Quentic is designed as a flexible, modular platform to support organizations as their needs evolve. Here’s how scaling up or down typically works with Quentic:
Modular Expansion: You can add new modules (e.g., Health & Safety, Environmental Management, Legal Compliance) at any time. This lets you expand the platform’s scope as your compliance or operational requirements grow.
User and License Increase: Additional user licenses can be purchased as your team expands. The licensing system is designed to accommodate unlimited growth, ensuring smooth onboarding for new employees or departments.
Feature Activation: Activate advanced features or integrations (e.g., analytics, mobile access) as your organization’s complexity increases, with instant availability in the cloud environment.
Module Reduction: If certain modules or features are no longer needed, they can be deactivated or removed from your subscription, allowing you to streamline the platform and reduce costs.
User and License Reduction: Licenses can be adjusted downward if your team size decreases, typically at the end of the current billing cycle or contract term.
Subscription Flexibility: The cloud-based subscription model allows for adjustments in scope and scale with minimal administrative effort.
Subscription-Based Model: Changes in usage—whether scaling up or down—are reflected in your subscription fees. Expanding modules or users increases costs, while reducing them can lower your monthly or annual charges.
No Service Disruption: All changes are managed centrally in the cloud, so scaling up or down does not interrupt your access to the platform or your data.
Notice Periods: Adjustments to your subscription may require notice, typically aligned with your billing cycle or as specified in your agreement. Confirm the exact notice period in your contract.
Customer Support: Quentic’s support team assists with scaling requests, module activation or deactivation, and user management, ensuring a seamless transition as your needs change.
Automatic Renewal: Quentic subscriptions typically renew automatically at the end of each subscription term (monthly or annually), unless a written notice of non-renewal is provided at least 30 days before the end of the current term.
Notice Period: A minimum of 30 days’ written notice is generally required to prevent automatic renewal. This notice must be submitted before the renewal date to avoid continuation of the contract for another term.
Renewal Pricing and Terms: Renewals are subject to Quentic’s then-current pricing and terms. Any price adjustments or changes to service levels may take effect at renewal, with prior notice provided to the customer if required by the agreement.
Order Form Controls; The specific details of renewal—such as term length, user limits, features, and fees—are outlined in the Order Form or service agreement. Any desired changes for the next term should be negotiated and documented before renewal.
Seamless Service: Renewal is managed centrally via the cloud, ensuring there is no service disruption or downtime for users.
How to Cancel: Cancellation requires written notice, usually submitted via email or through your account management portal. The cancellation takes effect at the end of the current paid subscription period unless otherwise specified in your agreement.
Immediate Termination: Either party may terminate the contract for cause with written notice, such as in cases of material breach or insolvency. The agreement may specify additional grounds for immediate termination.
Refunds: Fees already paid are generally non-refundable. Early termination does not typically entitle the user to a refund for the unused portion of the subscription term.
Data Retention and Export: Upon cancellation, users retain ownership of their data and may request an export in a standard format. Data is retained only as long as necessary for legal or operational reasons and is deleted thereafter, in line with Quentic’s data retention policy.
Access After Cancellation: Access to the platform continues until the end of the paid term after cancellation. After this period, access is revoked, but users can request data export before the account is closed.
