RTA

RTA Fleet Management Software offers a transparent pricing model with no hidden fees, mandatory setup charges, or long-term contracts. Here’s a detailed breakdown of the additional costs associated with RTA:

• Setup Fees: RTA does not charge any entry-level setup fees. Customers can start without paying an initial implementation or onboarding charge.

There are no undisclosed or recurring maintenance fees beyond your chosen tier.

There are no separate mandatory fees for standard support. Note that specialized services (like premium consulting or custom integrations) may incur extra charges, but these are optional and transparently outlined if chosen.

• Add-On Modules: RTA offers optional add-ons that can be activated for additional monthly fees per asset. Examples include:

  • Telematics: $16/month per asset.

  • Quick Repairs, Fleet Wiki, Custom Navigation: $1/month per asset each (some are bundled with higher tiers).

• Consulting & Training: While general support and training resources (such as webinars and documentation) are included, premium consulting or advanced training services may incur custom, one-time fees—but these are not required for most implementations.

RTA Fleet Management Software (Fleet360) implements a comprehensive array of security measures to ensure the protection of customer data at every stage:

• Role-Based Access Control & User Permissions: RTA uses a robust security system where user access is restricted by roles, regions, facilities, features, menus, and even individual data fields. Password prompts are enforced for system-critical actions (such as changing parameters, deleting records, or adjusting costs), with three authorization levels cascading from basic to administrative.

• Encryption Protocols: All sensitive data is protected using encryption, both at rest and in transit. This guards against unauthorized access, interception, or exposure of information while it is stored or moving between systems.

• Encrypted and Password-Protected Remote Access: The RTA SaaS platform is only accessible through encrypted, password-protected RemoteApp sessions by authorized users. Only read-only database connections are enabled by default; any requests for data-writing permissions are tightly controlled to maintain data integrity and are facilitated only under strict guidance and review by RTA’s engineering team.

• Data Integrity Controls: The system enforces data dependency and integrity, protecting against improper data modification by external applications through strict internal rules and controlled access to database fields.

• Regular Security Audits & Cybersecurity Protocols: RTA conducts regular security audits, employs secure communication channels, and maintains comprehensive cybersecurity measures to identify, address, and mitigate vulnerabilities, including protection from cyber threats such as hacking and ransomware.

• Compliance & Best Practices: The platform aligns its protections with industry best practices for software security. Clients are also advised and guided in maintaining strong internal security, such as user role configuration and compliance with regulatory requirements.

RTA Fleet Management Software (Fleet360) releases new features and updates roughly every 8 weeks. This regular release cycle ensures users receive the latest improvements, performance optimizations, and new functionalities consistently.

Update Management Process:

• Updates are delivered and managed directly within the platform, primarily for cloud-hosted users (Fleet360).

• Details of each new release, including added features and version notes, are easily accessible via the “Release

Notes” tile on the RTA home screen. This allows users to review and adopt relevant changes as they are introduced.

• Updates are mostly seamless for SaaS (cloud) users; on-premise clients may need to coordinate upgrades with the RTA team.

• Users are encouraged to provide feedback for future enhancements, and RTA integrates this feedback into ongoing development.

RTA Fleet Management Software maintains a clear policy regarding data ownership and portability that is designed to favor and protect the customer (“COMPANY”):

• Data Ownership: RTA explicitly states that it does not claim intellectual property rights over the electronic data (“Content”) uploaded or posted by customers to the system. The data you input into RTA remains your property, not RTA’s. RTA does not review, pre-screen, or take ownership of client-generated content.

• Data Portability: RTA empowers customers with the ability to request and access data backups. Automated, scheduled, downloadable data backups are available, and customers can request these at any time to maintain a local copy of their data. This supports straightforward data portability, facilitating data access for migration, local archiving, or transition to other systems if desired. By default, database connections are read-only to safeguard data integrity, but customers can coordinate with RTA for export scenarios or more advanced data transfer needs.

• Duration and Retention: Data backups are stored for a defined period (e.g., 90 days in both primary and off-site data centers), after which older backups are deleted. This window allows for data recovery or transfer requests within a reasonable time frame.

• Notification of Changes: RTA is committed to notifying customers in advance about any major data or system architecture changes, ensuring transparency and continued availability.

• Support: While RTA provides technical support for normal database access (such as field definitions and relationships), advanced data export or complex migration efforts may require a formal engagement for additional consulting services.

• Privacy: RTA’s privacy statement underscores that your data is “your data, not ours.” Unless required by law, your data is not shared with third parties and is only accessed by RTA staff to address support issues or system maintenance, preserving confidentiality and privacy.

RTA Fleet Management Software offers flexible and user-friendly terms for scaling up or down as your organizational needs change:

• Per-Asset, Tiered Pricing with No Long-Term Contracts: RTA uses a transparent, asset-based monthly subscription model (Gold, Platinum, Diamond tiers), which allows you to add or remove assets at any time. There are no penalties, mandatory setup fees, or restrictive long-term contracts—organizations only pay for the number of assets actively managed in any given month.

• Easy Scaling Up: If your fleet grows or you add new vehicles, simply update your asset count. The platform is designed to accommodate both small and large fleets, and upgrades to higher tiers or add-ons (like telematics or workflow modules) can be activated as needed to unlock new capabilities.

• Seamless Scaling Down: Should you reduce your fleet or require fewer active assets, you can scale your subscription down accordingly. This change is reflected in the following billing cycle, keeping costs aligned with your actual usage.

• Add-Ons and Optional Features: Additional modules and features (such as telematics, Fleet Wiki, or custom navigation) can be activated or removed month-to-month based on current needs, so you only pay for what your operation requires.

• Price Caps for Predictability: RTA caps price increases to ensure cost control over time, providing budget certainty even as your organization grows or contracts.

• Customer Support for Scaling: RTA’s customer success and support teams are available to help organizations configure new workflows, onboard new users, or streamline the process whenever scaling up or down.

RTA Fleet Management Software (RTA) provides clear terms and conditions for contract renewal and cancellation that emphasize flexibility, transparency, and customer control. Here are the key data points:

• Initial Term and Renewal: RTA contracts typically begin with an initial term of one year. After this period, the agreement can be renewed annually. Renewal is optional and requires mutual agreement, commonly confirmed through written mutual consent between RTA and the customer.

• Contract Extension Duration: Each renewal term is customarily one year, although durations can sometimes be negotiated as needed for specific organizations.

• Cancellation Policy:

  • Customers may cancel at any time by providing at least 30 days’ written notice to RTA and paying all outstanding charges. There are no penalties or additional fees for contract cancellation beyond settling due balances.

  • Similarly, RTA reserves the right to suspend or discontinue service—with 30 days' notice—for reasons such as non-payment or breach of contract.

  • Upon cancellation or contract end, a prorated refund for any unused service will be processed within 60 days after the last day of service, if applicable.

• Outstanding Balances & Refunds: All outstanding balances must be paid in full before RTA delivers system backups or completes data returns upon contract end. Prorated refunds for unused service time may be available, but are not provided for partial-month usage.

• Data Handling on Termination: After termination:

  • RTA provides a downloadable backup of your data within 90 days upon request.

  • All your data is irrevocably deleted 90 days after termination unless otherwise specified, safeguarding your privacy and allowing time for transitions.

• No Long-Term Commitment: RTA’s SaaS agreements are designed with no long-term lock-ins. Monthly or annual billing is available, and there are no mandatory setup fees or hidden penalties for ending contracts.

• Amendments and Modifications: Any changes to the renewal or cancellation terms must be made in writing and explicitly agreed upon by both parties.

• Notices: Notices of intent to renew or cancel must be given in writing (including email) and are effective the following business day after dispatch.

• Additional Fees on Suspension: If service is suspended due to non-payment, a $250 service fee may be charged to restore the account.

• Data Security and Access Controls: RTA employs robust security practices, including role-based access control, encryption in transit and at rest, regular security audits, and data integrity controls. These measures align with best practices for safeguarding sensitive fleet and driver information and help organizations adhere to industry data protection frameworks.

• Government and Public Sector Standards: RTA Fleet360 is widely used by government fleets and is designed to meet public sector procurement and compliance requirements. It supports integration with purchasing partners and government-specific workflow needs.

• Financial Regulations: Invoicing, billing, and tax management modules are built to support financial regulatory compliance, ensuring accuracy in reporting and documentation.

• Custom Compliance Tracking: The platform can be tailored for industry- or organization-specific compliance requirements, allowing users to track custom inspection points, certification expiries, and other regulatory metrics as needed.
