The implementation of BlueBriX Behavioral Health EHR follows a structured, step-by-step process designed to minimize disruption and ensure a smooth transition. While timelines may vary depending on the size and complexity of the organization, most implementations are completed within 6 to 12 weeks.

Step-by-step implementation process:

1. Discovery & Planning
BlueBriX begins with a comprehensive needs assessment to understand the organization’s workflows, specialties, and goals. This includes identifying key stakeholders, data migration needs, and customization requirements.

2. Configuration & Customization
The platform is tailored to fit the organization’s clinical and operational workflows. This includes setting up custom templates, treatment plans, billing rules, and scheduling structures.

The system goes live with full support from BlueBriX’s implementation team. Real-time assistance is provided to resolve any issues and ensure adoption.

7. Post-Implementation Optimization
After launch, BlueBriX continues to monitor usage, gather feedback, and optimize workflows. Additional modules or features can be added as needed.

BlueBriX is highly customizable, making it ideal for behavioral health providers with specialized workflows. Here are key data points that highlight its flexibility:

• Custom Templates: Providers can create and modify clinical templates, including SOAP notes, mental status exams, risk assessments, and treatment plans tailored to specific programs like IOP or addiction recovery.

• Adaptive Scheduling: Scheduling can be configured based on provider specialties, patient needs, and treatment programs. It supports multi-facility coordination and centralized dashboards.

• Billing Rules & Contracts: BlueBriX allows customization of billing workflows, payer-specific rules, prior authorizations, and flexible contracts to match financial models.

• Program Management: Providers can create and manage patient cohorts for specialized care programs, enabling targeted interventions and reporting.

• Privacy Controls: The platform includes granular role-based access and audit logs, which can be configured to meet strict privacy regulations for behavioral health data.

• Multilingual & Regional Customization: Supports over 36 languages (including Arabic), and allows customization of calendars, currencies, phone formats, and address structures.

• SDK for Language Expansion: If a preferred language or dialect isn’t available, BlueBriX offers a Software Development Kit (SDK) to translate and add new languages.

• Third-Party Integrations: BlueBriX is integration-agnostic, meaning it can connect with external labs, eRx systems, calendars, and devices based on provider needs.

• Custom Reporting & Analytics: Providers can build custom dashboards and reports using BlueBriX’s predictive analytics and BI tools, tailored to clinical, operational, or financial KPIs.

This level of customization ensures that BlueBriX can adapt to the unique needs of solo practitioners, community clinics, and enterprise-level behavioral health organizations.

These measures ensure that patient data remains confidential, secure, and accessible only to authorized personnel.

BlueBriX follows a continuous improvement model, releasing updates regularly to enhance features, fix bugs, and maintain compliance with evolving regulations. While the exact frequency isn’t publicly specified, updates are typically rolled out quarterly or as needed, depending on client feedback and regulatory changes.

Updates are managed centrally via the cloud, meaning users do not need to manually install patches. The platform ensures zero downtime deployments, and clients are notified in advance of any major changes. For enterprise clients, BlueBriX offers custom update schedules and sandbox environments to test new features before full deployment.

BlueBriX maintains a provider-first data ownership policy, meaning that your organization retains full ownership of all patient and operational data stored within the platform. This includes clinical documentation, billing records, analytics, and patient communications.

Regarding portability:

• BlueBriX supports secure data export in standard formats (e.g., HL7, FHIR, CSV) for migration or backup purposes.
• During onboarding or offboarding, BlueBriX provides data migration assistance to ensure continuity and integrity.
• The platform complies with HIPAA and 42 CFR Part 2, ensuring that sensitive behavioral health data is handled with the highest confidentiality standards.

This approach ensures that organizations can transition in or out of the platform without losing access to critical data.

BlueBriX offers modular scalability, allowing organizations to adjust user counts, features, and facility coverage as their needs evolve. The pricing tiers are flexible:

• Small Teams (1–20 users): $125/user/month
• Medium Teams (20–100 users): $100/user/month
• Large Teams (101–500 users): $90/user/month
• Enterprise (500+ users): Custom pricing

Organizations can scale up by adding users, modules (e.g., analytics, telehealth), or facilities without needing a full reimplementation. Conversely, scaling down is supported with prorated adjustments, provided changes are communicated within the billing cycle.

BlueBriX also offers pooled usage limits, meaning resources like storage and telehealth minutes are shared across the organization, allowing for flexible allocation as teams grow or contract.

BlueBriX offers flexible contract terms designed to accommodate organizations of varying sizes and needs. While specific legal terms may vary by client agreement, here are the general conditions:

• Contract Duration: Most contracts are annual, with options for multi-year agreements for enterprise clients.

• Renewal Terms: Contracts typically auto-renew unless canceled within a specified notice period (usually 30–60 days before the renewal date).

• Cancellation Policy:
  • Clients can cancel with written notice, subject to the terms outlined in their agreement.
  • Early termination may incur prorated charges or penalties depending on the contract type.

  • Data export and migration support are provided upon cancellation to ensure continuity.

• Scaling Adjustments: Clients can scale up or down during the contract period, with pricing adjusted accordingly. Usage limits are pooled across the organization, allowing flexible resource allocation.

BlueBriX is built to meet a wide range of federal, state, and industry-specific compliance standards, especially those critical to behavioral health and substance use disorder treatment:

• HIPAA (Health Insurance Portability and Accountability Act): Ensures data privacy, secure messaging, encryption, and audit trails.

• 42 CFR Part 2: Provides granular access controls for substance use disorder records, ensuring sensitive data is only accessible to authorized personnel.

• CCBHC (Certified Community Behavioral Health Clinic) Requirements: Supports expanded service mandates, outcome tracking, and detailed reporting.
