Unlimited user accounts can be created, with customizable roles and permissions to suit different staff responsibilities.
Costs and Access:
Onboarding and training involve a one-off fee (€399), with extra training available at €50 per hour.
SabeeApp subscriptions are month-to-month, with no long-term commitment required.
SabeeApp employs a comprehensive set of security protocols and technologies to protect user and guest data, ensuring both compliance and robust defense against cyber threats.
Data Encryption and Storage
All data traffic is encrypted with at least TLS 1.2, ensuring secure transmission between users and SabeeApp servers.
Sensitive information in the database, such as credit card data, is protected using multi-layered encryption (e.g., 2-key encryption for credit cards, salted SHA-512 for passwords).
Data is stored in a multi-tenant infrastructure with strict user account separation, and real-life data is continuously replicated across multiple databases for redundancy.
Access Control and Authentication:
User permissions are customizable, allowing administrators to control who can access specific data and features.
Multi-Factor Authentication (MFA/2FA) is available and can be enforced for all users, adding an extra layer of login security.
Passwords are never stored as plain text; they are always hashed and managed securely.
Infrastructure Security
SabeeApp is hosted on Amazon Web Services (AWS), leveraging AWS’s advanced security protocols, regular updates, and infrastructure management by Amazon engineers.
Access to AWS and sensitive systems is tightly restricted, requiring strong passwords and MFA, and is granted only when necessary.
Incident Management and Monitoring
A strict incident management protocol is in place, including identification, communication, resolution, and documentation of any security incidents.
Regular black and grey box penetration tests are conducted with third-party experts to identify and address vulnerabilities.
Code quality and security are continuously monitored using tools like SonarQube.
Backup and Data Recovery
Nightly security backups are performed, storing the last nine copies for quick restoration if needed.
The database is divided into zones for redundancy; if one zone fails, another takes over automatically.
Compliance and Certifications
SabeeApp is PCI-DSS Level 1 compliant, ensuring the highest standards for payment data security.
The platform is GDPR-compliant, with processes and contracts updated to meet European data protection regulations.
Additional certifications include NTAK and VIZA, relevant for specific regional compliance.
People and Process Security:
All employees receive regular data protection and security training, and employment contracts include confidentiality clauses.
Engineers have read-only access to live databases, and internal passwords are managed securely with tools like 1Password and MFA.
User Data Control
Subscribers retain ownership of their data and have full control over access permissions.
Users can export or permanently delete their data, and SabeeApp staff cannot access user data without explicit permission.
Best Practices Encouraged
Regular staff training on cybersecurity threats and procedures is emphasized, recognizing that employees are the first line of defense.
Release Frequency
SabeeApp follows a continuous development and improvement cycle, regularly releasing updates to its platform. While the exact frequency of updates is not specified, the presence of multiple ongoing and in-progress development projects, such as major UI/UX redesigns (SabeeApp 4.0), new invoicing features, payment gateway integrations, and the addition of learning resources, indicates that updates are frequent and actively managed.
Update Management
Planned Outages: Updates and system maintenance are typically scheduled as planned outages. These planned outages are communicated in advance and do not count against SabeeApp’s 99.9% availability guarantee.
Continuous Availability: SabeeApp is committed to high uptime, with a Service Level Agreement (SLA) promising 99.9% system availability. Planned updates are managed to minimize user disruption and are excluded from downtime calculations.
Feature Rollouts: New features and improvements are rolled out as they become available, with ongoing projects and open feature requests visible to users (e.g., new payment integrations, folio updates, and training resources).
User Communication: Users are informed of planned outages and significant updates in advance. This ensures users can prepare for any temporary unavailability related to maintenance or new feature releases.
Data Ownership:
SabeeApp makes it clear that all personal and business data provided by subscribers (users) remains their property. SabeeApp does not share, sell, lease, modify, delete, or distribute any data provided by users without their explicit consent.
The platform acts as a data processor, especially in contexts like hotel bookings, where the hotel (or business) is the data controller and SabeeApp processes data strictly according to the controller’s instructions and for the purposes specified by the controller.
Data Portability
Subscribers have full control over their data, in line with GDPR requirements. Users can access, review, and export their data at any time.
Guests (end customers) also have the right to view, modify, or request deletion of their personal data recorded in the system, ensuring compliance with European data protection laws.
If a subscriber decides to leave SabeeApp, they can export their data before account closure, ensuring portability.
Flexible Subscription Model
SabeeApp operates on a month-to-month subscription basis, with no long-term contracts or license fees. This allows organizations to adjust their usage as their needs change, without being locked into lengthy commitments.
Scaling Up
You can add new rooms to your SabeeApp account at any time. When you do, your subscription plan is automatically upgraded to reflect the new number of rooms, and billing is adjusted accordingly from your next billing cycle.
Additional features and add-ons (such as Smart Solutions, SabeePay, Unified Inbox, or API access) can be added as needed, enabling you to expand the platform’s functionality as your organization grows.
Scaling Down
If you need to reduce the number of rooms or features, you can remove them at any time. Your monthly fee will be recalculated based on the updated room count or features for the next billing period.
There are no penalties or fees for reducing your subscription level, and you do not need to contact sales; changes can be made directly within your account settings.
Cancellation
You may cancel your subscription at any time via your account center. The cancellation takes effect at the end of your current billing period, ensuring you are not charged for unused time.
After cancellation, your account and data are retained for up to 7 months before permanent deletion, allowing for a smooth transition if you decide to return or need to export data.
Advance Notice for Fee Changes
Contract Renewal:
Automatic Renewal: SabeeApp operates on a month-to-month subscription model. After the initial trial period, subscriptions renew automatically each month on the same billing date as when the first payment was made.
No Long-Term Commitment: There are no long-term contracts or license fees. Users are not obligated to continue beyond any monthly period.
Fee Changes: If SabeeApp changes its fees or charges, users receive at least 30 days’ notice. Continued use after the change indicates acceptance of the new rates. Fee changes do not apply to the current billing period but take effect in the next cycle.
Contract Cancellation:
User-Initiated Cancellation: Users can cancel their subscription at any time through the account center within the application.
Effective Date: Cancellation takes effect at the end of the current billing period. For example, if you cancel on the 15th but your subscription is paid until the 1st of the next month, your account will remain active until the 1st.
No Refunds: There are no refunds for unused services or partial months, regardless of usage after payment.
Account Hold and Data Retention: After cancellation, SabeeApp retains the account and its data for up to 7 months. After this period, the account is archived, and all data is permanently deleted.
Reactivation: Users can return and reactivate their subscription within the 7-month retention window without losing data.
No Penalty for Cancellation: There are no penalties or additional fees for cancelling a subscription.
Promotional Periods: If a customer cancels a subscription during a promotional period (e.g., a 12-month discount), they may be required to reimburse the value of the promotion if stipulated in the promotion’s terms.
Modification of Subscription
Scaling Up/Down: Users can adjust their subscription (e.g., number of rooms or features) at any time. Changes take effect in the next billing cycle, with fees recalculated accordingly.
Self-Service: All modifications, including cancellation, can be managed directly in the user account without contacting sales or support.
