Implementing Tovuti LMS is designed to be fast, structured, and user-friendly. The process typically unfolds in several key steps:
Discovery & Planning
After signing up or booking a demo, Tovuti’s team works with your organization to understand your training goals, user types, and content needs. This phase includes mapping out your course structure, branding preferences, and integration requirements.
Platform Setup
Tovuti sets up your LMS instance, including custom branding (logos, colors, domain), user roles, and permissions. You’ll also configure your learning paths, categories, and course shells based on your internal structure.
Content Creation & Upload
You can create courses using Tovuti’s native authoring tools or upload existing SCORM/xAPI packages. The platform supports interactive content like quizzes, surveys, videos, PDFs, and even AI-generated lessons via the Dizi assistant.
Customization & Configuration
During this phase, you can apply custom code to modify the learner portal, personalize dashboards, and tailor the user experience to match your business needs. You’ll also configure automation rules for enrollments, notifications, and workflows.
Testing & QA
Before going live, your team tests the platform’s functionality, including course navigation, reporting, and integrations. Tovuti recommends testing custom code every few weeks to ensure stability and performance.
Training & Launch
Tovuti provides admin training to ensure your team can manage the platform confidently. Once everything is in place, you launch the LMS to your learners, with ongoing support available from Tovuti’s client success team.
Post-Launch Optimization
After launch, you can monitor learner engagement and performance using Tovuti’s analytics tools. Based on insights, you can refine content, adjust learning paths, and scale your training programs.
Typical Timeline:
Implementation can take anywhere from 2 to 6 weeks, depending on the complexity of your setup, the volume of content, and the level of customization required.
Tovuti is highly customizable and built to adapt to specific business needs. Here are several ways it can be tailored:
Custom Code Support: Modify the learner portal using HTML/CSS/JS to create unique interfaces or embed third-party tools
Tovuti LMS follows a custom pricing model, meaning costs vary depending on the size of your organization, number of users, and selected features.
Tovuti offers a comprehensive onboarding and support ecosystem to help new users succeed:
Tovuti LMS takes data protection seriously and implements several layers of security to safeguard user information:
Tovuti LMS releases updates regularly, with a scheduled weekly maintenance window every Saturday between 8:00 AM and 12:00 PM (US Mountain Time). During this time, the platform may experience brief downtime while updates are deployed. These updates include feature enhancements, bug fixes, and performance improvements. Tovuti maintains a Release Notes section in its Help Center where users can track new features and changes to both the admin and learner experiences.
Clients retain ownership of their data. Tovuti grants users a revocable, non-exclusive, non-transferable license to use the platform, but it does not claim ownership over the content or user data uploaded by clients. This means your organization maintains control over course materials, user information, and analytics data.
Regarding data portability, while specific export tools are not detailed publicly, most LMS platforms—including Tovuti—allow for exporting user data, reports, and course content in standard formats (e.g., CSV, SCORM). For full data migration or backup needs, Tovuti recommends contacting their support or client success team.
Tovuti LMS is designed to scale with your organization’s needs. Whether you're expanding to new departments, adding more learners, or launching new training programs, the platform supports:
To scale up or down, clients typically work with their account manager or support team to adjust their subscription and platform configuration. Payment terms and upgrade policies are outlined in Tovuti’s Software as a Service Agreement, which is referenced in their Terms of Use.
Renewal: Contracts typically auto-renew unless the client provides written notice of non-renewal at least 90 days before the end of the current term.
Cancellation: Clients can cancel their subscription at any time, but the cancellation will only take effect at the end of the current contract term. There are no refunds or credits for partial use or early termination.
Subscription Cancellations: For users on e-commerce subscription plans, cancellations are managed through the admin dashboard. A record of the cancellation is stored, and admins can view or act on cancellation requests via the User Manager > Timeline tab.
