Nimbo ensures strong security and privacy protection through a multilayered framework combining encryption, controlled access, compliance monitoring, and secure data hosting. The platform is built to comply with international healthcare data standards, ensuring patient confidentiality and system integrity across all its modules.
Encryption and secure communication: All electronic health records, billing data, and communications within Nimbo are protected with AES-256 encryption at rest and TLS 1.2+ encryption in transit. This prevents unauthorized access or interception of PHI (protected health information). The platform also uses secure HTTPS channels for browsing and telehealth sessions, providing end-to-end protection during data transfer.
Role-based access and authentication: Nimbo employs role-based access control (RBAC) and enforced multi-factor authentication to ensure that only authorized individuals—such as physicians, assistants, or administrators—can access sensitive data. Custom user roles define specific permissions, minimizing misuse or internal data leakage.
Automatic backup and data recovery: Patient and administrative data are securely backed up daily across multiple mirrored data centers to prevent loss or service interruption in case of hardware failure or cyber incidents. Backups follow a tiered schedule: daily backups are retained for one week, weekly backups for four weeks, and monthly backups for long-term archiving.
Secure infrastructure and redundancy: Nimbo’s cloud infrastructure is hosted in redundant environments with 99.8% uptime, ensuring continuous access without downtime. Data centers utilize firewall protection, vulnerability scanning, and disaster recovery planning that adhere to NIST and ISO 27001 security standards.
HIPAA and GDPR alignment: Nimbo adheres to both HIPAA (U.S.) and GDPR (EU) data protection frameworks. It ensures compliance with privacy rules regulating how protected health data is stored, accessed, and shared. The system logs all access events and retains comprehensive audit trails to support investigations and medical record traceability.
Privacy and consent controls: According to Nimbo’s privacy policy, data collection occurs only with informed consent, and patient data is retained strictly for the duration necessary to deliver healthcare services or comply with legal obligations. Users can export or delete data upon request, ensuring compliance with right-to-erasure and portability requirements under GDPR.
Continuous monitoring and updates: All environments undergo security risk assessments and periodic patching to address vulnerabilities. Intrusion detection systems and anomaly tracking alert administrators to suspicious activity in real time. Regular audits ensure encryption keys, log retention, and staff practices adhere to compliance protocols.
Nimbo operates on a continuous improvement and release cycle, delivering regular updates that include functionality enhancements, bug fixes, user interface improvements, and new integrations. As a cloud-based EHR and practice management system, its updates are automatically deployed to all users, ensuring clinics always run on the latest version without manual installation or downtime.
Frequency of updates: Nimbo releases updates on an ongoing basis—typically monthly or bi-monthly—based on user feedback and feature roadmap priorities. Minor improvements, configuration options, and security patches may appear more frequently, while larger module upgrades (e.g., Clinical, Agenda, ERP, or Chat) are released quarterly or as version milestones.
Delivery method: Updates are managed centrally via cloud deployment, automatically rolled out across accounts with minimal disruption. As a SaaS platform, clinics do not need to schedule installations or system restarts; new features become available instantly once updates are published to the production environment.
Quality assurance and preview: Before major rollouts, updates undergo internal testing and beta deployment with select customers to ensure performance stability, backward compatibility, and data integrity. Feedback during this phase helps fine-tune usability and workflow alignment for different medical specialties.
Change management communication: Users are notified of every new release through Nimbo's New Features Changelog page, email updates, and in-app notifications. The changelog highlights improvements such as clinical note enhancements, smarter templates, expanded analytics dashboards, and workflow refinements like adjustable prescription printing and multi-user consultation editing rights.
Post-release support: The support team provides help documentation and “how-to” guides accompanying each update. Users can access contextual tooltips and knowledge-base articles directly from within the app to understand system changes or use new functionalities effectively.
Nimbo’s policy on data ownership and portability is centered on compliance with international privacy principles (including GDPR), clear patient/provider rights, and transparent data management practices. Here are the key points:
User and Clinic Control: All clinical and patient data created and stored within Nimbo’s platform—including medical records, appointments, billing information, and communications—are controlled by the clinic or healthcare provider using the platform. Only authorized team members invited into the organization have access to the patients’ data, and no third-party marketing or sharing of PHI occurs without explicit legal or user consent.
Patient Rights/Ownership: Patients retain rights over their personal data, in line with GDPR and best practices. This includes the right to access, update, or request deletion of their information; data is retained only for as long as necessary for healthcare delivery or legal compliance, and can be exported or removed upon request.
Transparency and Consent: All information is collected and processed only when truly needed to deliver the requested service, and always with the user’s knowledge and consent. Nimbo discloses collection purposes and retention policies clearly within its privacy statements.
Export/Portability: Clinics (and, by extension, patients upon request) can export records or data for transfer, backup, or system migration, ensuring operational continuity and preventing vendor lock-in. Data portability complies with both healthcare regulations (like HIPAA for U.S. users) and GDPR for European users.
Data Retention: Nimbo’s retention depends on the service provided, but aligns with the rule that data is stored only as long as necessary for care or by law. After account closure or service completion, clinics or patients may request export or deletion of all associated PHI.
Nimbo allows healthcare organizations to scale up or down very flexibly, supporting growth, contraction, or service changes with minimal administrative friction and cost risk. This is achieved through several mechanisms:
Modular and bundle-based pricing: Practices can start with the basic Starter bundle (around $9.49/month) and easily upgrade to the Professional bundle (roughly $23/month) or add modules (ERP, Marketing, Chat, etc.) as specialized needs evolve. Additional users, service types, or operational modules can be activated on demand, supporting both rapid scaling and phased rollouts.
No long-term lock-in: Nimbo does not require multi-year contracts for its core EHR/clinic management platform. Clinics can upgrade or downgrade plans and features every month, so costs rise only when user numbers, provider roles, or feature sets expand—and drop fast if things need to contract.
Upgrade process: Upgrading (adding modules, users, or features) is streamlined: new resources are immediately available upon selection and payment, supporting same-day expansion for new providers, sites, or service lines.
Scale down with minimal friction: Downgrades (removing users or extra modules) are simply managed in the account settings or by contacting customer support; various sources confirm the changes take effect for the next billing period, so there’s no penalty or long lag before costs decrease.
Customized bundles: For multi-site or enterprise networks, Nimbo supports custom pricing and bundled service packs, enabling precise adjustment of modules, provider headcount, and integration depth to match real operational scale.
Nimbo’s contract renewal and cancellation terms are designed to be straightforward, flexible, and user-centered, reflecting standard SaaS best practices for healthcare software. Clinics can manage their subscriptions directly within the platform, scale their usage as needs change, and end service with minimal hassle and clear data privacy protections.
Rolling/Monthly Renewals: Most Nimbo subscriptions operate on a rolling, monthly renewal model. Service continues automatically each billing cycle until the clinic requests cancellation, allowing for ongoing use without the need for annual re-signing or rigid, long-term commitments.
Upgrade/Downgrade Flexibility: Clinics can upgrade or downgrade their plan or modules (e.g., moving between Starter and Professional or adding/removing ERP, Marketing, Chat features) at any time. Changes generally take effect on the next billing cycle, so organizations have financial and operational flexibility.
Cancellation Terms: Users can cancel subscriptions with written notice—most frequently at any time, with the change taking effect at the end of the current billing cycle or the following month, depending on their agreement. Users retain full access until the end of the paid period; cancellation does not trigger immediate loss of service.
No Long-Term Penalties: There are typically no penalties, early-termination fees, or long-term lock-ins for clinics that wish to stop or pause service, provided all current charges are paid in full.
Automatic Service Termination (for breach/non-payment): Nimbo reserves the right to terminate service with immediate effect if the customer fails to pay, breaches material terms, engages in misuse, or becomes insolvent. Most contracts also note that continued use of Nimbo during non-payment or after breach exposes the clinic to liability for outstanding balances.
Data Deletion and Export: Upon cancellation or termination, all clinic and patient data are deleted from the active system after confirmation. Clinics are encouraged (and given time) to back up or export all required data before full account deletion; Nimbo facilitates this through built-in export and reporting options.
Accrued Rights and Responsibilities: Termination does not affect any accrued liabilities or rights under the contract—such as unpaid fees, confidentiality, indemnity, and security—up to the effective date of cancellation.
Refunds: Payments made for the current subscription period are generally non-refundable once that cycle has begun, even after the clinic gives notice to cancel, though clinics always retain full access for the remainder of the paid period. If a clinic cancels well in advance of its renewal, no future fees are owed.
Nimbo meets several recognized compliance standards and regulations for health data protection, privacy, and interoperability, addressing the requirements of both international and regional frameworks to support safe, legal use in healthcare settings.
HIPAA Compliance: Nimbo is designed to comply with the U.S. Health Insurance Portability and Accountability Act (HIPAA), implementing industry-standard safeguards for the confidentiality, integrity, and security of protected health information (PHI). This includes strong encryption, audit logs, access controls, and breach notification protocols to ensure clinics and patients in the U.S. meet legal standards for medical data privacy.
GDPR Compliance: For clinics handling data of EU individuals, Nimbo supports the General Data Protection Regulation (GDPR). It enforces transparency, user consent controls, right-to-access and right-to-erasure, data minimization, and clear processes for managing international data transfers, all of which underpin modern European privacy standards.
Nphies Certification (Saudi Arabia): Nimbo is “100% Nphies certified,” meaning it meets the integration and insurance eligibility standards set by the Saudi government for EHR and insurance system interoperability within the Kingdom’s healthcare sector.
Nigeria NDPA (for clinics in Nigeria): Where relevant, Nimbo aligns with the Nigeria Data Protection Act (NDPA), which mandates lawful processing, patient rights, controller/processor distinctions, and remedies for breaches in Nigeria’s health sector.
Best Practices and Regional Standards: Nimbo employs state-of-the-art data security (AES-256, TLS/SSL), strict role-based access, continuous monitoring, and audit logs. Its architecture and processes are regularly updated to meet or exceed evolving requirements under HITECH, CCPA (California), and other national privacy regimes where clinics operate.
