Ooma Office provides a robust suite of training and support resources designed to help new users quickly get up to speed and resolve any issues that may arise. The primary tools and channels include:
A detailed PDF user manual is available that covers system setup, feature overviews, administrator and end-user guides, troubleshooting, and where to find additional help.
The Ooma Office starter kit includes a Quick Start Guide poster that provides step-by-step instructions for initial hardware setup and basic configuration.
Ooma offers an extensive online support center with articles, tutorials, and FAQs covering installation, feature usage, device management, and troubleshooting.
Each user receives personalized access to the End User Portal, where they can manage their voicemail, call forwarding, and other preferences.
Administrators manage users, devices, and system-wide features via the Ooma Office Manager web interface, which includes built-in help and guidance for customization.
Ooma provides multiple customer support options, including phone support available 24/7 for business customers, live chat, and email support for both technical and billing inquiries.
Users can access live chat support directly from the Ooma Office website for real-time assistance.
Dedicated business support email addresses are available for technical issues, billing, and sales questions.
Ooma Office implements several robust security measures to protect user data and ensure secure communications:
Ooma Office supports two-factor authentication, adding an extra layer of security by requiring users to verify their login with a code sent to their email. This helps prevent unauthorized access to accounts.
When HIPAA mode is enabled, Ooma Office encrypts data both “in transit” (during transmission) and “at rest” (when stored). This applies to voicemails, phone call recordings, and other sensitive communications handled through the platform.
Administrators can activate HIPAA mode to align with healthcare compliance requirements. This includes signing a Business Associate Agreement (BAA) with Ooma, which outlines how protected health information (PHI) will be managed and secured.
Ooma encourages strong password policies, recommending long and complex passwords, the use of password managers, and regular employee training to prevent phishing and other security threats.
For enterprise users, Ooma offers IP security solutions (IPSec), which protect data transmitted between hardware and the cloud. IPSec can include authentication headers to verify senders and encapsulating security payloads to encrypt data, ensuring secure and compliant data transmission.
Updates are managed through several channels:
Users can download the latest version of the Ooma Office Desktop App from the official support site or use prompts within the app itself to upgrade. Outdated versions display visual cues, such as a specific color scheme or banners suggesting an update.
The Ooma Office user portal is updated independently, and users are directed to switch to the new version via banners or links in the interface. Bookmarking the new portal URL ensures continued access to the latest features.
Ooma Office data ownership:
Ooma collects and stores personal and business information—such as call logs, voicemails, security device data, and call recordings—as part of providing its services. The terms state that Ooma “has no obligation, responsibility or liability for the storage, deletion or failure to store any of the aforementioned information,” and may set limits on data retention at its sole discretion.
Data Portability:
Ooma Office provides users with tools to manage and export certain data, such as voicemails and call logs, through the Ooma Office Manager web portal.
While the platform allows for data export and management, it does not guarantee or specify a formal “right to portability” in the same way as regulations like GDPR or CCPA might require. However, users can typically download or transfer their data for business needs.
Ooma’s privacy policy outlines how personal information is collected, used, and protected, but emphasizes that users should be careful with what information they share publicly through the service.
Terms and conditions for contract renewal and cancellation for Ooma Office:
Fixed Term and Automatic Renewal:
Ooma Office Fixed Term (FT) Services begin on the activation date and continue for the initial term specified in the Order Form. Unless otherwise stated, at the end of the Fixed Term, the service automatically renews for additional terms equal to the initial Fixed Term (each a "Renewal Term"), unless you notify Ooma in writing at least ninety (90) days before the end of the current term that you do not wish to renew.
To avoid auto-renewal, customers must notify Ooma in writing at least ninety (90) days prior to the expiration of the current term.
If you add services, equipment, or locations during the term, the monthly charges increase accordingly, and the term for these additions becomes coterminous with the existing term.
Ooma may terminate the service if you violate the agreement, fail to pay undisputed charges, or otherwise breach your obligations. You may also terminate for cause if Ooma materially breaches the agreement and fails to cure within thirty (30) days of written notice.
Either party may terminate the service for convenience by providing the other party with notice of at least ten (10) business days (Canada) or as specified in the agreement.
If the service is terminated early by either party (except for material breach by Ooma), all monthly recurring and non-recurring charges due through the end of the term, including equipment charges, must be paid within thirty (30) days of termination. These charges are considered a reasonable estimate of anticipated actual damages, not a penalty.
If you terminate the service, you must return all equipment to Ooma within thirty (30) days or pay the current retail value of the equipment.
Promotional discounts are applied for a set period (e.g., 12 months) and require signing a one-year contract. After the promotional period, the standard rate applies.
If you are on a free trial or promotional pricing, you will be notified before the trial ends. If you do not cancel, you will be charged the regular fees for continued service.
Some offers or equipment purchases may require a minimum initial term, which will be specified at the time of purchase or activation.
Ooma reserves the right to change the terms, features, or prices of the service at any time, with or without notice, unless prohibited by law.
Ooma Office is engineered to support compliance with several important regulatory and industry standards, particularly for organizations in regulated sectors such as healthcare and finance. Here are the key compliance standards and features relevant to Ooma Office:
HIPAA Compliance:
Ooma Office offers a dedicated HIPAA mode designed for healthcare organizations. When enabled, this mode encrypts all media files—including voicemails, call recordings, meeting recordings, and fax attachments—both in transit and at rest. It also requires administrators to sign a Business Associate Agreement (BAA), which defines responsibilities for handling protected health information (PHI).
Note: Ooma does not provide official HIPAA certification, as there is no government-issued certification for telecommunications services. However, the HIPAA mode and BAA facilitate compliance for covered entities, who remain responsible for their own compliance efforts.
While Ooma Office itself is not a payment processing platform, its security features (such as encryption and access controls) support environments where PCI compliance may be required for credit card transactions. Ooma’s related products, like Ooma AirDial, are designed with PCI compliance in mind for certain use cases.
Ooma Office implements security measures such as encryption, two-factor authentication, and strict access controls to protect user data. These features help organizations meet broader data protection and privacy standards, though Ooma does not claim specific certification for standards like GDPR or CCPA.
