Sage Intacct
By Sage Intacct
Implementing Sage Intacct typically follows a structured, proven methodology designed to minimize disruption and maximize ROI. The process is often led by Sage Intacct’s Professional Services team or certified partners, and it can be completed in as little as 60 days, depending on the complexity of the business.
Discovery and Planning: This initial phase involves understanding the client’s business needs, current systems, and goals. A customized project plan is developed, outlining timelines, responsibilities, and key milestones.
System Design and Configuration: Based on the discovery findings, the system is configured to match the organization’s workflows. This includes setting up chart of accounts, entities, dimensions, and user roles.
Integration and Data Migration: Sage Intacct is integrated with other business systems such as CRM, payroll, or inventory platforms. Historical financial data is cleaned, mapped, and migrated into the new system.
Testing and Validation: Before going live, the system undergoes rigorous testing to ensure accuracy and performance. Users validate workflows and reports to confirm everything functions as expected.
Training and Enablement: Teams receive hands-on training tailored to their roles. Sage also offers ongoing educational resources and support to help users become proficient quickly.
Go-Live and Support: Once everything is validated, the system goes live. Post-launch support is provided to address any issues and ensure a smooth transition.
Sage Intacct is highly customizable, making it suitable for a wide range of industries and business models. Its Platform Services (PaaS) allow users to tailor the system to their unique needs without compromising performance or scalability.
Custom Fields and Objects: Businesses can add custom fields to capture specific data points relevant to their operations. These fields can be used in transactions, reports, and dashboards.
Custom Workflows: Users can design workflows that reflect their internal processes, including approvals, notifications, and task assignments.
Custom Reports and Dashboards: Sage Intacct’s reporting engine allows for the creation of personalized reports and dashboards that display real-time metrics and KPIs.
Integration Capabilities: The platform supports open APIs, making it easy to connect with third-party applications such as Salesforce, ADP, and other ERP or CRM systems.
Industry-Specific Modules: Sage Intacct offers specialized modules for nonprofits, healthcare, hospitality, and professional services, among others. These modules include features like grant tracking, patient billing, and project costing.
User Roles and Permissions: Businesses can define granular access controls to ensure users only see and interact with data relevant to their roles.
Sage Intacct operates on a customized pricing model, meaning the total cost depends on the specific modules, number of users, and level of functionality your organization requires. While the base subscription fee covers core financial features, there are additional costs to consider:
Setup and Implementation Fees: These are typically charged upfront and vary based on the complexity of your business processes, data migration needs, and integrations. Implementation is often handled by Sage or certified partners and can include consulting, configuration, and training services.
Support Charges: Basic support is usually included, but premium support packages—offering faster response times, dedicated account managers, or extended service hours—may come at an additional cost.
Sage Intacct offers a comprehensive training and support ecosystem to help new users get up to speed quickly:
Sage Intacct takes data security seriously and employs a multi-layered approach to protect customer information:
Data Centers: Hosted in Tier 1 data centers, Sage Intacct ensures high availability and disaster recovery. These centers perform transaction log backups every 30 minutes and daily system-wide backups, which are stored both on-site and off-site.
Sage Intacct typically releases quarterly updates, ensuring the platform remains current with regulatory changes, user feedback, and technological advancements. These updates are automatically deployed to all users as part of the cloud service, meaning there’s no need for manual installations or downtime. Updates often include new features, performance enhancements, and security improvements. Sage provides release notes and documentation ahead of each update so users can prepare and understand what’s changing, and administrators can test new features in sandbox environments before full deployment.
Sage Intacct’s terms of service clearly state that customers retain ownership of their data. “Customer Data” refers to any data submitted by users or on behalf of the organization into the system. Sage acts as a data processor, meaning it hosts and manages the data but does not claim ownership over it.
Regarding data portability, Sage Intacct allows customers to export their data at any time, typically in standard formats like CSV or Excel. This ensures that businesses can migrate their data to other systems if needed. Additionally, Sage provides tools and support for data extraction during offboarding or transitions, reinforcing its commitment to customer control and transparency.
Sage Intacct is designed to scale with your organization. Whether you're expanding to new entities, adding users, or incorporating additional modules, the platform supports flexible scaling through its subscription model. Customers can:
Scale Down: Reduce usage or remove modules, typically at the end of a billing cycle or contract term. While scaling down is possible, it may be subject to contractual terms, such as minimum usage periods or notice requirements.
Sage also offers multi-entity and multi-currency support, making it ideal for organizations growing across regions or business units. The platform’s modular design ensures that businesses only pay for what they use, and can expand functionality as needed without overhauling the entire system.
Contract Renewal
All Sage Intacct service subscriptions automatically renew for additional one-year periods, unless either party provides notice of non-renewal at least 30 days prior to the end of the current subscription period.
If a customer does not enter into a renewal order before the end of a subscription period, Sage Intacct may suspend the customer's access to the services until a renewal order is placed.
Renewed subscriptions will be governed by Sage Intacct's terms and conditions that are current at the time of renewal.
Sage Intacct may amend the terms and conditions from time to time. Customers will be notified of any material changes by email or in-app notice. Continuing to use the services after such notice indicates agreement to the modified terms.
Contract Cancellation
Either Sage Intacct or the customer may terminate the agreement if the other party materially breaches the contract and fails to cure the breach within 30 days of written notice.
Sage Intacct may suspend or terminate a customer's access to the services or withhold performance if the customer materially breaches the agreement.
The agreement may be terminated if either party becomes subject to bankruptcy, insolvency, or receivership proceedings.
After a customer's subscription expires or is terminated, Sage Intacct retains the customer's data (known as "Customer Data") for at least 90 days and may store it for up to an additional 90 days.
Customer Data may be retained beyond that period in data backups, which may be stored for up to 5 years.
Sage Intacct adheres to a wide range of industry-recognized compliance standards, making it suitable for organizations with strict regulatory requirements:
These compliance measures, combined with Sage Intacct’s robust security infrastructure, make it a trusted platform for finance teams in regulated industries.
