Yardi Investment Accounting
By Yardi Systems, Inc.
Implementing Yardi Investment Accounting is a structured, multi-phase journey managed by Yardi’s Professional Services team or a certified partner. The process typically begins with a discovery phase to define investment structures, legal hierarchies, and specific reporting requirements. This is followed by data conversion, where historical financial data from legacy systems or spreadsheets is cleaned and migrated into the Yardi database. Configuration and testing phases follow, where the system is tailored to the client's workflows, including automated waterfalls and consolidation rules. A 'User Acceptance Testing' (UAT) period ensures the system meets all business needs before 'Go-Live.' Depending on the complexity of the portfolio and the cleanliness of the data, implementation can take anywhere from 4 to 9 months. Yardi provides dedicated project managers to ensure milestones are met and that the transition to the new system is as seamless as possible.
Yardi is renowned for its high degree of flexibility and customization. Users can tailor nearly every aspect of the platform, from user-specific dashboards and personalized menus to custom-built financial reports. The 'Investment Accounting' module allows for the configuration of complex, multi-tiered ownership hierarchies and unique transaction types specific to a firm's business model. Advanced users can leverage Yardi's 'YSR' (Yardi Spreadsheet Reporting) or 'SSRS' (SQL Server Reporting Services) to build bespoke, boardroom-quality reports. Furthermore, the system supports custom workflows for approvals, allowing firms to mirror their internal governance policies directly within the software. For deeper technical customizations, Yardi offers an open API and a marketplace of certified developers who can build integrations or add-on functionalities to meet unique operational needs.
Beyond the base subscription license fee, clients should account for several potential additional costs. The most significant is the one-time implementation fee, which varies based on the scope of the project and the volume of data being migrated. There may also be costs associated with third-party integrations (e.g., bank interfaces, CRM tools) or specialized training beyond the initial onboarding. For organizations requiring highly customized reporting or complex SQL-based configurations, additional consulting fees from Yardi’s Practice Groups or independent consultants may apply. Furthermore, certain ancillary products within the Yardi ecosystem—such as the RentCafe investor portal, Debt Manager, or Yardi Virtuoso AI features—may require separate per-module or per-transaction fees. It is advisable for firms to work closely with their Yardi account manager to get a transparent breakdown of all recurring and one-time costs during the procurement phase.
Yardi offers a comprehensive training ecosystem designed to ensure high user adoption and proficiency. This includes 'Client Central,' an online portal with an extensive library of on-demand webinars, how-to videos, and detailed product documentation. For new implementations, Yardi typically provides 'Train-the-Trainer' sessions or direct classroom-style training for end users. The company also hosts the annual Yardi Advanced Solutions Conference (YASC), which offers hundreds of deep-dive sessions led by product experts. For ongoing learning, Yardi offers 'Aspire,' a sophisticated Learning Management System (LMS) that allows organizations to create custom training paths and track employee progress. Additionally, many regional partners offer localized, in-person workshops. Whether through digital self-service tools or live expert-led sessions, Yardi ensures that teams have the resources needed to master complex investment accounting tasks.
Security is a top priority for Yardi, which hosts its solutions in the 'Yardi Cloud'—a global network of secure, high-availability data centers. The platform employs industry-standard encryption for data at rest and in transit, multi-factor authentication (MFA), and single sign-on (SSO) integration to ensure secure access. Physical security at Yardi data centers includes biometric screening, 24/7 video surveillance, and on-site security personnel. The software also offers granular, role-based access controls, allowing administrators to restrict sensitive financial data to authorized users only. Yardi conducts regular third-party penetration tests and vulnerability assessments to stay ahead of emerging threats. For firms with rigorous data residency requirements, Yardi offers regional hosting options to ensure data stays within specific geographic borders, providing an institutional-grade security posture suitable for global financial organizations.
Yardi follows a consistent release cadence to ensure that its clients always have access to the latest features and security patches. Major version updates—such as the transition to Voyager 8—occur every few years and bring significant architectural improvements. Between major releases, Yardi provides frequent 'plug-ins' and service packs that add incremental features and address bug fixes. For clients on the Yardi SaaS model, these updates are typically managed by Yardi’s cloud team, ensuring minimal downtime and reducing the IT burden on the client. Yardi also provides detailed release notes and 'What's New' webinars to keep users informed about new functionalities. This continuous evolution ensures the platform remains compliant with changing accounting standards and takes advantage of emerging technologies like AI and machine learning.
Yardi’s policy is clear: the client retains full ownership of all their data. Yardi acts as a data processor, providing the infrastructure and tools to manage that data, but the legal rights to the information remain with the customer. The platform includes various tools for data extraction, allowing users to export financial reports and raw data to common formats like Excel, PDF, or CSV at any time. In the event of contract termination, Yardi provides a standard procedure for delivering a final copy of the client’s database. This ensures data portability and prevents 'vendor lock-in,' giving firms the confidence that they can access and retrieve their critical financial information whenever necessary for audits, compliance, or strategic transitions.
Yardi is built for extreme scalability, making it suitable for firms ranging from mid-sized managers to the world's largest institutional REITs. The underlying database architecture is designed to handle high transaction volumes and complex, multi-tiered entity structures without performance degradation. As a firm grows, adding new properties, funds, or investors to the system is straightforward and does not require a redesign of the core accounting setup. The cloud-based infrastructure allows for seamless increases in storage and processing power as data volumes grow. Yardi's ability to support thousands of concurrent users across different global regions further demonstrates its scalability. Many of Yardi’s largest clients have scaled their portfolios significantly—adding thousands of assets over several years—while maintaining the same core Yardi environment, proving the platform's long-term viability for growing organizations.
Contracts for Yardi Investment Accounting are typically multi-year agreements, often with a three-year initial term. The terms include standard service level agreements (SLAs) regarding system uptime and support response times. Renewal terms are generally negotiated at the end of the contract period, and Yardi provides a clear cancellation policy that usually requires a notice period (e.g., 90 days). The agreement also outlines the scope of use, including the number of units or assets covered under the license. Clients should pay close attention to the 'usage' clauses to ensure they have the appropriate licenses for their expected growth. Yardi’s terms also include rigorous commitments to data privacy and security, aligning with global standards to protect the sensitive financial information managed within the platform.
Yardi maintains a rigorous compliance posture, undergoing annual independent audits to ensure it meets the highest industry standards. This includes SOC 1 Type II and SOC 2 Type II reports, which validate the company's internal controls over financial reporting and data security. The platform is fully compliant with the General Data Protection Regulation (GDPR) for European clients and provides tools to help firms meet their own GDPR obligations, such as data subject access requests. For U.S. healthcare-related real estate, Yardi supports HIPAA compliance. Additionally, the software is designed to facilitate compliance with global accounting standards like GAAP and IFRS, and it provides specialized reporting modules for industry benchmarks like NCREIF and IPD. This comprehensive compliance framework makes Yardi a trusted partner for institutional investors who must answer to strict regulatory bodies and stakeholders.
