Additional Costs
Setup Fees: For most Spectra software products, there is no mandatory setup fee for standard installations, especially for web-based tools and page builders. However, more complex enterprise deployments or custom implementations may incur additional setup or professional service charges depending on the scope and requirements.
Maintenance Fees: Maintenance for the initial term (often the first year or two) is typically included in the purchase price. After this period, ongoing support and maintenance are available for an additional annual fee, which is specified in the current price list and may be subject to periodic increases.
Support Charges: Basic support is often bundled with the product. Premium or extended support (such as 24/7 or priority response) may be offered as an add-on at an extra cost, with prices varying by plan and service level.
Other Costs: Additional modules, advanced features, or extra user licenses may require separate purchases. Hardware upgrades, if needed for optimal performance, are the customer’s responsibility
Training
Training: Spectra provides a range of training resources, including video tutorials, documentation, and access to online academies (such as SkillJet Academy for web products)15. For enterprise and specialized solutions, onboarding and user training sessions may be conducted as part of the implementation process.
Support:
Standard Support: Includes access to extensive documentation, community forums, and ticket/email support.
Premium Support: Offers faster response times and priority handling, often as part of a paid plan.
Phone and Remote Support: Available for certain products, with technical assistance provided via phone or secure remote connection during business hours or 24/7 for some services.
Ongoing Assistance: Programs like Medallion Service (for property management software) ensure continued support and smooth operation after initial setup.
Escalation Procedures: Clearly defined escalation charts and multiple contact channels help resolve issues efficiently.
Security Measures
Spectra employs a multi-layered approach to security, addressing both digital and physical threats:
Network-Level Security: Includes robust firewalls, advanced traffic monitoring, and domain-specific blocking to prevent unauthorized access and malware.
Endpoint Protection: Ensures all connected devices (laptops, smartphones, etc.) are secured against threats.
Data Encryption: Data is encrypted both in transit and at rest, with integrated encryption features in storage management software to protect sensitive information.
Air-Gapped Storage: For long-term data protection, Spectra solutions can create immutable, physically isolated copies of data, enhancing resilience against ransomware and cyberattacks.
Compliance and Certifications: Spectra adheres to industry standards like ISO 27001, Cyber Essentials, and Cyber Essentials Plus, ensuring rigorous controls and regulatory compliance.
Proactive Threat Prevention: AI-powered analytics, real-time monitoring, and next-generation firewalls help detect and prevent threats before they cause harm.
Customizable Security Policies: Businesses can tailor security settings to their specific risk profiles and regulatory needs.
Supply Chain Security: Spectra Assure SAFE Levels benchmark software security, using binary analysis and hundreds of policy controls to identify vulnerabilities and enforce policy compliance.
Continuous Improvement: Regular audits, updates, and security assessments ensure evolving protection against new threats
Updates
Spectra software typically releases updates (service releases) about once a month, though updates may occur more frequently if necessary to address urgent issues or vulnerabilities. These updates include performance improvements, bug fixes, and minor enhancements, and are always free for the current version in use. Major upgrades, which introduce significant new features, are usually released annually and are free for the first year after purchase or as long as the maintenance plan or subscription remains active. Updates are managed through an automatic process: users are prompted to install updates, which are then downloaded to a shared folder and installed automatically. Both required and suggested updates are supported, and users can customize update timing or opt out of automatic updates in their preferences. For Spectra Logic storage products, updates and upgrades are cumulative, ensuring all previous enhancements are included when the latest version is installed.
Data Ownership and Portability
Spectra’s terms of use state that users retain full ownership rights to any content or data they submit to the platform. By submitting content, users grant Spectra and other users certain rights to use the content as necessary for service operation, but Spectra does not claim ownership. The terms also restrict commercial exploitation, large-scale data extraction, or redistribution of data without explicit written consent. Data use is intended for private and personal purposes unless otherwise agreed in a separate license agreement. While the terms do not specify detailed export procedures, the absence of ownership claims and restrictions on commercial use implies that users can request or export their data as needed, supporting data portability.
Scaling Up / Down
Spectra is designed for flexible scalability to accommodate changing organizational needs. For hardware-based solutions like Spectra Logic tape libraries, the TranScale architecture allows organizations to upgrade capacity quickly and cost-effectively by transferring existing components to a larger chassis, preserving the initial investment and minimizing downtime. Scaling up can be completed in less than half a day, and there is no need for complete system replacement—only the frame is changed, while drives, power supplies, and media are reused. This approach ensures seamless and affordable scaling, both for short-term and long-term requirements. For software solutions, user licenses and modules can typically be added or reduced based on usage, and support contracts or subscriptions can be adjusted accordingly.
The terms & conditions for contract renewal and cancellation
Contract Renewal:
Spectra software licenses and service agreements are typically offered on either a subscription or permanent license basis.
For subscriptions, the initial term begins upon activation and lasts for the duration specified in the quote or invoice. At the end of the initial term, the contract will automatically renew for successive terms of the same length unless either party provides written notice of cancellation at least 30 days before the current term expires.
Renewal fees for software subscriptions are based on the then-current rates at the time of renewal unless otherwise specified in the quote.
For hardware and support contracts, renewal is also possible on an annual basis, and Spectra may renew the service by sending an invoice or by continuing to make the service available. The customer can accept renewal by paying the invoice or by continuing to use the service.
If services are purchased through a reseller, the customer may need to coordinate renewal through the reseller or contact Spectra directly if a renewal quote is not received.
Contract Cancellation and Termination:
Either party may terminate the agreement if the other party commits a material breach and fails to cure it within 10–30 days of written notice, depending on the specific agreement.
For Spectra broadband and some service contracts, early termination by the customer is generally not permitted, and no refunds are provided for prepaid terms unless there is a technical issue preventing service delivery. In such cases, the refund process may take approximately 5–7 weeks after confirmation.
Upon expiration or termination, the customer must cease use of the software and destroy all copies, certifying this in writing to Spectra.
For support or professional services, a lack of response in scheduling may be considered a waiver of the right to use the service, and additional services outside the contract may incur extra charges.
For automatic renewals, written notice of cancellation must be given at least one month before the end of the agreed period, with the notice period starting when Spectra receives the cancellation notice.
Compliance
ISO/IEC 27001:2022: Spectra has achieved ISO 27001 certification, which is the internationally recognized standard for information security management systems. This demonstrates Spectra’s commitment to data protection, cyber risk management, and cyber-resilience.
Spectra Assure SAFE Levels: Spectra Assure products use a graded system (Levels 1–5) to benchmark supply chain and software security, based on hundreds of predefined policy controls and industry standards. These SAFE Levels enable organizations to set and enforce security policies for software packages, including digital signature validation, vulnerability management, and compliance with secure software development practices.
License Compliance: Spectra Assure enforces license compliance policies to prevent legal risks from improper use of software licenses, including restrictions on copyleft components, patent-protected code, and commercial use limitations.
21 CFR Part 11 (for Spectrum ES): Some Spectra software variants, such as Spectrum ES, are designed to help organizations comply with 21 CFR Part 11, which governs electronic records and signatures in the pharmaceutical and life sciences industries.
