Axxon implements a suite of security measures to protect user data and ensure system integrity within its fleet management and Industrial IoT solutions. Here are the key data protection strategies and security features deployed by Axxon:
End-to-End Encryption: All data transmissions, including video and telemetry, are encrypted using TLS via HTTPS. This protects information both in transit and at rest, preventing unauthorized interception or access.
Secure User Authentication: The platform enforces strong password policies, including minimum length, password strength checks, expiration, and password history requirements. Users are prompted to change default passwords upon their first login. Two-factor authentication and reCAPTCHA on login further enhance security.
Role-Based Access Control (RBAC): User permissions are managed through robust RBAC mechanisms, restricting data and system functionality based on defined user roles. Only authorized personnel may access sensitive or unmasked data.
System Integrity Checks: At server start-up, Axxon automatically verifies the digital signatures of all executable files. If discrepancies are found, the system can take pre-configured actions, including warning administrators or blocking access, helping prevent unauthorized software modifications.
Audit Trails and Activity Logs: Comprehensive logging of user activity (including IP/MAC addresses and attempted exports) is maintained to ensure transparency, traceability, and accountability. Logs are tamper-resistant, supporting forensic investigations and regulatory compliance.
Privacy Masking: To meet GDPR and other privacy standards, Axxon offers dynamic privacy masking that blurs faces, license plates, or other sensitive elements in video feeds. This applies to both live and recorded video, with masks retained in exported files.
Data Retention and Portability: Organizations can set data retention policies to ensure that personal data is not kept longer than necessary. The platform allows authorized users to export data in a machine-readable format and delete data to comply with right-to-erasure requirements.
Cloud Security: Axxon's cloud services only accept connections via secure, encrypted protocols, with password hashing to ensure that no credentials are stored in cleartext. No external ports need to be opened for cloud connections, minimizing exposure to potential threats.
Incident Response and Notifications: Real-time alerts are issued for suspicious system activity or security incidents, enabling rapid responses to threats. Integrated reporting tools facilitate compliance with security incident reporting requirements.
Axxon regularly releases updates to its software platform, with a clear and structured update management process designed for minimal disruption and strong system security.
Update Frequency:
Major releases are typically issued every 1 to 1.5 years, introducing significant new features and architectural changes.
Minor releases, which provide incremental enhancements and feature updates, usually occur every 3 to 5 months.
Bug fixes and security patches are released most frequently, about every 3 to 5 weeks, ensuring the system remains stable and secure.
Release notes for each version, including specific release dates, are made available on Axxon's official documentation portal and download pages. For example, in 2025, versions 2.0.4 (July), 2.0.6 (November), 2.0.8 (February), and 2.0.10 (April) were released.
Update Management:
Updates are managed centrally and can be deployed silently across servers in a cluster, which means all system servers can be updated at once or in sequence, enabling continuous operation and minimizing downtime.
When the client software connects to a server running a newer version, users are prompted to update their client applications; upon confirmation, the update is applied automatically, ensuring all users stay on the latest version.
Administrators are notified about available updates, and software packages are downloaded from the cloud and installed remotely. This process supports remote updating for large, distributed systems and is designed to be straightforward for IT teams.
Backup is strongly recommended both before and after updates, and detailed release notes provide information on any changes, compatibility points, or actions required by users and administrators.
Axxon’s policy on data ownership and portability is built around transparency, user control, and compliance with privacy regulations such as the EU General Data Protection Regulation (GDPR):
Data Ownership: When you use Axxon’s services, you retain ownership and effective control over your personal and operational data. The company serves as the “data controller” only in cases where you contract directly with it for software or platform services, processing your data solely to provide, improve, and support those services. Axxon does not claim ownership of your business or vehicle data, and your information is treated as confidential. Any data you provide (e.g., fleet, driver, or operational data) remains under your authority. Axxon commits not to disclose, sell, or commercialize user data to third parties except where legally required or authorized by the user.
Portability Rights: Axxon enables data portability in compliance with GDPR and similar regulations. Users have the right to request access to their personal data, transfer (export) their data in a commonly used, machine-readable format, and request deletion of their information. You can access, amend, delete, or transfer your data by logging into your account or contacting Axxon support. These rights ensure that, should you decide to leave the platform or switch providers, you can retrieve your data in a usable format.
Integration and Export: The platform supports integration with third-party services, and imported/exported data can flow between Axxon and these services with user approval. This makes operational data portable for reporting, compliance, or migration to other systems.
Data Protection: Axxon takes organizational and technical measures to safeguard your data, including encryption, strong access controls, and privacy-by-design features (e.g., privacy masking for video data). If data loss or unauthorized disclosure occurs, Axxon promptly notifies affected users and takes steps to prevent further issues.
Axxon’s platform is designed to offer flexibility as organizational needs change, allowing companies to scale up or down their use of its fleet management and IoT solutions. The system’s architecture is inherently modular, enabling clients to add or remove features and modules—such as fleet tracking, temperature monitoring, asset management, or dash cam integrations—based on current requirements.
Subscription Flexibility: Customers can adjust their subscription to include more vehicles, assets, or services as their fleet grows, or scale back when fewer resources are needed. The billing structure typically reflects this dynamic use, so you pay for what you need at any point in time.
Cloud-Based Platform: Because Axxon operates as a cloud-based platform, scaling access for additional users, devices, or features does not require large infrastructure investments or lengthy onboarding times—expansion or reduction can be made quickly with minimal disruption to operations.
Modular Customization: The platform’s micro-module design allows organizations to deploy or deactivate individual modules as business priorities evolve. This means companies are not locked into oversized or undersized solutions but can right-size their deployment with ease.
Support for Rapid Changes: Axxon’s support team aids in reconfiguring systems during periods of growth or downsizing, handling everything from device installation to system re-customization to ensure continued smooth operation.
Terms and conditions for contract renewal and cancellation for Axxon :
Minimum Term Commitment: Each device or subscribed service on Axxon’s platform carries an initial minimum term of 24 months. Early unilateral termination by the client is not permitted during this period, except in cases allowed by law or proven breach by Axxon. Even if you stop actively using the service before 24 months, you remain obligated to pay the subscription fees for the entire term.
Automatic Renewal & Ongoing Service: After the initial 24-month minimum term, the contract for each device automatically shifts to a month-to-month arrangement, allowing for much greater flexibility. Clients may then cancel any device, or the full contract, by giving at least 30 days’ written notice—no additional term commitment applies unless a new agreement is reached in writing.
Early Termination Penalty: If a client chooses to end the contract or cancel a service early (before the 24 months expire) for reasons other than an admitted material breach by Axxon, an early termination penalty applies. This penalty is equal to 100% of all remaining subscription fees due for the canceled services through to the end of the 24-month term.
Termination by Provider (Axxon): Axxon may terminate the contract during the term if the client commits a material breach that is incapable of being remedied or remains uncured after 15 days’ written notice. In such cases, the client must still pay the early termination penalty.
Mutual Termination: The contract can only be terminated for convenience during a fixed term if both parties mutually agree in writing, including terms for any applicable fees or adjustments.
Post-Termination Steps: Upon any contract termination, the client’s right to use Axxon’s services ends immediately. Clients must return all equipment (such as GPS trackers or dashcams) to Axxon unless there is a separate purchase agreement for hardware. All outstanding invoices must be paid, and pre-paid fees may be refunded on a pro-rata basis when termination occurs without penalty (e.g., for provider breach or mutual agreement).
Notice Requirements: 30 days’ advance written notice is required for cancellation after the initial 24-month commitment ends.
Equipment Ownership: Hardware remains Axxon’s property unless specified otherwise—all devices and SIM cards must be returned at contract end.
