Data Residency in Microsoft 365 Tenant: All meeting data remains within the organization’s own Microsoft 365 tenant. Sensitive meeting information is never transferred to Decisions’ servers, and the Decisions team has no access to customer materials.
No External Data Access: Meeting content, files, and communications are not stored on or processed by external third-party servers outside of the Microsoft 365 environment, minimizing exposure risks.
SOC2 Certification: Decisions is SOC2 certified, signaling that its internal controls meet strict criteria for protecting data privacy and security, particularly regarding service organization trust principles.

Major Releases: Major new versions are released every 18 to 24 months. When a new major version is released, it becomes the primary “Current” release, while the prior version transitions to a “Long Term Support” (LTS) status.

Tiered Release Streams: There are two main update tracks: “Current” (receiving all new features/fixes) and “LTS” (receiving only critical security fixes). Previous versions are phased out of support except for extraordinary cases.

Decisions’ policy on data ownership and portability is strongly focused on giving organizations full control and retention of their meeting data by leveraging the Microsoft 365 ecosystem.
Customer Retains Full Ownership: All meeting data—including agendas, notes, attachments, and decisions—remains the property of the customer organization at all times. Decisions do not gain any rights or access to the content created or stored through the platform.
No Third-Party Data Access: Sensitive meeting data is never stored on Decisions’ servers. The platform’s architecture ensures the Decisions team has no access to the materials users create, share, or manage within the product.
Storage within Microsoft 365 Tenant: All user data is stored within the organization’s Microsoft 365 tenant, primarily in SharePoint for meeting content and in Planner for tasks. This means organizations can directly manage, export, or migrate their data as needed without vendor lock-in.
Native Microsoft 365 Tools: Organizations can use Microsoft-native tools and permissions to export, archive, or transfer data, supporting easy portability if needs or platforms change in the future.
Decisions allows organizations to scale up or down easily by managing user licenses via a flexible, group-based approach and supports subscription adjustments according to changing organizational needs.
Group-Based License Management: Licenses for Decisions are assigned at the team or group level within the Microsoft 365 ecosystem. Adding or removing users is managed by including or excluding them from the assigned Teams or Groups, making scaling seamless.
Admin Portal Controls: Organizations have access to an admin portal for centralized license management. In this portal, license administrators can approve or revoke access for Teams or Groups, or respond to new license requests for OneDrive users by adding groups or direct users to the licensed pool.
Immediate Effect: Scaling up (adding more licensed users/groups) or down (removing users/groups) can be performed instantly via the admin portal, with changes reflected across the organization’s deployment as soon as the license status is updated.
Per User Pricing: Pricing typically starts at a specified per-user rate (e.g., USD $14/month on annual billing), providing straightforward cost predictability for scaling.
Approval Workflow: New users or teams/groups require approval before being licensed, ensuring governance over scaling and preventing accidental overages.
Decisions allow either party to cancel the agreement with three months' prior notice. This applies to both contract renewal and standard cancellation, ensuring flexibility for organizations that may need to end their subscription.
Notice Period: Either party may terminate the agreement by providing at least three months’ written notice to the other party before renewal or cancellation.
Immediate Termination for Breach: Decisions reserves the right to terminate a subscription immediately and deactivate the account if the customer is found to breach the agreement. In such cases, no refund is provided for fees already paid, and all access to the service is removed.
Free Trial and Inactive Accounts: Decisions may delete a free trial account after prolonged inactivity. Paid accounts that remain unpaid for more than 60 days may also be deleted.
End-of-Contract Obligations: At the end of the contract, the customer is required to remove the software from its infrastructure, as stipulated in the licensing terms.
