User Rights: Institutions and users can request data export or deletion in line with applicable privacy regulations. DigiAssess assists clients in fulfilling these requests, ensuring transparency and regulatory compliance.
DigiAssess is designed to provide educational institutions with a flexible, scalable assessment platform that can adapt as organizational needs evolve. Here’s how the platform supports scaling up or down:
Scalable Usage: DigiAssess accommodates organizations of varying sizes, from small colleges to large universities, allowing for easy adjustment in the number of users, candidates, or assessments as demand changes
.
Subscription Model: The platform typically operates on a subscription basis, enabling institutions to upgrade or downgrade their plan according to their current requirements. This model ensures that organizations pay only for the capacity and features they need at any given time.
No Long-Term Lock-In: DigiAssess’s subscription structure generally does not require long-term commitments, allowing institutions to adapt or cancel their plan at the end of a billing period as needs fluctuate.
Add or Remove Users Instantly: Administrators can add or remove users, such as students, faculty, or proctors, directly from the platform. This self-service approach supports rapid scaling for peak periods or downsizing during quieter times.
On-Demand Assessment Creation: The system allows for the creation and management of unlimited assessments, supporting both high-volume exam periods and more limited use cases without additional complexity
Data Ownership: Institutions retain full ownership of their data and can export or delete it at any time, ensuring compliance and business continuity during scaling transitions.
No Data Loss on Scaling: Adjusting user numbers or subscription levels does not impact access to existing data, supporting seamless transitions as the organization grows or contracts.
Dedicated Support: DigiAssess offers ongoing support to assist with onboarding new users, managing transitions, and optimizing usage during periods of organizational change. This includes training, technical assistance, and guidance on best practices for scaling.
Practice Simulations: For institutions adding large numbers of new users, DigiAssess provides practice simulations and onboarding resources to ensure readiness and minimize disruptions.
Custom Solutions: DigiAssess can be configured to fit unique workflows, and its integration capabilities allow for seamless connection with existing systems (such as LMS or SIS), making scaling up or down straightforward without disrupting established processes.
Automatic Renewal
DigiAssess typically operates on a subscription-based model, where contracts or licenses are set to renew automatically at the end of each billing cycle (monthly or annually) unless the client provides advance notice of non-renewal. This ensures uninterrupted access to the platform and its features.
Advance Notice for Non-Renewal
Clients wishing to terminate their contract at the end of a term must notify DigiAssess in writing before a specified deadline—commonly 30 days before the renewal date. Failure to provide timely notice generally results in automatic renewal for the next term.
Plan Adjustments
Organizations can review and adjust their subscription level, user count, or service requirements before renewal. Upgrades or downgrades are usually possible before the new term begins, allowing institutions to scale services as their needs change.
Price Changes
If DigiAssess adjusts its pricing for the upcoming term, clients are typically notified in advance (often 30–60 days before renewal). This provides time to review new rates and decide whether to continue, renegotiate, or cancel the subscription.
Contract Amendments
Any changes or renegotiations to contract terms must be agreed upon by both parties before the new term takes effect, ensuring clarity and mutual consent.
Cancellation Before Renewal
To avoid renewal and associated charges, clients must submit a cancellation request in writing before the contract’s notice period (often 30 days ahead of the renewal date). Late cancellation requests may not prevent the next term’s renewal and billing.
No Pro-Rata Refunds
If a contract is canceled after a new term has started, access to DigiAssess typically continues until the end of the paid period, but no refunds are issued for unused time within that term.
Access After Cancellation
Upon cancellation, clients retain access to the platform and their data until the end of the current billing cycle. After the cycle ends, access to subscription-based features is terminated unless the contract is renewed.
Data Ownership and Portability
Even after cancellation, institutions retain ownership of their data. DigiAssess allows clients to export or delete their data at any time, ensuring compliance with data protection and business continuity requirements.
Termination by DigiAssess
DigiAssess reserves the right to terminate or suspend access to the platform immediately, without notice or liability, for reasons such as breach of agreement. Upon termination, the right to use the platform ceases immediately, but obligations and liabilities incurred before termination remain in effect.
Custom Contracts
For enterprise or custom agreements, renewal and cancellation terms may be negotiated individually and specified in the contract. These may include longer notice periods, custom billing cycles, or additional conditions for termination.
DigiAssess is designed to align with rigorous data protection, privacy, and educational compliance standards, ensuring the security and integrity of assessment data for educational institutions.
