Integration capabilities: The software integrates seamlessly with external CRM, ERP, accounting, and IoT platforms, supporting tailored workflows and data sharing with legacy or cloud systems.
Field resource roles and profiles: Organizations can create unique roles, permissions, and access rights for technicians, dispatchers, vendors, or partners, and set business rules by team, geography, or job type.
Multivendor and subcontractor management: FSM Grid offers tools to onboard, assign, and track external vendors or subcontractors, fitting complex partnership or franchise models.
Inventory and parts management: The system allows configuration for tracking, allocating, and managing inventory, including custom fields for unique asset information and real-time vehicle inventory control.
Custom alerts and notifications: Businesses can set up tailored notification triggers for key events (service deadlines, emergencies, inventory shortages, SLA breaches) to match operational priorities.
Analytics dashboards: User-defined reports and dashboards let organizations monitor exactly the metrics and KPIs that matter most to their processes, customers, or business objectives.
Custom portals: Branded customer and vendor portals let companies control the look, feel, and workflow of customer self-service and partner collaboration.
FSM Grid provides training and support for new users to facilitate smooth adoption and maximize platform value:
Personalized onboarding: New clients receive guided onboarding tailored to their business processes, including workflow walkthroughs and system setup assistance.
Role-based training: Training programs are designed for different user groups (technicians, dispatchers, managers, vendors), ensuring each team member learns the features and best practices relevant to their daily workflows.
Instructor-led sessions: Live and interactive online sessions walk users through real-world scenarios, system navigation, and mobile/tablet usage so both office staff and field teams quickly build confidence.
Self-service resources: FSM Grid offers an extensive digital knowledge base, documentation, and step-by-step guides for independently learning about features, configuration, and troubleshooting.
Support portal: Users have access to 24/7 online ticketing for technical support, with priority assistance for critical issues and prompt escalations as needed.
Ongoing updates and webinars: Regular webinars, update briefings, and release notes keep users informed about new capabilities, usage tips, and regulatory/industry best practices.
FSM Grid implements a set of security measures to protect data, including the following:
Data encryption: Uses strong encryption protocols to secure data both at rest and in transit, preventing unauthorized interception or access.
Role-based access control (RBAC): Limits system access based on user roles and responsibilities, ensuring only authorized personnel can view or modify sensitive information.
Multi-factor authentication (MFA): Adds an extra layer of user identity verification to prevent unauthorized login attempts.
Mobile device management (MDM): Secures mobile devices used by field technicians with remote tracking, automatic locking, password enforcement, and remote wipe capabilities to reduce the risk of data loss or theft.
Regular security updates: Frequent updates to software to patch vulnerabilities and protect against emerging cyber threats.
Compliance adherence: Aligns with industry-standard data privacy and security regulations, such as GDPR and ISO/IEC 27001, helping organizations meet legal obligations and build customer trust.
Network and application monitoring: Employs continuous security monitoring, intrusion detection, and audit logging to detect and respond to suspicious activities promptly.
Secure APIs and integrations: Ensures authenticated and encrypted communication between FSM Grid and third-party systems to safeguard data exchanges.
FSM Grid releases updates on a regular and proactive schedule to ensure that the platform remains secure, compliant, and feature-rich:
Update frequency: Updates are rolled out frequently, including security patches, feature enhancements, regulatory compliance changes, and new integrations. The cadence can range from monthly for minor improvements to quarterly or as-needed for major releases.
Managed deployment: Updates are managed centrally and deployed seamlessly for both cloud and on-premise customers, minimizing downtime or disruption to field and back-office operations.
Automated delivery: For cloud deployments, updates are automatically applied in the background, ensuring all users always access the most recent, secure, and fully supported version of FSM Grid.
Release notes and notifications: Users are notified in advance of significant updates or changes, with documentation and release notes explaining new features, critical fixes, and required actions, if any.
Customer support and training: FSM Grid’s support teams assist with update-related questions, changes to workflows, or retraining needs to maximize value from new capabilities.
FSM Grid’s policy on data ownership and portability prioritizes customer control and accessibility:
Data ownership: All data entered into or generated by FSM Grid—including customer records, job history, forms, and asset information—remains the property of the subscribing organization. FSM Grid acts as the data processor/custodian, not the owner.
Data access and export: Customers can access their operational data at any time through dashboards and reports, and they can export forms, checklists, inventory records, and history as needed. The system supports exporting data in common, portable formats for backup, reporting, or migration to other platforms.
Document and workflow migration: Dynamic forms, checklists, and templates can be exported or printed for compliance, audits, or use outside the FSM Grid environment, helping organizations retain full control over customized business processes.
Integration and interoperability: FSM Grid integrates with external systems (e.g., ERP, CRM), offering APIs and import/export tools to facilitate seamless data exchange, further supporting ownership and portability.
FSM Grid provides contract renewal and cancellation terms designed for organizational flexibility and clear data management:
Automatic renewal: Subscriptions and service agreements typically auto-renew at the end of each contract term unless the client provides written notice of non-renewal within a specified period (commonly 30 days before contract end).
Cancellation policy: Customers can cancel their subscription by providing written notice in advance of the next billing or contract renewal date. Service remains active until the end of the current billing cycle or contract term.
Data access and export: Before cancellation or non-renewal becomes effective, clients have full access to export or download all their operational, customer, and asset data in portable formats from the FSM Grid platform.
No-penalty downgrade: Organizations may downgrade their service plan or reduce user counts or modules without extra penalties, with pro-rated billing adjustments applied to the next cycle as needed.
Refunds: Prepaid fees are generally non-refundable, but service continues until the prepaid period closes unless otherwise required by law or specified in the contract.
Data deletion: After the effective cancellation date, FSM Grid will remove or delete client data from its systems upon request or within a set retention period, abiding by the privacy policy and data protection regulations.
Renewal notifications: Advance renewal reminders or invoices are typically sent prior to auto-renewal, giving organizations time to review or modify their contract as needed.
FSM Grid meets a range of industry and regional compliance standards relevant to field service management, data security, and privacy:
GDPR: Adheres to the General Data Protection Regulation for organizations operating in or serving the EU, ensuring proper handling, processing, and export of personal and operational data.
ISO/IEC 27001: Aligns with best practices for information security management, supporting robust risk controls, data integrity, and auditability.
Data encryption and privacy: Implements advanced encryption and access control in line with leading standards to protect user and customer data both at rest and in transit.
Industry-specific SLAs: Enable configuration and monitoring of service level agreement compliance for regulated industries such as utilities, telecom, and facilities management.
Regulatory audit support: Provides audit trails, change logs, and secure reporting to support compliance with sector or client-specific regulatory audits and transparency requirements.
