Meet with ERA to evaluate your requirements, discuss priorities, assess customization needs, and lay out a tailored implementation plan and schedule.
Identify key stakeholders, assign project and documentation managers, and determine which internal EHS experts or consultants will be involved.
Gather all necessary documents such as facility maps, process details, product specifications, permits, safety data sheets (SDSs), and previous compliance reports. Organize and prepare data for import, including historical records and calculation methods.
ERA’s implementation professionals review provided documents and data, perform a gap analysis, and identify any missing or incomplete information that needs to be addressed before configuration.
Configure the software using your actual data and processes. Customization is performed to match your industry, facilities, and operational workflows.
Conduct training sessions using your real data. Training is delivered through a mix of eLearning, one-on-one web training, and group sessions, tailored to your team’s needs. Training and implementation are carried out simultaneously (tandem implementation).
Perform QA/QC to verify that the system is configured correctly and that training outcomes are achieved. Ensure all modules and reports function as required.

Real-time dashboards and KPIs provide insight into training status, completion rates, and compliance with regulatory requirements (e.g., OSHA, FDA, SOX, ISO 9000). Automated alerts notify managers of missed or upcoming training.
ERA offers refresher training and webinars, especially around major compliance events or regulatory changes, ensuring ongoing user proficiency.
Each client is assigned a dedicated EHS specialist who handles technical and regulatory support requests, monitors regulatory changes, and provides personalized assistance throughout the onboarding and ongoing use of the software.
Support is available via phone, email, and online channels during business hours (Monday–Friday, 9:00 am–5:00 pm). Clients can reach out for help with any aspect of the software, from troubleshooting to regulatory guidance.
ERA follows a tandem implementation process, combining system setup and user training. This approach ensures that new users learn the software using their own data and workflows, accelerating adoption and proficiency.
ERA provides free training for new employees joining the client’s EHS or regulatory team, ensuring continuity and knowledge transfer as teams evolve.
Clients have access to a library of training videos, written guides, and FAQs covering all aspects of the software. Additional training or consulting hours can be purchased if needed.
ERA EHS Software employs a comprehensive set of security measures to protect client data, ensuring confidentiality, integrity, and availability across its cloud-based platform. Below are the key security practices and features:
In Transit and At Rest: All uploaded data is encrypted before storage and decrypted according to business rules. Databases are encrypted at rest, and data transmission uses secure protocols to prevent interception or unauthorized access.
Bank-Level Security: ERA applies security protocols comparable to those used by international banks for handling and storing big data, ensuring robust protection against cyber threats.
Role-Based Access: The platform supports role-based access control (RBAC), allowing organizations to define user permissions and restrict access to sensitive information based on job roles and responsibilities.
Multi-Tenant Security: ERA’s architecture ensures that each client’s data is isolated and protected within a secure, multi-tenant environment.
Azure-Hosted Environment: ERA’s infrastructure includes Azure-hosted firewalls and security information and event management (SIEM) solutions, providing continuous monitoring and threat detection.
Controlled Entry: Strict controls are in place for access to production environments, reducing the risk of unauthorized access.
Regular Backups: Automated, regular backups are performed to ensure data can be restored in the event of accidental loss, corruption, or disaster.
Data Redundancy: Redundant storage and backup systems are in place to maintain business continuity and minimize downtime.
Anomaly Detection: The system includes automated alerts for uploads and flags anomalous or faulty data, enabling immediate detection and resolution of data issues.
Custom Validation Rules: Organizations can implement custom data validation rules to further enhance data integrity.
Comprehensive Audit Trails: All user actions and data changes are logged, supporting compliance with regulatory requirements and enabling traceability for audits.
Continuous Updates: ERA regularly updates its security protocols and software to address emerging threats and maintain compliance with evolving standards.
Monthly Updates: ERA EHS Software regularly releases updates, new features, and improvements. Updates are typically rolled out every month, with summaries of new features published each month.
Continuous Enhancements: The development team works daily to introduce upgrades, new reports, and system improvements, ensuring the software remains current with regulatory changes and user needs.

Right to Withdraw: Clients can withdraw consent for data processing or request data removal at any time by contacting ERA. The company commits to responding to such requests within 30 days, in accordance with GDPR requirements.
Dedicated Client Databases: Each client’s data is stored in a dedicated database within ERA’s cloud-hosted platform, ensuring data segregation and security.
Data Export and Access: ERA’s system supports data import and export, allowing clients to access, retrieve, and export their data as needed for reporting, compliance, or migration purposes.
End-of-Contract Data Handling: Upon termination of the contractual agreement, ERA detaches and deletes the client’s database from the production environment. Unless otherwise requested, a final backup is taken and retained for 365 days, as required by SOC II standards, after which it is purged.
ERA EHS Software is designed with flexibility to accommodate changes in organizational size, user count, and feature requirements. Here’s how scaling up or down is typically managed:
Additional user licenses can be purchased as your organization grows. Pricing is typically subscription-based, with per-user or per-module fees, allowing you to increase capacity as needed.
ERA’s platform is modular, so you can add new features or modules (such as air, water, waste, audits, or training management) at any time. This lets you tailor the system to evolving compliance or operational needs.
All clients receive the latest features and updates automatically, with no extra charges for upgrades or new versions, supporting seamless expansion without hidden costs.
As you scale, ERA supports integration with other business systems (ERP, HR, regulatory portals), ensuring data flows smoothly across your expanding operations.
If your organization needs to downsize, you can reduce the number of active user licenses, which will lower your subscription costs accordingly. Adjustments can be made at the end of a billing cycle.
Unneeded modules or features can be discontinued, allowing you to streamline your system and reduce expenses. ERA’s modular approach means you only pay for what you use.
ERA EHS Software typically operates on annual or monthly subscription models. To maintain access, subscriptions must be renewed at the end of each term.
Subscriptions may be set to renew automatically, ensuring uninterrupted service. Renewal terms and payment schedules are specified at the time of purchase.
If automatic renewal is not enabled, clients are responsible for renewing their subscription before the term expires to avoid service interruption.
ERA notifies clients of upcoming renewals. If a subscription is not renewed, access to the software and its features is suspended at the end of the paid term.
Any unused services or entitlements (such as unused Safety Data Sheets in certain modules) expire at the end of the subscription and do not roll over to future terms.
Annual subscriptions, whether paid monthly or annually, generally cannot be canceled early. Clients are committed to the full term once the subscription begins.
To cancel a subscription, clients must notify ERA, typically via a designated email address (e.g., [email protected]). Upon cancellation, access to the software ends after the current subscription period.
Refund Policy
For “No Contract On Demand” packages, a pro-rated refund may be issued based on the unused portion of the service. For “One-Year Commitment Plan” packages, a partial refund is available if the request is made within the first billing period (up to 30 days from purchase), calculated based on unused entitlements. After this period, no further refunds are provided, and clients are released from future payment obligations.
One-time annual payments are refunded in full except for the first month, which is refunded on a pro-rated basis if cancellation occurs within the first billing period.
Refunds are processed to the original payment method within 10 business days, provided the conditions for a refund are met.
