Data encryption is a key component of Accela's security strategy. All data transmitted between the user's device and the cloud server is encrypted using industry-standard encryption protocols. This ensures that even if data is intercepted during transmission, it remains unreadable and secure.
Accela also employs regular security audits and assessments to identify and address potential vulnerabilities. These audits are conducted by third-party security experts who evaluate the system's defenses and recommend improvements. This proactive approach helps to ensure that the software remains secure against evolving threats.
In addition to technical measures, Accela has strict access controls in place. Only authorized personnel have access to sensitive data, and access is granted based on the principle of least privilege. This means that users only have access to the data and features necessary for their role, reducing the risk of accidental or intentional data breaches. Regular training and awareness programs are also conducted to ensure that all users understand and adhere to security best practices.
Updates
Accela releases updates to its software on a regular schedule to ensure that users have access to the latest features, enhancements, and security improvements. The company typically releases two major versions each year, one in the Spring and another in the Fall. These major updates often include significant new features, performance enhancements, and broader improvements to the platform.
In addition to the biannual major releases, Accela provides monthly Service Packs. These Service Packs address minor issues, bug fixes, and incremental improvements, ensuring that the software remains stable and secure between major updates. Data Ownership and Portability
Accela's policy on data ownership and portability is designed to ensure that customers retain full control over their data. According to the terms of service, customers retain all rights, title, and interest in their data. This means that Accela does not claim ownership of any data that customers input into the system. The company only processes and stores customer data to provide the subscription service and as permitted by its privacy policy.
Accela allows customers to access, amend, correct, or delete their personal information with proper identification verification. This ensures that customers can manage their data as needed and comply with any regulatory requirements for data management. The company also supports data portability, enabling customers to export their data in a common format, such as CSV or XML, which can be used to transfer data to other systems if necessary.
In terms of data security, Accela implements commercially viable and reasonable information security processes to protect the confidentiality and integrity of customer data. This includes encryption, access controls, and regular security audits to safeguard against unauthorized access and data breaches. Customers can be assured that their data is handled with a high level of security and privacy.
Accela's commitment to data portability also means that if a customer decides to terminate their contract, they can export their data before leaving the platform. This ensures that customers are not locked into the system and can move their data to another service provider if they choose to do so.
Scaling Up / Down
Accela's software is designed to be scalable, allowing organizations to adjust their usage based on changing needs. This scalability is a key feature of the Accela Civic Platform, which can accommodate varying levels of demand and complexity. Organizations can scale up by adding more users, modules, or features as their needs grow. Organizations are encouraged to review these terms carefully and discuss any potential changes with their Accela account representative to ensure a smooth transition.
The terms & conditions for contract renewal and cancellation
Accela's terms for contract renewal and cancellation are designed to provide flexibility while ensuring continuity of service. Contracts are typically set for a specific term, often one year, with options for renewal. Renewal terms can vary, but they often include the possibility of extending the contract in one-year increments or other intervals that are mutually agreed upon by both parties. This allows organizations to maintain long-term relationships with Accela while having the flexibility to adjust terms as needed.
Price adjustments may be negotiated at the time of renewal. These adjustments are typically based on changes in Accela's costs, and evidence such as the Consumer Price Index (CPI) may be used to justify any increases. This ensures that pricing remains fair and reflective of current market conditions.
In terms of cancellation, Accela's contracts usually include provisions for early termination. These provisions outline the conditions under which a contract can be terminated before the end of the term, such as breaches of contract or failure to meet specified service levels. The specific terms and penalties for early termination are detailed in the contract and should be reviewed carefully by the customer.
Accela also provides a stop work order clause, which allows the customer to temporarily halt work under the contract if necessary. This can be useful in situations where there are significant changes in project scope or funding. The stop work order provides a structured way to pause activities without fully terminating the contract, allowing for adjustments and renegotiations as needed.
Compliance
Accela meets several key compliance standards to ensure the security and integrity of its software. The company adheres to a Zero-Trust security posture, which includes a default-deny approach to access control. This means that only authorized users can access the system, and all access attempts are rigorously verified. This approach helps protect against unauthorized access and data breaches.
Accela's software is also compliant with SSAE 16 / 18 SOC 2 standards, which are critical for ensuring the security, availability, and confidentiality of customer data. These standards involve regular audits by third-party security experts to verify that Accela's security practices meet industry benchmarks. Compliance with these standards demonstrates Accela's commitment to maintaining a secure and reliable platform.
In addition to SOC 2, Accela holds PCI-DSS certification, which is essential for handling payment card information securely. This certification ensures that Accela's systems are equipped to protect sensitive payment data, reducing the risk of fraud and data breaches. Compliance with PCI-DSS is particularly important for government agencies that process payments through the Accela platform.
Accela also leverages certified service providers who are vetted against industry standards such as ISO 27001. This international standard specifies the requirements for establishing, implementing, maintaining, and continually improving an information security management system (ISMS). By adhering to ISO 27001, Accela ensures that its security practices are robust and comprehensive, covering all aspects of information security management.
