
Download & Account Setup
Users install the MileIQ app (iOS/Android) and enable location/motion permissions. Setting up takes just minutes using the “Getting Started” or Quickstart Guide in the Help Center.
Tracking Configuration
Immediately after setup, automated drive detection begins. Users set their work hours, named locations, multiple vehicles, and custom mileage rates. This setup step also takes only a few minutes.
Team Onboarding (for Businesses)
Admins access the Dashboard, select “Start Your Team,” and add admins/drivers via email. They choose a plan and complete checkout. Invitees receive access links within minutes.
Driver Enrollment & Consent
Drivers accept invitations in-app, optionally enabling automatic weekly report submissions. Admins assign permissions, and the Teams Dashboard becomes available.
Admin Customization & Approval Setup
Admins customize reimbursement rates, set commute exemptions, and configure report reminders or Concur integration. Reports can be auto-generated weekly.

MileIQ typically involves no setup or implementation fees; businesses can begin onboarding teams and adding users without added initial charges. Individual and team plans cover all core functionality: automatic tracking, reports, admin tools, driver management, location naming, and Concur integration. Maintenance and updates are included in your monthly or annual fee, with no hidden charges for app updates or ongoing use.
Support via email (during business hours), Help Center, and in-app support are included in the subscription. There are no premium support tiers or fees attached to phone or expedited assistance.

There is no indication of formal onboarding training like webinars or dedicated implementation consultants, beyond the GL-side guides and email support.
MileIQ employs robust security and privacy safeguards to protect user data:
MileIQ releases updates regularly, primarily through app store channels (Apple App Store and Google Play). These updates include feature enhancements, bug fixes, and compliance adjustments for mileage rates (e.g., IRS updates). Users receive updates automatically if they enable app auto-update settings. For enterprise accounts, updates require no manual intervention—since MileIQ is cloud-based, backend improvements and dashboard enhancements are applied seamlessly without downtime. There is no extra cost or disruption for updates, and users can check the status page or Help Center for release notes.
MileIQ’s privacy policy states that users own their data. The platform does not sell user information and only shares data with service-related third parties when necessary. Users can export all mileage data in PDF or CSV formats at any time via the app or web dashboard, ensuring portability for tax filings or migration to another system. Additionally, under GDPR compliance, users can request data access, correction, or deletion, and MileIQ must respond within one month. This guarantees transparency and control over personal and organizational mileage records.
MileIQ offers flexible subscription tiers for individuals and teams. Organizations can add or remove seats at any time through the Teams Dashboard, and billing adjusts accordingly. There are no penalties for scaling down, and additional seats can be purchased instantly for scaling up. Admins can reassign seats to new drivers without extra cost, making it easy to accommodate staff turnover. For larger deployments, MileIQ provides consolidated billing and admin controls, ensuring smooth scalability without contractual lock-ins or hidden fees.
Renewal
Renewal terms are governed by the Terms of Service and any applicable Enterprise Customer Terms.
Cancellation
Account deletion: Users can request permanent deletion through the app under Account Settings.
Refunds
After the refund, the account is automatically downgraded to the free tier.
