Implementing TrulySmall Invoices is designed to be a near-instant process, taking less than five minutes from signup to sending the first invoice. After creating an account via email or Google/Apple social login, the user is guided through a quick-start wizard to input basic business details such as company name, logo, and preferred currency. There is no complex software installation required as the platform is accessible through any modern web browser or via native mobile apps. For users transitioning from spreadsheets, the process involves simply entering client contact details into the app's directory. Once the initial configuration is done, generating an invoice is as simple as selecting a client, adding line items, and clicking 'Send.' The system automatically handles the PDF generation and email delivery, making it a true 'plug-and-play' solution for micro-businesses.
TrulySmall Invoices offers robust customization options focused on professional branding and operational flexibility. Users can upload high-resolution company logos and choose from various color schemes to match their brand identity. Beyond aesthetics, the platform allows for deep customization of invoice fields; users can toggle quantity, rate, shipping, and discount fields on or off as needed. Tax settings are highly configurable, allowing for multiple tax layers (such as GST and PST in Canada) and the ability to apply tax at the item level or subtotal. Additionally, the 'Memo' and 'Footer' sections allow for custom text where businesses can include specific terms and conditions, payment instructions, or personalized thank-you notes. Estimates are similarly customizable and can be branded to match the final invoices for a consistent client experience.
TrulySmall Invoices
By Kashoo Cloud Accounting Inc. (DataTax Group)
TrulySmall Invoices is transparent about its cost structure, with the primary expense being the subscription fee ($8.99/month). There are no hidden setup or maintenance fees. However, users should be aware of transaction fees associated with payment gateways. If a user chooses to accept payments via Stripe or PayPal through the 'Pay Now' button, they will be subject to the standard processing fees of those platforms (typically around 2.9% + $0.30 per transaction). TrulySmall addresses this by offering a 'Convenience Fee' feature that allows users to pass these costs onto the client. Other potential costs might include upgrading to the 'TrulySmall Accounting' suite ($20/month) if the user requires full bookkeeping features, but this is entirely optional and depends on the business's growth stage.
The platform is designed for intuitive use, minimizing the need for formal training; however, TrulySmall provides a wealth of resources for self-paced learning. The primary training hub is the 'Kashoo/TrulySmall Help Center,' which contains hundreds of articles, step-by-step guides, and video tutorials covering everything from setting up tax rates to reconciling payments. For new users, the app features an 'in-app onboarding' experience that highlights key features during the first use. Additionally, the TrulySmall blog and YouTube channel provide 'how-to' webinars and deep dives into small business financial management. For more complex questions, the company offers direct email and phone support from their Vancouver-based team, ensuring that users can get expert human assistance whenever they encounter a challenge.
Security is a top priority for the Kashoo/TrulySmall ecosystem, leveraging the same high-level infrastructure used by major financial institutions. All data transmitted between the user's device and TrulySmall servers is protected by 256-bit SSL/TLS encryption. Data at rest is stored in secure, SOC 2-compliant cloud environments (Amazon Web Services), featuring multi-layer firewall protection and regular vulnerability scanning. TrulySmall does not store sensitive credit card information on its own servers; instead, it uses secure tokenization via PCI-DSS compliant partners like Stripe and PayPal. This ensures that even in the unlikely event of a breach, user financial details remain inaccessible. Automated daily backups and high-availability server clusters ensure that data is always available and protected against loss.
TrulySmall follows a continuous deployment model, with regular updates pushed to both the web platform and mobile apps. On the web platform, updates are applied automatically without any user intervention. For mobile users, updates are released through the Apple App Store and Google Play Store, typically on a bi-weekly or monthly cadence. These updates range from minor bug fixes and performance optimizations to the introduction of major new features like enhanced reporting or new payment integrations. Users are notified of significant feature updates through in-app notifications and the monthly 'Product Update' email newsletter. The company maintains a public version history in the app stores, ensuring transparency about the changes being made to the software.
TrulySmall adheres to a strict 'user owns their data' policy. At any time, users can export their entire invoice history and client list. Invoices can be downloaded individually as high-quality PDFs or in bulk for archival purposes. For more comprehensive data portability, the platform allows users to export data in CSV format, which can be imported into other accounting tools or spreadsheets like Excel. This ensures that users are never 'locked in' to the platform and can maintain their own offline records for legal or audit purposes. If a user decides to cancel their subscription, TrulySmall maintains the data for a grace period according to their privacy policy, during which the user can still perform final exports before the account is permanently closed.
The TrulySmall ecosystem is specifically designed to handle the 'graduation' of a business from a simple side hustle to a more complex operation. TrulySmall Invoices serves as the starting point. When a business owner reaches the stage where they need to track expenses for tax deductions, they can add 'TrulySmall Expenses' to their bundle. As the volume of transactions grows and they require full financial statements (Balance Sheets and P&L), they can migrate to 'TrulySmall Accounting.' This migration is seamless, as both apps share the same database; no data re-entry is required. The platform's ability to handle multi-currency and multiple users (at the Accounting level) means it can support a business as it expands into international markets and hires its first employees.
TrulySmall offers a flexible, commitment-free subscription model. Users can choose between a monthly plan, which can be canceled at any time without penalty, or an annual plan that offers a significant discount for those who are ready to commit long-term. There are no long-term contracts or complex renewal terms; the subscription simply renews automatically at the end of each billing cycle unless the user chooses to cancel through their account settings. Cancellations take effect at the end of the current paid period. The terms of service also include a service-level commitment to high uptime and dedicated human support, ensuring that business owners can rely on the platform for their critical billing needs without fear of sudden service interruptions or hidden termination fees.
TrulySmall Invoices is built to meet the rigorous compliance standards required for modern digital business. It is fully GDPR compliant, ensuring that the personal data of users and their clients is handled according to European privacy laws. For payments, the platform is integrated with PCI-DSS compliant gateways, ensuring secure handling of credit card data. From a tax perspective, the software is designed to produce records that meet IRS (USA) and CRA (Canada) standards, with pre-categorized tax fields that simplify end-of-year filing. The company also follows SOC 2 guidelines for its internal data management practices. As global e-invoicing mandates (like those in the UK, Saudi Arabia, and UAE) evolve, TrulySmall is continuously updating its frameworks to ensure its users remain compliant with regional digital tax reporting requirements.
