient information, including clinical notes and medical records, is stored on secure, encrypted servers and that it complies with federal healthcare privacy and security laws, indicating encryption at rest and robust access safeguards for ePHI protection. Communications and workflows are described as HIPAA compliant for telehealth and nurse triage operations, aligning with HIPAA Security Rule expectations for safeguarding ePHI during telemedicine encounters.

• Core technical safeguards include encryption of data at rest on secure servers and encrypted transmission for telehealth interactions, consistent with HIPAA’s Access Control and Transmission Security implementation specifications that require mechanisms to encrypt and decrypt ePHI and protect it in transit where appropriate. Administrative and technical controls implied by HIPAA adherence include user access controls, policies limiting use/disclosure, and breach notification processes aligned with the Privacy, Security, and Breach Notification Rules for pediatric PHI handling.

• Operationally, HIPAA-compliant workflows for virtual visits and triage reduce exposure of unsecured channels by using secure, in-platform communication rather than SMS or non-encrypted tools, supporting integrity and confidentiality of PHI during clinical routing, messaging, and documentation transfer. The organization’s privacy policy further commits to not sharing mobile opt-in data or consent with third parties or affiliates, narrowing secondary data use risks and reinforcing least-necessary use principles.

Anytime Pediatrics’ policy on data ownership clarifies that information such as clinical notes and medical records is stored on secure, encrypted servers that are maintained by the company itself, complying with federal healthcare privacy and security laws. Patients and practices are provided a limited, non-transferable license for personal, non-commercial use of the services and the data within, but the company retains ownership of the backend systems and restricts activities such as reproduction, resale, or external exploitation of data without formal written consent.

• For data portability, the policy supports compliance obligations that allow patients and providers to access their data, such as documentation of visit notes, summaries, and medical histories within the provider portal, which can be submitted to any electronic health record (EHR) system for continuity of care. While Anytime Pediatrics reserves rights over its service contents and technical platforms, users are explicitly granted rights to their medical data for reference, record transfer, insurance, or interoperability needs in accordance with privacy laws.

• Mobile opt-in and consent data are not shared with third parties, and users retain legal authorization over health information they submit, subject to the platform’s terms and specific compliance requirements. As a result, practices and patients benefit from practical data portability provisions (for moving health records or synchronizing with EHRs), but enduring control and custodianship over the stored information resides with Anytime Pediatrics unless otherwise required by law or contract.

Anytime Pediatrics’ contract renewal and cancellation terms emphasize flexibility, provider rights, and changes with notice, but exact details may be determined in specific service agreements. The public-facing policies outline several fundamental points that guide renewal, cancellation, and modification of contractual terms:

Contract Renewal

• Anytime Pediatrics reserves the right to modify its Terms of Use and service terms at any time, with changes becoming effective upon posting to their website.

• Users are required to review the most current Terms of Use when accessing the site, since updates may affect ongoing service conditions and renewal mechanisms.

• Renewals are generally governed by the original agreement, subject to these posted updates, meaning providers should actively monitor website changes for all contract-impacting revisions.

Contract Cancellation

• Anytime Pediatrics states it can terminate user access to part or all services at any time, with or without cause, and with or without notice.

• Providers have the right to stop using the service at any time, which acts as a practical approach to cancellation from the provider side.

• The sole remedy for dissatisfaction is to discontinue use of the services, indicating a straightforward approach to voluntary cancellation.

Modifications and Notifications

• Policy changes posted on the website are binding; it’s the provider’s responsibility to periodically check and accept changes to remain compliant with ongoing service agreements.

• Anytime Pediatrics may update or change service and pricing terms as part of regular reviews, impacting renewal details.

Governing Law and Dispute Resolution

• All matters relating to contract disputes and conditions are governed by the laws of Tennessee, with disputes handled exclusively by courts in Knox County.

• Force Majeure and indemnity clauses are standard and may affect both renewal and cancellation obligations in unusual scenarios.

Anytime Pediatrics software meets key health IT compliance standards, including HIPAA, which are essential for telemedicine and pediatric patient data protection in the United States. HIPAA (Health Insurance Portability and Accountability Act) regulates the privacy, security, and breach notification for sensitive patient health information, ensuring that pediatric practices and telehealth solutions use secure processes, technologies, and record-keeping for patient confidentiality and data integrity.

Core Compliance Standards

• HIPAA Compliance: Anytime Pediatrics is explicitly described as HIPAA-compliant, which covers security, privacy, and data protection requirements for electronic patient records, including encryption and access controls.

• Pediatric Telehealth Guidelines: Providers using Anytime Pediatrics must also comply with state and federal regulations specific to pediatric privacy, such as COPPA (Children’s Online Privacy Protection Act) and, where applicable, FERPA for school health contexts.

• ONC Health IT Certification: U.S. pediatric EHR and telemedicine platforms commonly align with Office of the National Coordinator (ONC) for Health Information Technology certification for baseline technical and regulatory standards.
