Onboarding Resources for End Users: Streamlined onboarding flows for new users, including branded invitation emails, clear landing pages, and quick sign-up processes that guide users through profile creation and platform navigation. Administrators can also add custom questions during onboarding.
PeopleGrove has implemented several robust security measures to safeguard user data and maintain trust with its institutional partners and users:
SOC 2® Certification: PeopleGrove is a SOC 2 certified company, which means its data management and security practices have been independently audited and verified for compliance with strict industry standards for security, availability, processing integrity, confidentiality, and privacy.
Encryption: The platform requires secure connections for all users (HTTPS TLS 1.2) and encrypts all data both in transit and at rest. This ensures that sensitive information is protected from unauthorized access during transmission and while stored.
Secure Cloud Hosting: All data is hosted with leading cloud providers (Amazon Web Services and Google Cloud), both of which operate highly secure, SSAE 16 audited data centers. Unless specifically requested otherwise, data is exclusively hosted in the United States.
Application Security Best Practices: PeopleGrove follows modern application security best practices, including secure coding, regular security updates, and vulnerability management to protect against threats.
Third-Party Security Services and Network Scanning: The company employs third-party security services and network scanning tools to proactively identify and mitigate vulnerabilities and security risks.
Incident Response and Transparency: PeopleGrove maintains logging within its Google Cloud environment to monitor for unauthorized access or data exfiltration. In the event of a security incident, the company commits to investigating and notifying affected users if sensitive data is exposed.
PeopleGrove policy on data ownership and portability is defined primarily through its Terms of Service and Privacy Policy.
Data Ownership: According to the Terms of Service, all intellectual property rights in and to any “Customer Data” (meaning data submitted by the institution or its users) remain the sole property of the customer (the institution) and its authorized users. PeopleGrove, as the service provider, does not acquire ownership rights to this data. PeopleGrove is only permitted to use, host, transmit, and display the data as necessary to provide and support its services, for billing, technical support, compliance checks, or as required by law. The customer is responsible for all aspects of the data, including sourcing, management, accuracy, quality, legality, and privacy. This means that, in practice, the institution and its users retain control and ownership over their own data.
PeopleGrove software meets several important compliance standards relevant to data security and accessibility:
SOC 2® Certification: PeopleGrove is SOC 2 certified, which means external auditors have verified that the company maintains rigorous controls over security, availability, processing integrity, confidentiality, and privacy. All user connections are secured using HTTPS TLS 1.2, and data is encrypted both in transit and at rest. PeopleGrove also leverages secure, audited cloud providers (Amazon and Google) for data hosting and maintains a high uptime rate of 99.999%.
Section 508 Accessibility Compliance: PeopleGrove is committed to accessibility and strives to make its platform fully Section 508 compliant. The company conducts regular accessibility testing, trains developers and support teams on accessibility best practices, and uses third-party tools to ensure ongoing improvements. A Voluntary Product Accessibility Template (VPAT) is available for detailed review.
