Flowfinity typical implementation process:
Needs Assessment and Planning: Begin by identifying your organization’s business processes, data collection needs, and workflow requirements. Flowfinity’s team collaborates closely with clients to define objectives and desired outcomes, ensuring the solution aligns with existing processes and business goals.
Account Setup and Platform Access: Set up your Flowfinity account and assign administrator roles. The platform is cloud-based, so there’s no need for complex installations, and users can quickly gain access to the app builder and management console.
Application Design and Configuration: Use Flowfinity’s no-code, drag-and-drop app editor to create custom forms, workflows, and dashboards. The intuitive interface allows both technical and non-technical users to build and configure apps, automate workflows, and set up real-time data capture and reporting. Sandbox environments are available for development and testing.
Integration and Data Import: Integrate Flowfinity with your existing systems (such as ERP, CRM, or databases) using APIs or CSV import/export. Batch integration and automated data sync can be configured for seamless data flow between platforms.
User Onboarding and Training: Add users, assign roles and permissions, and provide training using Flowfinity’s help resources, video tutorials, and support team guidance. The platform’s intuitive design helps drive user adoption and reduces the learning curve.
Testing and Validation: Conduct thorough testing in sandbox mode to validate workflows, data capture, and integrations. Make any necessary adjustments based on feedback and ensure all processes function as intended before full deployment.
Flowfinity implements a suite of security measures to protect data across its platform, catering to both cloud-based and self-managed deployments. These measures encompass data encryption, access controls, deployment flexibility, and secure integrations.
HTTPS and TLS Encryption: All data transmitted between clients and servers is secured using HTTPS and Transport Layer Security (TLS), safeguarding information during transit.
Secure Email Notifications: Flowfinity supports secure SMTP connectivity with encryption, ensuring that automated email notifications are transmitted securely. AiThority
Role-Based Permissions: Administrators can define user roles to control access to specific data, applications, and functionalities, ensuring users interact only with authorized information.
Integration with Active Directory: Flowfinity integrates with existing Active Directory services, facilitating centralized user authentication and management.
Password Policies: The platform allows the implementation of password lockout policies to prevent unauthorized access through repeated failed login attempts.
Self-Managed Deployment: Organizations can opt for on-premises installations or host Flowfinity on their own cloud infrastructure (e.g., AWS, Azure), granting full control over data security, availability, and compliance.
Centralized Data Storage: Flowfinity utilizes a Microsoft SQL Server backend for robust data management, providing transactional integrity and centralized backup capabilities.
Audit Trails: The system maintains comprehensive logs of user activities and data changes, supporting accountability and compliance requirements.
Data Validation: Implementing rules to ensure data accuracy and consistency at the point of entry helps maintain data integrity.
Offline Data Management: For mobile users, Flowfinity offers offline capabilities with data synchronization upon reconnection, ensuring data is not lost and is securely updated.
REST API and Web Services: Flowfinity provides secure APIs for integrating with external systems, enabling data exchange while maintaining security protocols.
Flowfinity's policies on data ownership and portability are designed to provide flexibility and control to users, particularly those opting for on-premises or private cloud deployments.
Flowfinity does not claim ownership of the data you input into its platform. For on-premises installations, you retain full ownership and control over your data, including the underlying Microsoft SQL Server database. This setup allows for complete autonomy over data management, security, and backup procedures. For cloud deployments, while Flowfinity manages the infrastructure, you maintain ownership of your data. The platform offers tools to export data, ensuring you can access and manage it as needed.
Flowfinity supports data portability through several mechanisms:
Direct Database Access: For on-premises deployments, you can directly query the SQL Server database using standard tools like Microsoft SQL Server Management Studio or Excel, facilitating data extraction and migration.
Export Automation: Flowfinity provides HTTP-based export automation, allowing you to export records in CSV or PDF formats.
REST and SOAP APIs: The platform offers REST and SOAP APIs for transactional and batch integrations, enabling seamless data transfer to external systems.
Flowfinity provides a comprehensive suite of terms and conditions governing contract renewal and cancellation, tailored to accommodate various deployment models and client needs. Below is a detailed overview of these policies:
1. Subscription Renewal Terms
Automatic Renewal: Flowfinity subscriptions automatically renew at the end of each term unless a non-renewal notice is provided.
Notice Periods:
Monthly or Quarterly Subscriptions: Non-renewal notice must be given at least 7 days before the current term ends.
Annual Subscriptions: Non-renewal notice must be given at least 30 days before the current term ends.

2. Pricing and Billing Adjustments
Access Tokens: Flowfinity offers a flexible pricing model using access tokens, where fees apply only when an application transaction is made. This allows organizations to economically extend business process participation to all key stakeholders, both internal and external. Tokens are billed on a per-transaction basis, instead of flat monthly fees, enabling cost-effective access for infrequent or short-term users.
Subscription Fees: Fees are typically billed in advance regularly (e.g., monthly or annually). Any changes to subscription fees will be communicated in advance, and clients have the option to cancel before the new fees take effect.
1. Termination by Flowfinity
Material Breach: Flowfinity may terminate the agreement if the client materially breaches the terms and fails to cure the breach within a specified period.
Withdrawal of Services: Flowfinity reserves the right to withdraw from providing any or all services at any time, with notice to the client. In such cases, Flowfinity may refund prepaid fees for unexpired months of the terminated services.
2. Termination by Client
Without Cause: Clients may stop using the services at any time without cause. However, Flowfinity will not be obligated to provide a refund of any prepaid subscription fees, and the client is obligated to pay the remaining fees owed for the term listed in the order form.
3. Refunds and Prorations
Refund Policy: Except when required by law, paid subscription fees are non-refundable. Certain refund requests may be considered on a case-by-case basis at Flowfinity's discretion.
