By Arborgold Software
Arborgold typical implementation process:
Initial Consultation and Needs Assessment: The process starts with a discovery call to understand the business’s workflow, challenges, and goals, ensuring the setup matches unique operational needs.
Demo and Solution Fit: Arborgold provides a tailored demo so teams can see the software’s functions as they relate to daily operations, helping clarify best-fit modules and options.
Account Setup and Data Import: The implementation team sets up company accounts, configures user permissions, and assists with importing client lists, service templates, and historical data for a smooth transition.
Customization and Workflow Configuration: Workflows, service offerings, jobs, and communication templates are customized to fit the business’s requirements; scheduling, invoicing, and CRM features are tailored.
Staff Training and Onboarding: Team members receive guided training sessions—either virtually or on-site—covering how to use mobile apps, dashboards, scheduling, and customer communication.
Arborgold offers some configurability and workflow flexibility, but there are explicit limitations to deep or bespoke customization for highly specific business needs. Most available customization centers around modifying templates, reports, column views, and plant healthcare plans, along with API and integration options for external tools. Below is a comprehensive view of Arborgold’s customization capabilities and constraints.
Users can adjust columns in the Jobs tab, modify templates for work orders, invoices, and proposals, and customize certain report outputs.
Customizable plant healthcare plans are available, letting businesses tailor service plans for specific client needs, such as fertilization and pest control schedules.
Limited branding customization for documents and client communications is possible (e.g., invoices, proposals, company info placement).
Integration capabilities enable connection with tools like QuickBooks, Google Calendar, SendGrid, Twilio, and others, supporting workflow adaptations.
Built-in workflow automations allow for batch scheduling, marketing campaigns (email/SMS), and automated renewals, yet these are limited to predefined flows built by Arborgold.
API integrations support some custom workflow construction via third-party apps, but direct in-app logic or scripting is restricted.
Users can design and filter custom reports on sales, profitability, or job performance, but reporting flexibility is mainly within set data fields and layouts.
Dashboard views and visualizations can be configured to track company-wide or individual KPIs.
Arborgold does not support custom development, plug-in modules, or extensive system modifications beyond surface-level configuration.
Individual feature toggling or bespoke process flows (beyond what’s pre-built) are not currently available.
Some competitive reviews note gaps compared to platforms that allow field/feature-level customization or granular user-based permission settings.
Filtering and advanced data slicing tools are more limited versus some other field service solutions.
The platform is aligned out of the box for landscaping, tree care, pest control, lawn service, and snow removal, with prebuilt templates and features for these verticals, supporting moderate configuration to each unique operation.
Arborgold provides a broad range of onboarding, training, and ongoing support options, catering to both individual users and organizations with diverse needs. The platform’s approach includes personalized, group, self-service, and live support formats to help new users quickly become proficient and get the most out of the software.
Every new account is set up with tailored onboarding training, typically delivered through three one-on-one virtual sessions (each 50 minutes) led by Arborgold’s client success team.
Sessions cover the fundamentals: user setup, importing data, setting up integrations, creating templates for proposals and invoices, contact management, job estimating, job management, scheduling, accounts receivable, QuickBooks syncing, and mobile app usage.
Training can be further personalized to fit each company's workflows or business logic, with virtual consulting available for deeper mapping of business processes into the software.
Unlimited beginner group training sessions for all active subscribers, ideal for onboarding multiple staff.
Quick Start online tutorials and help center knowledge base for self-paced learning and reference.
On-site training is available by request for organizations needing hands-on support across teams and departments.
Regular webinars and product update sessions are offered to keep users informed on new features and best practices.
Live phone support is available weekdays (Monday to Friday, 8AM–5PM Eastern), providing direct, real-time help from Arborgold specialists.
24/7 email support ensures urgent requests are addressed outside of business hours; all support inquiries are tracked by an automated ticketing system.
Chat and help desk functions supplement support for quick problem resolution.
Customer reviews and third-party ratings consistently highlight responsive support staff, accessible guidance when stuck, frequent software updates, and ongoing webinars as strengths of Arborgold’s training and support program.
Arborgold implements multiple security and data protection measures designed to safeguard user business data and ensure compliance with key industry standards. The following summarizes their approach to platform security and privacy.
All client databases and application preferences are regularly backed up in encrypted form, with backup retention periods of 90 days to minimize data loss risk.
Secure data storage is standard, and encrypted backups ensure that data is protected during both storage and transmission.
Database information is kept confidential and is never disclosed to outside parties except as may be required by law (e.g., under subpoena).
Only authorized users with secure, unique logins can access customer data. Password sharing is strictly prohibited, and users are required to maintain the confidentiality and security of their credentials.
Role-based permissions can be configured to restrict access for individual users, though customization of these permissions is limited compared to some platforms.
Arborgold prohibits activities that could compromise system integrity, such as reverse engineering, unauthorized penetration testing, or the introduction of malware.
The company reserves the right to temporarily suspend access if a threat or attack is detected or if user activity represents a security risk to the system or other customers.
Specific protocols are in place to identify and address fraudulent, illegal, or suspicious usage immediately.
The platform is designed to comply with major privacy standards such as GDPR, including strict data handling, subject access, and the right to deletion.
Periodic audits of client accounts and platform usage are permitted to ensure compliance with security requirements and contractual obligations.
Deidentified customer data may be used for product improvement, but is not disclosed outside Arborgold or its subcontractors without written consent; non-deidentified data is treated strictly as confidential.
Arborgold follows a rapid and structured release schedule, providing software updates on a weekly, biweekly, and monthly basis depending on the nature and significance of the enhancements. Updates may involve bug fixes, performance improvements, new feature rollouts, and regulatory or integration-specific changes.
Weekly releases are common for minor improvements, quick fixes, and iterative enhancements to usability or functionality.
Biweekly updates introduce secondary feature additions, security improvements, or incremental updates to address user feedback and keep the platform responsive.
Major feature releases and core platform upgrades are managed on a monthly cadence, with release notes highlighting headline changes each month.
Detailed release notes for each update are published in the Arborgold support and help center, ensuring transparency and documentation for all users.
Updates are typically deployed automatically to all cloud users, with in-app notifications or email alerts summarizing what has changed and highlighting any actions needed by users.
Larger releases may be accompanied by special webinars, documentation updates, and even video walk-throughs to help users adopt new capabilities smoothly.
There is a strong emphasis on minimizing user disruption during updates, with most enhancements applied in the background.
Customer feedback consistently notes that frequent updates can create a learning curve, but the cadence ensures issues are addressed quickly and features evolve with business and industry requirements.
Arborgold’s policy gives customers clear ownership of their business and customer data, while also supporting data portability through built-in export features and contract terms. Here are the key elements of Arborgold's approach:
Customers retain all rights, title, and interest in their business and customer data stored within Arborgold.
Arborgold does not claim ownership over customer data, instead operating as a processor/service provider for the duration of the service relationship.
Arborgold may process customer data to provide services or improve its platform, and is permitted to create deidentified (anonymized) data sets for development and analytics, but this deidentified data is not linked to specific customers and may be used for any purpose.
Customers can export their data from Arborgold, including client lists and job records, via built-in tools such as Excel (CSV/XLS) export, subject to having appropriate user permissions.
Export procedures are documented for customer data and jobs, allowing partial or full download of records as needed.
Data export can also be used for migration, backup, or integration purposes, supporting reasonable portability if an organization wishes to transition away from Arborgold.
For integrations (like QuickBooks), specific export processes are available to transfer accounting and transaction data into outside platforms.
Customer data that is not deidentified will not be disclosed to third parties (except to Arborgold subcontractors as necessary to deliver services) unless the customer provides written consent or as required by law.
Arborgold allows organizations to scale up or down their subscription in response to changing needs, with flexible options to adjust plan tiers and user counts both during and between contract terms. Here are the specific terms and data points for scaling:
Users can choose among three plan levels: Starter, Professional, and Enterprise, depending on feature requirements and organization size.
Switching between plans (upgrading or downgrading) is available, typically effective at the next billing cycle or renewal date, in line with standard SaaS practices.
Each tier comes with defined feature sets, and organizations only pay for what they need based on the selected plan and the number of users.
Licenses are scalable: organizations can add or remove office and mobile user seats according to staffing and operational needs.
Pricing is calculated per user, so organizations only pay for active licenses required at a given time—supporting dynamic team expansion or contraction.
Annual and monthly payment options are available; annual contracts usually offer savings, while “pay as you go” monthly plans provide flexibility to adjust up or down as organizational needs shift.
Changes in plan or user count are reflected in subsequent invoices; proration policies for mid-cycle changes may apply depending on when the adjustment is made.
Adjustments to services, resource tracking, or pricing models can be made within plan parameters through account settings, supporting operational scaling without platform migration.
Upgrades to higher tiers can take effect immediately or at the next payment cycle, depending on customer needs and sales agreement.
Arborgold’s contract renewal and cancellation terms are structured to grant clarity and flexibility for both ongoing subscribers and those seeking to terminate service. Here are the main data points based on their terms and conditions:
Automatic Renewal: Subscription terms (specified on the signed Order Form) generally renew automatically unless one party provides written notice of intent not to renew at least 30 days before the end of the current term.
Fee Increases on Renewal: Subscription fees may increase upon renewal to match Arborgold’s current list price. Customers are informed of any increase at least 30 days in advance of renewal. If the customer does not accept the new pricing, either party may terminate the contract at the end, given a 30-day written notice.
For Convenience: The contract does not offer a standard provision for early termination “for convenience.” Normal termination occurs at the end of the current contract/subscription term upon timely non-renewal notice.
For Breach: Either party can terminate the agreement early if the other party materially breaches and fails to cure the breach within 30 days of written notice specifying the details of the breach.
For Insolvency or Legal Reasons: Either party may terminate immediately upon written notice if the other becomes insolvent, files for bankruptcy, undergoes a similar proceeding, or violates applicable laws.
Data Return: Upon termination, customers can request the return of their data within 30 days; thereafter, Arborgold is not obliged to retain customer data.
Obligation to Pay: Any accrued, unpaid fees up until the effective date of termination must still be paid. No prorated refunds for unused subscription periods are explicitly stated.
Arborgold software is designed to meet key compliance standards and regulatory requirements relevant to the field service and green industry sectors, including privacy, data protection, and industry-specific regulations. Here are the primary compliance areas supported:
GDPR (General Data Protection Regulation): Arborgold is aligned with GDPR, with encrypted data backups, a Data Protection Officer (DPO), mechanisms for “right to erasure” (data deletion requests), and lawful marketing consent procedures for EU residents and contacts.
The platform’s privacy terms specify compliance with applicable data protection and privacy regulations, particularly for handling EU customer information and marketing consent.
State Chemical Reporting: Arborgold includes built-in features for tracking, documenting, and reporting regulated chemical usage on jobs, supporting compliance with state and local chemical application and reporting rules.
The software automates record-keeping for chemical inventory, types, quantities, and related data, generating audit-ready paper trails.
Arborgold terms provide for customer record audits to ensure adherence to legal, contract, and industry requirements, helping users maintain a compliant operational environment.
The platform helps users track staff licenses, certifications, and renewal dates—supporting compliance with certain insurance and industry standards for tree care and landscaping businesses.
Arborgold conducts regular security audits and updates to maintain compliance with industry data protection standards and ensure platform integrity.
