Hamilton Meeting

Hamilton Meeting is an all‑encompassing meeting room and workspace booking platform crafted to streamline how organizations coordinate, execute, and analyze meetings and office space usage. Built with agility in mind, it offers a polished user experience across web, mobile, and room‑side tablets—making on‑the‑fly bookings a near‑frictionless activity. Seamless integration with calendar systems like Microsoft 365, Office 365, and Exchange ensures that meetings can be created directly from familiar calendar interfaces, thus minimizing risks of double-booking and disruption to established workflows. One of its standout features is its intelligent occupancy detection. Hardware sensors installed in rooms detect if a scheduled meeting isn’t occupied and automatically free up the space based on predefined thresholds. This functionality significantly mitigates the problem of “ghost meetings” and ensures optimal space utilization. Complementing this functionality, Hamilton Meeting’s analytics module provides actionable insights through detailed reporting—covering room occupancy rates, peak booking times, ghost‑meeting frequency, and resource usage (including A/V equipment, catering, and support services). These analytics empower facility managers and workplace strategists to refine space allocations and service provisioning. The platform doesn’t stop at booking; it supports service ordering directly within the app. Users can pre-order catering, reserve equipment like projectors or microphones, and even include special seating configurations such as V‑shape layouts. Each service request is tied to individual or departmental cost centers, simplifying budget tracking and invoicing—critical for organizations monitoring spending across teams or clients. Flexibility and scalability are core attributes. Hamilton Meeting supports single‑sign‑on (SSO), synchronizes with company directories, and issues RFID badge-based bookings—making badge‑tap access and room availability visible right at the door via tablets mounted outside rooms. Additionally, a visitor management feature auto-registers guests, streamlining security and check‑in processes. For hybrid and desk‑sharing environments, it also includes desk‑booking modules to help employees reserve hot desks or flex spaces. Hamilton Meeting is offered both as a cloud-based and on-premises solution, giving organizations the choice to deploy based on privacy, compliance, or infrastructure needs. Its integrations span calendaring systems, staff directories, SSO services, and video-conferencing tools—enabling users to embed meeting links directly into reservations, further simplifying logistics for hybrid staff.
