EZLease typical implementation process:
Initial Assessment and Planning: The implementation team consults with the client to understand business requirements, lease portfolio size, compliance needs, and integration scope. This step ensures a tailored approach and aligns project milestones with business goals.
System Configuration: EZLease is configured according to specific client accounting standards (ASC 842, IFRS 16, GASB), general ledger mapping, user permissions, and report templates. This step establishes foundational settings for compliance and workflow automation.
Data Import and Migration: Existing lease data is bulk-uploaded using standardized templates or direct integrations with ERP systems. Built-in validations and error-checking tools are used to ensure clean, accurate data migration to the EZLease platform.
User Training and Testing: Finance teams receive focused training on lease entry, reporting, compliance workflows, and administration. Testing verifies correct uploads, calculation accuracy, and workflow automation before full go-live.
EZLease can be customized to fit specific business needs through an extensive range of configurable features tied to its compliance and data management architecture. It supports business-specific adaptations across financial, reporting, and operational workflows.
EZLease offers extensive training and support resources to ensure smooth onboarding, faster learning, and confident lease management for new users. Its training ecosystem is built around interactive resources, documentation, guided workflow sessions, and ongoing customer assistance.
Configuring fiscal calendars, regional settings, and charts of accounts.
Uploading leases manually or in bulk via templates.
Managing user-defined fields and administering leases efficiently.
Additionally, insightsoftware offers LeaseAccelerator University, an integrated training portal designed to teach both lease accounting concepts and platform navigation. It offers role-based learning paths, hands-on practice environments, and self-paced certification for administrators, CoE teams, and daily users.
EZLease implements a comprehensive set of security measures to protect customer data, focusing on access controls, data encryption, compliance, and privacy safeguards. The system blends technical, organizational, and legal protections to ensure the confidentiality, integrity, and security of your lease accounting information.
Multi-factor authentication (MFA), including token-based and app-based confirmation, is required for user login to add an extra layer of security against unauthorized access.
Role-based access control ensures only designated personnel can view, edit, or export sensitive data, minimizing internal risk and supporting separation of duties.
IP whitelisting and Single Sign-On (SSO) support can further control access based on organization-specific security requirements.
All data is encrypted both in transit (using SSL) and at rest on the servers, preventing unauthorized interception and exposure of sensitive financial details.
EZLease explicitly commits to processing customer personal information exclusively for subscription services, prohibiting retention, use, or disclosure outside the service contract, and never selling or transferring user data for unrelated purposes.
Administrative, physical, and technical safeguards are maintained to ensure compliance with security, privacy, and data protection laws—including GDPR for EU citizen data and similar regulations for other jurisdictions.
Security policies and controls are kept up to date to meet and demonstrate compliance standards required for financial software, supporting audit readiness and regulatory reporting.
Every system access and activity is logged, enabling audit trails for both compliance verification and internal accountability.
EZLease releases updates on a regular and well-documented schedule, with major product releases typically occurring two to three times per year, along with minor enhancements and maintenance patches as needed. Recent release notes show version milestones in March, December, July, and April across successive years, reflecting a predictable and transparent update cycle.
Major releases are issued approximately every 3–6 months, delivering new features, user interface enhancements, compliance support, and security upgrades.
Minor updates or hotfixes address bug fixes, platform stability, and quick compliance adjustments in between major releases.
All update releases—including enhancement details, feature changes, and resolved bugs—are documented in official release notes accessible through the EZLease documentation portal.
Updates are managed centrally for cloud users; deployment is seamless, requiring no IT intervention by clients.
Product change logs clearly outline any accounting workflow changes and allow users to reference prior versions for comparative reporting or audit requirements.
EZLease’s policy affirms that customers retain full ownership of their data, including all right, title, and interest in lease, financial, and personal information processed within the platform. EZLease processes customer data exclusively to provide subscription services, and will not retain, use, or disclose it for any unrelated purpose. The company explicitly prohibits selling or transferring customer data to third parties, except where necessary to deliver contracted services or where required for compliance with privacy and confidentiality obligations.
The customer, not EZLease, holds all intellectual property and data rights over uploaded or generated content within the system.
Feedback or suggestions provided by users to EZLease may be incorporated into future product developments, with intellectual property rights over that feedback assigned to EZLease.
EZLease provides robust export functionality, allowing clients to extract ERP-ready data from the platform as needed.
Users are empowered to download their lease and financial data in standard, machine-readable formats to support integrations, migrations, compliance, or reporting requirements.
EZLease is architected to scale with organizational needs, allowing clients to adjust their usage as their lease portfolio grows or contracts. This includes both the ability to upgrade for increased capacity and to manage costs by scaling down if lease volumes decrease.
EZLease supports bulk uploads and efficient management of large-scale lease data, making it suitable for businesses ranging from mid-sized organizations to those handling thousands of leases.
Additional leases, users, or entities can be added as requirements grow; the centralized cloud platform supports multi-company accounting and flexible expansions without performance loss.
The process to increase capacity is streamlined—customers can contact EZLease support for adjustments, and the cloud-based nature means expanded resources are available on request.
Organizations can also reduce their subscription tier or user count if lease volumes diminish. Most reductions in users or features take effect at the next renewal or billing cycle, keeping subscription management predictable.
Data portability and export capabilities ensure that if you scale down, you retain ownership of your full data set with no vendor lock-in.
EZLease’s contract structure is designed to minimize vendor lock-in and allow easy plan modifications, whether scaling up or down. There is no charge for implementation, and new service levels can be adopted quickly without hidden fees or complex technical migrations.
EZLease contract renewal and cancellation terms are structured to provide transparency and flexibility, consistent with SaaS best practices for enterprise software. Key data points regarding renewal and termination are outlined below.
Automatic Renewal: Unless otherwise stated in the Order Form, EZLease contracts automatically renew for consecutive 12-month terms after the initial subscription period.
Notice for Non-Renewal: Either party may choose not to renew by providing written notice of non-renewal at least 30 days before the expiration of the current term.
Renewal Pricing: Fees for renewal terms are billed at EZLease’s then-current rates. Invoices for renewals are sent up to 30 days prior to the renewal date, and payment is due on the renewal date itself.
Add-Ons: Any subscription add-ons purchased after the start of the term are co-terminous, aligning with the current contract period.
Termination for Breach: Either party can terminate the agreement in case of a material breach, provided written notice is given specifying the breach and a 30-day cure period is observed. If a cure is not effected, the agreement terminates.
Bankruptcy or Insolvency: Immediate termination is possible if either party experiences bankruptcy, insolvency, or similar situations.
Non-Payment: Non-payment of valid fees is considered a material breach that can lead to suspension or termination of services, particularly for Essential Plan, Free Trial, or unpaid services.
Cancellation Effect: Upon termination, customers must discontinue all use of the service, destroy or delete any confidential information, and promptly pay any outstanding amounts due.
Data Export: If the contract was not terminated for customer breach, upon request (within 30 days of termination), EZLease will provide the customer with a downloadable CSV file of their content at no charge.
EZLease is designed to support and automate compliance with a wide range of global lease accounting and financial reporting standards. Its primary compliance standards include:
EZLease provides built-in workflows, data structures, and reporting to ensure full compliance with ASC 842, the US lease accounting standard for both lessees and lessors. This standard requires almost all leases to be recognized on the balance sheet and standardizes disclosures for audit and regulatory purposes.
The platform supports all aspects of IFRS 16, the International Financial Reporting Standard for leases. IFRS 16 requires lessees to recognize nearly all leases as finance leases, impacting both balance sheet presentation and disclosure requirements globally.
EZLease explicitly automates compliance with GASB 87 and GASB 96, the recent lease accounting standards for US state and local governments. These are based on ASC 842/IFRS 16 principles but have tailored requirements for public sector entities—including software subscription-based IT arrangement classification and reporting.
The application is regularly updated to reflect changes in regulation and audit requirements for SOX (Sarbanes-Oxley) compliance, and supports robust documentation for both internal and external audits.
