Noterro implements a set of security measures to protect clinic and patient data, adhering to industry best practices and regulatory standards. Key security features include:
Security by Design: Security is integrated throughout the software development lifecycle, with every code change undergoing rigorous review, automated scans, and approval by multiple team members to prevent vulnerabilities from being introduced.
Encryption: All data is encrypted both in transit and at rest using advanced, industry-standard encryption methods, making unauthorized access or deciphering of sensitive information extremely difficult.
Access Controls: The principle of least privilege is strictly enforced-only authorized personnel are granted access on a need-to-know basis. Access to medical records is limited to senior managers, and staff undergo background checks, sign confidentiality agreements, and receive privacy training.
Physical and Administrative Safeguards: Data is stored in secure data centers with modern security, surveillance, and access control measures. Noterro uses Amazon Web Services (AWS) infrastructure, which is SOC2 audited and compliant. Administrative safeguards include policies for device and password security, and support team access is limited to high-level account data and only upon user request.
Regular Backups: Data is routinely backed up and distributed across multiple physical data centers, ensuring data remains accessible and recoverable in case of emergencies, hardware failures, or disasters.
24/7 Monitoring and Firewalls: The platform is continuously monitored for threats, with proactive threat detection, web traffic firewalls, network firewalls, and isolation mechanisms in place to prevent unauthorized access and shield data from malicious actors.
Data Deletion and Portability: Clinic admins can request permanent deletion of patient-related data, which is then securely removed from Noterro’s databases after review.
Frequent Updates and Audits: The platform is updated several times per week, with automated and human-level security reviews, including analysis of both first-party and third-party code.
Noterro releases updates several times per week, ensuring the platform remains current, secure, and responsive to user needs. Each update undergoes a rigorous process that includes automated analysis of third-party code (SCA), first-party code (SAST), and dynamic testing of the running application (DAST), along with multiple human-level reviews before deployment1. Updates are applied automatically, with no action required from users, allowing clinics to benefit from new features, improvements, and security enhancements without service interruption12. User feedback is actively considered in the update process, helping to shape regular improvements and new features.
Noterro’s policy on data ownership and portability is clear and customer-focused:
Data Ownership: Customers retain full ownership and intellectual property rights over all their content and data stored within Noterro. This includes all patient records, clinical notes, and other information entered into the platform. Noterro and its licensors retain ownership only over the software and services themselves, not the customer’s data.
Data Portability: Noterro provides straightforward mechanisms for data export. Clinic administrators can export all patient information in CSV format directly from the platform for use in other systems or for backup purposes. For larger exports, such as bulk clinical notes or forms, clinics can request a batch export through Noterro support. This ensures clinics can maintain their own records or migrate data if they choose to leave the platform.
Use and Disclosure: Noterro only uses and stores personal information to provide its SaaS services, and will not sell, lease, or trade customer data to third parties. Disclosure of data occurs only as required to deliver services, at the customer’s direction, or as required by law.
Noterro offers flexible, self-service options for scaling your subscription up or down as your organizational needs change:
Adjusting Practitioner Seats: You can easily add or remove practitioner seats within your account settings at any time, allowing you to scale your team up or down as your clinic grows or contracts.
Switching Plans: Noterro’s tiered subscription model enables you to change your plan level (e.g., from Core to Plus or Max, or vice versa) directly through the admin dashboard, so you only pay for the features and capacity your organization currently requires.
Managing Add-Ons: Optional add-ons and extra features can be enabled or disabled as needed, letting you customize capabilities and costs in line with your operational demands.
No Setup or Hold Fees: There are no setup fees, and while subscriptions cannot be put on hold, you can cancel and resubscribe at any time without penalty. If you cancel, your data remains accessible in read-only mode for download or printing, and you can reactivate your account later as needed.
Billing Transparency: Subscription invoices are available for review and download at any time, making it easy to track changes in your subscription and associated costs.
Terms and conditions for contract renewal and cancellation for Noterro:
Automatic Renewal: Noterro subscriptions automatically renew at the end of each subscription period. After the initial term, the agreement renews for successive one-month periods indefinitely until terminated by either party.
Agreement Term: The contract begins on the first day of subscription and, unless terminated earlier, continues for 30 days (the initial term). It then renews monthly unless cancelled.
Cancellation by Customer: You may cancel your subscription at any time by following the cancellation process in your Noterro admin account. For annual subscriptions, direct contact with support is required. After cancellation, you retain access to your account until the renewal date, when your account expires.
No Hold Option: Subscriptions cannot be put on hold, but you can cancel and rejoin by resubscribing at any time.
Access After Cancellation: Upon cancellation, your notes and data remain in Noterro in read-only mode. You can download or print your notes, but you cannot edit or add new information.
Free Trial: No need to cancel a free trial; it will expire automatically. If you provided a credit card, it will only be charged if you convert to a paid subscription.
Termination for Breach: Either party can terminate the agreement immediately for material breach not cured within 10 days of notice, insolvency, or unauthorized account use. Noterro can also terminate with 30 days’ written notice.
Termination for Non-Payment: If Noterro terminates due to your breach (including non-payment), you must pay all amounts due for the remaining term. If you terminate due to Noterro’s breach, you are entitled to a refund for any prepaid, undelivered services.
Data Handling on Termination: Upon termination, Noterro retains your confidential information, which you can review in read-only mode. Upon request, you must return or destroy Noterro’s confidential information.
Invoices and Records: Subscription invoices are available for review and printing at any time from your account dashboard.
