RouteManager
By Workwave
RouteManager typical implementation process:
Initial Consultation & Needs Assessment: RouteManager’s team works with your organization to understand delivery, scheduling, and integration requirements. This foundational step ensures the software is tailored to your business model and operational workflows.
System Setup & Account Creation: Users set up accounts via the cloud-based platform, assign roles (dispatchers, drivers, admins), and configure core company, route, and vehicle data. This can be completed online, typically within a few hours.
Integration with Business Tools: Connect RouteManager to your existing systems—such as order management, CRM, accounting, or eCommerce platforms—via built-in integrations or APIs. For most standard integrations, this step can take from a few hours to several days, depending on complexity and IT requirements.
Route & Workflow Configuration: Customize route planning parameters, vehicle constraints, service zones, and notification settings. Route goals (like optimizing time, distance, or stops) are set according to your business priorities. This setup usually takes less than a day for most businesses.
Import & Test Data: Import sample orders or address data using Excel/CSV files or live system data. Test route creation, simulated dispatching, and delivery scenarios to ensure workflows fit real operations. Initial testing and validation can often be done the same day.
Staff Training: Dispatchers, drivers, and managers receive onboarding support, including walkthroughs, help center resources, and video tutorials. Training for everyday users is designed to be rapid and can generally be completed within a few hours.
RouteManager offers a high degree of customization to fit a wide range of business needs, making it suitable for industries such as delivery services, courier, catering, white-glove logistics, sales teams, and more. Here are the main ways RouteManager can be customized:
Custom Route Parameters: Configure route optimization based on your goals—minimize travel time, distance, or number of stops. Adjust parameters for service windows, vehicle capacity, driver shifts, and customer preferences to reflect your operational constraints.
Flexible Order Import and Data Integration: Import orders and address lists from CSV, Excel, or via API. Integrate with popular platforms (eCommerce, CRM, accounting, WMS, OMS, etc.) to automatically synchronize orders and streamline data flow.
Workflow Automation: Automate order assignment, dispatch, and notifications based on business rules—such as priority deliveries, recurring services, or territory management—enabling touchless, rules-based operations.
Custom Notifications and Proof of Delivery: Set up personalized customer notifications for ETAs, deliveries, or exceptions. Configure proof-of-delivery workflows (photo, signature, barcode) according to customer requirements and vertical-specific needs.
Role-Based User Permissions: Assign dispatch, driver, admin, or manager roles with customizable dashboard visibility and access controls, supporting multi-location and hierarchical organizations.
Dashboard and Reporting Personalization: Utilize customizable dashboards and create bespoke reports/analytics based on criteria like route performance, driver activity, region/territory, or service type, so your team always has relevant KPIs in view.
Industry-Specific Workflows: Configure the platform to suit food delivery, courier, sales, white-glove services, asset transport, and more, each with distinct scheduling, dispatch, and reporting preferences.
Geofencing and Territory Management: Set up custom geofences/zones for delivery, service, or sales areas. Assign drivers/routes to specific territories or use dynamic allocation based on order load and geography.
Live Adjustments and Manual Controls: Beyond automated optimization, dispatchers can drag-and-drop stops, edit routes in real time, and reassign deliveries to respond on-the-fly to changing conditions or urgent requests.
Mobile App Customization: Tailor driver app workflows for checklists, communication, proof of delivery steps, or route receipt and updates, accommodating unique in-field requirements.
API and Webhooks: Use robust APIs and webhooks for custom integrations—syncing data to/from RouteManager with proprietary business tools or third-party platforms not covered by standard integrations.
Billing, Invoicing, Compliance Modules: For businesses needing custom compliance checks or billing/invoicing tied to deliveries or service completion, RouteManager supports workflow and field customization to incorporate these processes.
White-Labeled/Branded Experiences: For large clients or those wishing to deliver a unified brand image, the system can often be branded with custom colors, logos, and specific templates, especially across customer or driver-facing apps.
RouteManager is structured to make costs transparent and predictable for users—most charges are included in the main subscription fee, with additional costs only for optional advanced communication or specific add-ons. Here’s a breakdown:
Setup and Implementation Fees: There are typically no separate setup or onboarding fees. The subscription covers platform access, and new users can get started without upfront implementation charges.
Maintenance Fees: RouteManager is a cloud-based solution; there are no ongoing maintenance fees billed separately to users. Software updates, infrastructure upkeep, and regular improvements are included in your subscription price.
Support Charges: Standard customer support (email, chat, phone, and dedicated account management) is included in the subscription fee. Rapid-response and first-line support for configuration, system use, and troubleshooting are part of the package—there are no extra costs for regular customer service.
Communication Add-Ons: If you choose to use premium customer notification tools (like automated SMS, voice calls, or advanced communication plans), extra charges will apply based on usage, calculated as communication credits used per SMS/call, with credits purchased according to your notification volume needs. This is the main area where additional costs may appear.
Basic Subscription Pricing: Typical base pricing starts at $49–$54 per vehicle per month (minimum vehicle amounts may apply), and includes the core features and support.
RouteManager provides comprehensive training and support to ensure new users can quickly and effectively utilize the software:
Onboarding and Initial Training: New customers receive guided onboarding support, including walkthroughs of software setup, route configuration, dispatch workflows, and integration with other business systems. Training is tailored for dispatchers, drivers, and administrators to ensure all roles are comfortable with daily operations and advanced features.
Self-Service Resources: Users have access to a detailed online help center and knowledge base, offering step-by-step guides, video tutorials, and frequently asked questions that cover core functions and advanced topics. These materials enable independent, on-demand learning for users of all experience levels.
Live Training and Support: RouteManager’s customer support is recognized for its responsiveness. New clients can access real-time assistance via phone, live chat, or email for troubleshooting, rapid configuration guidance, or urgent issues. Dedicated account managers may be provided for larger customers or those with more complex requirements.
Ongoing Learning and Updates: Training is not restricted to onboarding; as new features and updates are rolled out, RouteManager provides communication and update notes, and support remains available to help users adapt to any product enhancements.
RouteManager implements a robust set of security measures to protect user and business data throughout its cloud-based route management platform. Here are the key data protection mechanisms in place:
Data Encryption: RouteManager uses encryption protocols to safeguard data both in transit and at rest. This means sensitive information, such as customer and delivery data, is encrypted during transfer between systems and while stored on RouteManager servers, preventing unauthorized interception or access.
Access Controls and User Permissions: The software provides differentiated and role-based access controls, allowing administrators to define user roles (like dispatcher, driver, admin) and set granular data access permissions. This limits data visibility only to authorized personnel, reducing internal risk.
Audit Trails and Logging: RouteManager maintains logs of user activity, tracking who accessed, modified, or deleted sensitive data. This ensures accountability and provides a traceable record in case of incidents or audits.
Network and System Protections: The platform is protected by enterprise-grade firewall and anti-virus systems, regular system backups, and continuous monitoring to detect and respond to potential threats like malware or unauthorized access.
Separation and Segregation: Sensitive data stored for different business purposes is segregated, and restrictions are enforced to prevent cross-access or data blending, supporting privacy and compliance needs.
Business Continuity: Regular data backups, remote storage, and business continuity protocols ensure that user data can be restored quickly after incidents, minimizing the risk of data loss or prolonged downtime.
Compliance and Privacy Policies: RouteManager supports compliance with key privacy principles by enabling data retention, erasure upon request, and limiting data use to legitimate, contractually agreed upon purposes. Their privacy policy also emphasizes no sale or unauthorized sharing of customer data.
RouteManager releases software updates on a regular, ongoing schedule—typically every few months—to deliver new features, security enhancements, performance improvements, and bug fixes to its users. The update cadence is designed to keep the platform modern and responsive to changing industry needs, user feedback, and the latest technological advancements. Updates are applied both to the web-based management interface and to mobile applications, with recent mobile updates documented as recently as January 2025.
Update Management Process:
Automatic Cloud Deployment: As a cloud-based SaaS solution, updates are automatically rolled out to all users. There is no need for manual installation or separate downloads; when new features or improvements are released, organizations receive them seamlessly across their RouteManager dashboards and mobile driver apps.
Mobile App Updates: Mobile application releases (iOS/Android) are pushed through their respective app stores. Users are prompted to download new versions, often with update notes outlining new functions or fixes.
Transparent Communication: RouteManager typically notifies users about significant updates or new features via release notes, emails, or dashboard alerts. The support team assists with any transition or learning required for major changes.
Centralized and Synchronized: Because all RouteManager modules are centrally managed, updates are synchronized across components, ensuring interoperable and consistent workflows.
RouteManager adopts a data ownership and portability approach common to major SaaS logistics platforms, focusing on customer control and transparent access to business data:
Data Ownership: Businesses retain ownership of all operational, customer, and delivery data input into the RouteManager platform. WorkWave functions as a data processor and custodian, meaning RouteManager uses your data solely for providing contracted services and improving its solutions. The company does not claim proprietary rights to user data and does not sell or misuse business/customer data for unrelated purposes.
Data Access and Portability: Users can download or export their data at any time, including route plans, order details, proof-of-delivery records, and analytical reports. Exports are typically available in standard formats (CSV, Excel, or via API), enabling clients to audit, migrate, or analyze business data independently. This ensures straightforward transitions if you ever need to switch systems.
Account Termination and Data Deletion: Upon contract termination or by user request, RouteManager will delete client-specific data from its systems, with any legally required retention periods observed as appropriate. Customers have the right to request the erasure of their information, and WorkWave’s privacy policy supports compliance with global data protection standards.
No Vendor Lock-In: The subscription-based model and direct export tools mean there are no technical or contractual barriers to leaving RouteManager. Organizations maintain ongoing control over their data, can retrieve it at any time, and exit the platform without risk of data lock-in.
RouteManager is designed with flexible, subscription-based terms that make scaling up or down straightforward as your organizational needs change:
Modular Subscription Model: Pricing is typically based on the number of vehicles or user licenses. You can add or remove vehicles/users as your delivery volume or team size fluctuates, with changes reflected in your monthly or annual subscription cost.
No Delivery Volume Limits: RouteManager does not charge per delivery—costs are tied to resources (vehicles/users) rather than the amount of work processed. This allows your organization to handle seasonal spikes or sudden contractions without penalties or usage overages.
Easy Plan Modification: Upgrading (scaling up) or downgrading (scaling down) your plan can be managed directly through your account dashboard or with the sales/support team. Adjustments can take effect at the next billing cycle, so you’re not locked into persistent overcapacity or excess charges.
Dedicated Support & Customization: For growing businesses or those with complex needs, you can contact RouteManager’s team to explore custom plans or tailored solutions, allowing you to scale to larger fleets or integrate with other systems when necessary.
No IT Involvement Needed: RouteManager is a cloud-based SaaS solution, so scaling does not require in-house IT changes or hardware, making expansion or reduction rapid and low-effort.
Terms and conditions for contract renewal and cancellation for RouteManager
Automatic Subscription Renewal: RouteManager operates on a subscription-based model, typically monthly or annually. Subscriptions auto-renew at the end of each billing cycle unless canceled by the user.
Billing and Payment: Charges are based on the number of vehicles or licenses chosen. Customers are billed automatically at the agreed-upon rate, and renewal terms are specified during sign-up or contract negotiation.
Flexible Plan Adjustments: Users can upgrade or downgrade the number of vehicles or user licenses at any time. Changes usually take effect with the next billing period.
No Long-Term Commitment (Standard Plans): Most subscriptions do not require a long-term contract unless explicitly arranged for enterprise contracts. This allows users to maintain flexibility as business needs change.
Notification of Changes: Customers are typically informed of major policy or pricing changes before their next renewal. Ongoing use of the service constitutes acceptance of updated terms.
Cancel Anytime: Most users can cancel their subscription at any time without penalty. Cancellations can typically be managed directly through the account dashboard or by contacting customer support.
Service Access Until Period End: Once canceled, access to RouteManager continues until the end of the paid subscription period. There are no pro-rated refunds for early cancellation.
No Setup or Exit Fees: There are no additional setup, onboarding, or exit charges. Costs are limited to the subscription fees already paid.
No Hidden Penalties: There are generally no cancellation fees for ending the contract, making it risk-free to stop service if operational needs change.
Enterprise Contracts: For custom or enterprise-level contracts, specific cancellation and renewal terms may be outlined individually, including any notice period or minimum commitment if negotiated.
Data Access and Deletion: Customers can export their operational and business data before cancellation. Upon termination, RouteManager will delete customer data from its systems on request, except where legal retention is required.
