Implementing aiio is significantly faster than traditional BPM systems. While legacy projects often take 6 to 12 months, aiio can be productively deployed in as little as 30 days. The process begins with a 5-minute registration and M365 tenant connection via Single Sign-On. Organizations then use the 'AI Process Vacuum Cleaner' to ingest existing documentation, creating an immediate process baseline. This is followed by a 'crowd mining' phase where employees validate and enrich the automated models. A typical go-live involves an introductory 3-hour online training for key users, after which the system is fully operational within the existing Microsoft Teams environment without any local installation required.
aiio offers extensive customization through a 'low-code' approach. Users can enrich process elements with custom metadata, person-related information, and role-based responsibilities. The UI can be configured to reflect the organization's specific 'Process Landscape' hierarchy, ranging from core value-creation processes to support and management activities. While it uses standard BPMN 2.0 symbols, it allows for a 'Lean' modeling style that can be customized based on the technical maturity of the team. Integration with Power BI also allows for highly customized reporting dashboards that pull specific KPIs from the process data held within the system.
aiio maintains a transparent pricing structure with few hidden costs. The base subscription includes hosting on Azure and standard updates. Potential additional costs include 'aiio Services' for premium training bundles (typically 4 online sessions of 3 hours each) or specialized 'BPMN Modeling' workshops. For enterprises on the 'Excellence' plan, there may be costs associated with connecting custom-owned AI models or extensive API-based integrations with third-party ERP/CRM systems. However, because it uses the customer's existing M365 licenses and SSO, there are no additional 'per-login' or infrastructure maintenance fees common with on-premise solutions.
Training is a cornerstone of the aiio ecosystem. The 'aiio Academy' provides a free, comprehensive library of video tutorials covering everything from basic navigation to advanced swimlane modeling. For structured learning, aiio offers a 'Training Bundle' featuring 4 online sessions (3 hours each) led by process experts. They also provide a 'Refresher' course for existing customers to learn about new AI features. Because the UI is designed to feel like a native Microsoft product, user adoption training is minimal—aiio promises that if an employee can use Microsoft Teams, they can master aiio without weeks of specialist schooling.
Security is handled with enterprise-grade rigor through a 'Native-M365' approach. All process data is stored encrypted and remains within the customer's own Microsoft 365 tenant, meaning aiio only accesses it via secure APIs and never 'owns' or silos the data. The platform leverages Microsoft Azure's world-class security infrastructure, including multi-factor authentication (MFA) and Single Sign-On (SSO). aiio GmbH is ISO 27001 certified and fully GDPR compliant, with data hosting primarily in German data centers. Customers also have the choice of where their AI processing occurs, ensuring compliance with internal data residency policies.
aiio follows a rapid SaaS release cadence, with updates and improvements typically deployed every few weeks. Release notes are publicly available in the 'Download Center' and 'News' section of their website. Updates are automatically applied to the cloud-native platform, ensuring all users have access to the latest AI agents and security patches without manual intervention. The company also uses a 'Feature Newsletter' to proactively inform 'Process Champions' about major new capabilities, such as the recent launch of the 'Agent-Based Change Tracking' system.
Data ownership is a non-negotiable principle for aiio. Unlike other SaaS BPM tools where data is exported to the vendor's cloud, aiio processes stay in the customer's Microsoft tenant. The customer retains 100% ownership and control over all process data, diagrams, and metadata. Export options are robust, allowing users to download documentation in standard formats or keep them integrated within SharePoint Online. This 'no-lock-in' strategy ensures that if a company ever chooses to leave the platform, their process landscape remains a permanent part of their own IT infrastructure.
aiio is built on the highly scalable Microsoft Azure architecture, making it suitable for organizations ranging from 50-employee startups to global enterprises with tens of thousands of users. Its flexible license structure allows departments to be added or removed in real-time. The 'Organizational Crowd Mining' approach is specifically designed to handle the complexity of large organizations by decentralizing the maintenance of processes; as the team grows, the 'crowd' keeps the data accurate without overwhelming a central process manager. The platform's hierarchical 'Process Landscapes' can support thousands of individual process models without performance degradation.
aiio's contract terms are designed for modern business flexibility. Subscriptions are generally billed monthly or annually, with the 'Excellence' plan offering more customized contract structures. Cancellation policies and renewal terms are standard for SaaS, with a strong emphasis on data portability—ensuring that all process knowledge remains accessible in the customer's SharePoint environment even after a subscription ends. For startups, the first year is completely free, after which they can transition into a paid tier based on their growth and feature requirements. Service Level Agreements (SLAs) are aligned with Microsoft's own high availability standards.
Compliance is a core feature of aiio. The software is designed to help companies achieve and maintain certifications like ISO 9001, ISO 27001, and ISO 14001 by providing the necessary transparency and documentation trails required by auditors. The 'Governance Workflow' ensures that all process changes are approved by authorized personnel, creating a tamper-proof audit log. Being a German company, aiio adheres to the strictest GDPR standards. Its integration with Microsoft Purview also allows customers to apply their own enterprise-wide compliance and sensitivity labels to process data, ensuring that regulatory requirements are met across the entire M365 environment.
