What is Fleet Management Software?

Fleet Management Software allows fleet managers to monitor their equipment, vehicles, and drivers with a single platform. The software uses global positioning system (GPS) technology to offer real-time updates on the exact location of fleet assets. Therefore, fleet businesses use it to ensure the optimal use of their work vehicles.

Fleet management solutions track vehicle data, including the geographical location, fuel usage, route direction, and speed of the vehicle. This helps fleet management control, organize, and coordinate vehicles. The software also supports other business processes, such as accounting, scheduled maintenance, and repairs.

What are the common features of Fleet Management Software?

• Dispatch management: Assign and manage dispatch tasks for a fleet of vehicles. The fleet management system offers a centralized platform for coordinating and tracking the movement of vehicles and drivers. Dispatch management typically includes route optimization, real-time monitoring, and resource allocation capabilities.
• Global positioning system: Track the location of vehicles in real time using GPS technology. GPS vehicle tracking in fleet management solution typically includes geofencing, real-time vehicle tracking, and historical location data for efficient fleet management.
• Routing: Optimize and plan vehicle routes by considering traffic conditions, vehicle capacity, and delivery or pickup locations. Routing typically includes route planning, optimization, real-time traffic updates, and reporting capabilities.
• Employee management: Manage drivers and other employees associated with your fleet operation. The fleet management solution provides tools and functionalities to manage various aspects of employee management, such as maintaining driver profiles, driver scheduling, performance monitoring, and training management.
• Fuel management: Monitor, track, and optimize fuel consumption within a fleet of vehicles. Some key aspects of fuel management include fuel usage tracking, fuel efficiency monitoring, and theft detection to improve fleet efficiency.

What are the benefits of Fleet Management Software?

• Increases vehicle lifespan: Fleet management system offers features such as preventive maintenance and telematics so that businesses can effectively monitor their vehicle’s performance and service needs. These features ensure that minor defects do not lead to vehicle breakdowns. The software also provides fuel management as an important feature to monitor fuel consumption and minimize vehicle wear and tear.
• Enhances driver safety: Fleet management software offer various tools and functionalities to monitor, analyze, and enhance driver safety. These may include real-time GPS fleet tracking, driver behavior monitoring, fleet maintenance tracking, safety scorecards, and incident reporting. By leveraging these features, fleet managers can offer targeted training, identify safety risks, and take measures to mitigate them proactively.
• Improves documentation processes: Fleet management software automates administrative tasks, such as generating invoices and proof of delivery documents, to minimize the need for manual data entry. It also provides a centralized platform to store all relevant documents, such as maintenance history, insurance details, and vehicle records, eliminating the need for manual filing systems.
• Promotes customer satisfaction: The fleet management software facilitates real-time tracking of commercial vehicles, allowing businesses to provide accurate delivery time to customers. It also enables smooth communication between fleet managers and customers, keeping the latter informed about any changes in delivery schedules or delays. All these promote fleet efficiency and communication transparency, which help improve customer satisfaction.

How much does Fleet Management Software cost?

Most fleet management software solutions on the market are priced on a “per month” basis, and their entry-level pricing plans range from $14 to $500* per month. An enterprise product that’s priced higher may include additional features such as mileage tracking, purchase order management, motor pool, tire management, predictive vehicle maintenance, and advanced analytics.

*The pricing included is for the entry-level/lowest-priced offerings found on vendor websites as of July 5, 2023.

Key considerations when purchasing Fleet Management Software

• Assess fuel management capabilities. Efficient fuel consumption is an important area that fleet managers need to focus on. Consider a solution that helps you monitor real-time fuel levels and provides insights into fuel leakages, frauds, cost management, and reporting. Having a tool that can warn drivers of possible fuel thefts or shortages can help them stay alert. Many fleet management solutions also integrate with fuel card systems, enabling drivers to track fuel purchases and monitor fuel costs.
• Consider fleet maintenance features: Fleet maintenance is crucial for the success of most of your fleet operations. Before investing in fleet management software, look for features such as service scheduling, predictive maintenance checks, service reminders, and maintenance reports to optimize fleet performance. Your shortlisted tool should also offer notifications for routine checks, including frequent repairs and part replacements.
• Look for fleet alarms: Fleet alarms equip you to respond promptly to fleet-related emergencies, potential issues, or violations. This feature in the fleet management software enables you to create custom alarms based on specific needs. For example, as a fleet manager, you may want to create an alarm for temperature and humidity control, speed alerts, or smoke detection.
