The software emphasizes clear and user-friendly policies regarding data ownership and the ability to move data, ensuring transparency and control for its users.

• User Ownership of Data: The organization using the software retains full ownership of all data entered into or generated by the platform. This means that the software provider does not claim any ownership rights over customer data.

• Data Portability: Users have the right and ability to export their data in commonly used formats, allowing them to transfer or back up their information easily. This ensures flexibility if they choose to migrate to another platform or maintain offline copies.

• Access to Data: The software ensures that customers can access their data at any time without restrictions, subject to agreed-upon terms and security protocols.

• Data Deletion Upon Request: Upon termination of the service or at the user’s request, the software commits to securely deleting customer data within a reasonable timeframe, respecting privacy and compliance standards.

• No Lock-In Practices: The platform avoids practices that would unduly restrict users from retrieving their data, supporting open data policies to facilitate smooth transitions if needed.

These policies demonstrate a strong commitment to user control and transparency over their data throughout the lifecycle of their engagement with the software.

The software offers flexible terms designed to accommodate the evolving size and requirements of organizations, providing scalability without undue constraints.

• Flexible Licensing and User Seats: Organizations can increase or decrease the number of licensed users or editor seats as their team size changes, ensuring cost-effectiveness and appropriate access.

• Adjustable Feature Access: Scaling plans allow organizations to upgrade or downgrade features and capabilities depending on their current needs and budget constraints.

• Pro-Rated Billing: Many scaling adjustments are accompanied by pro-rated billing, so customers only pay for what they use during a given billing cycle, enhancing financial flexibility.

• Easy Plan Migration: The platform supports seamless migration between plans without disruption to data or ongoing projects, enabling smooth transitions whether scaling up or down.

• Support for Enterprise Needs: For larger organizations, customized plans and terms may be negotiated, including volume discounts, dedicated support, and tailored service-level agreements (SLAs).

• No Long-Term Lock-Ins: The software generally avoids long-term contracts, providing customers the freedom to scale based on actual organizational requirements rather than fixed commitments.

These terms ensure the software can grow or shrink alongside your organization, maintaining alignment with budget and operational demands.

The software offers clear policies on how contracts are renewed and how customers can cancel their subscriptions, designed to provide flexibility and transparency.

• Automatic Renewal: Contracts often renew automatically at the end of the subscription period unless the customer provides notice of cancellation within a specified timeframe prior to renewal.

• Renewal Notification: Customers are typically notified in advance about upcoming renewals, allowing time to review terms or adjust their subscription as needed.

• Cancellation Notice Period: To cancel the contract or subscription, customers usually must provide written notice within a set period before the renewal date (commonly 30 days). Failure to do so may result in automatic renewal.

• No Early Termination Fees: Many contracts allow cancellation without penalties after the initial term, although some enterprise agreements may have specific conditions or fees.

• Refund Policies: Refunds are generally not provided for partial periods after cancellation, but some exceptions may apply depending on the contract or promotional offers.

• Data Retention After Cancellation: After cancellation, customers often have a grace period during which they can access and export their data before it is permanently deleted, ensuring data portability.

• Contract Term Lengths: Contracts can vary from monthly to annual terms, with discounts sometimes offered for longer commitments.

These terms balance commitment with customer flexibility, allowing organizations to manage their subscriptions in line with their needs.

The software adheres to key industry standards and regulations to ensure data security, privacy, and operational reliability.

• SOC 2 Type 2 Certification: Demonstrates that the software follows rigorous security, availability, processing integrity, confidentiality, and privacy controls.

• GDPR Compliance: Ensures that the software respects the data protection and privacy rights of individuals in the European Union, including rights to access, correct, and delete personal data.

• CCPA Compliance: Meets the California Consumer Privacy Act requirements, providing transparency and control over personal data for California residents.

• Data Encryption: Utilizes encryption both at rest and in transit to protect data from unauthorized access.

• Access Controls and Authentication: Implements strong user authentication mechanisms, including multi-factor authentication and role-based access controls, to restrict data access to authorized personnel only.

• Regular Security Audits and Assessments: Conducts ongoing audits and vulnerability assessments to identify and mitigate potential security risks.

• Incident Response Procedures: Maintains established protocols to quickly address and notify stakeholders of any security incidents or data breaches.

These compliance measures ensure that the software meets widely accepted standards for protecting customer data and maintaining operational integrity.
