Data Ownership and Portability
EZ Maintenance adheres to standard best practices regarding data ownership and portability, ensuring that customers retain control of their data and can access or export it as needed.
Customer Data Ownership All data entered into the system by the organization, including asset records, maintenance logs, user inputs, and documentation, remains the sole property of the customer.
Right to Access and Export Data Users can access their data at any time through the platform’s interface. Most systems allow data export in commonly used formats such as CSV, Excel, or PDF for reporting or backup purposes.
Portability Upon Termination Upon contract termination or account closure, customers can request a full export of their data. This is usually provided within a specified timeframe and may involve a standard data extraction process.
No Vendor Lock-In EZ Maintenance generally avoids practices that lock customers into the platform by restricting data movement, thereby facilitating easier transitions to other systems if needed.
Data Retention and Deletion Policies After contract termination, data is retained for a grace period (typically 30–90 days) before permanent deletion. Customers are notified and given the opportunity to retrieve their data before deletion.
Scaling Up / Down
EZ Maintenance is built to accommodate growth or downsizing, providing flexible licensing and configuration options that align with evolving organizational needs.
Modular and Tiered Licensing The software supports scalable licensing models where customers can upgrade or downgrade the number of users, assets, or features based on operational demands.
Add-On Features Additional modules (e.g., advanced reporting, inventory, mobile access) can be added as the organization expands or removed when no longer required.
Flexible Contract Adjustments Mid-term adjustments to service plans are typically allowed, enabling organizations to scale usage up or down without waiting for the contract renewal period.
Usage-Based Pricing (if applicable) In some plans, pricing is based on usage metrics like number of assets, work orders, or technicians, allowing cost to naturally scale with operations.

Notification and Approval Process Changes to plan tiers or user counts usually require administrative approval and may be subject to revised billing cycles or pro-rated charges.
The terms & conditions for contract renewal and cancellation
EZ Maintenance typically operates under a subscription-based model, with clear terms governing renewal and cancellation. These may vary slightly depending on the contract type (monthly, annual, or multi-year), but generally follow standard industry practices.
Automatic Renewal Clause Most contracts include an automatic renewal clause unless the customer provides written notice within a defined period (e.g., 30 days before the renewal date).
Flexible Billing Cycles Customers may choose between monthly or annual billing plans. Monthly plans offer more flexibility, while annual plans often provide cost savings.
Notice Period for Cancellation A standard notice period (e.g., 30 days) is typically required to cancel the contract without penalty. Failing to give notice on time may result in the contract auto-renewing for another term.
Mid-Term Cancellation Policy Early termination of a contract may be subject to cancellation fees or forfeiture of prepaid amounts, depending on the terms agreed upon in the service agreement.
No Long-Term Lock-In While annual contracts may provide pricing benefits, EZ Maintenance generally avoids strict long-term lock-ins and allows customers to exit with reasonable notice and conditions.
Refund Policies Refunds for unused time or services are not typically provided unless specified in the agreement or due to vendor-related service failure.
Service Level Guarantees and Termination for Cause Contracts often include clauses allowing termination without penalty if EZ Maintenance fails to meet agreed-upon service levels, uptime, or performance benchmarks.
