Reducing Users (Scaling Down): If a user leaves or is no longer needed, admins can remove that user from the account in the portal. This frees up the license for a new person, or it can be left unused until renewal. For annual plans, downgrading (reducing user count or switching to a lower tier) typically takes effect at the next renewal cycle—submit a downgrade request via support if self-service is not yet available.
Role and Permissions Management: You can adjust whether a user has dictation access, management permissions, or billing rights at any time without affecting the number of paid “seats”.
Subscription Upgrade: Increased user count is reflected instantly in billing and access. Organizations are invoiced for pro-rated additions if added mid-cycle.

Auto-Renewal: Annual contracts are set to automatically renew for another full year on the renewal date unless the customer notifies Talkatoo before the renewal date that they wish to discontinue services.
Notice for Cancellation: To prevent auto-renewal, customers must provide notification before the renewal date. If no notice is given, the contract renews automatically.
Monthly Plans: Monthly subscriptions do not commit and can be canceled at any time before the next billing cycle. Cancellation stops future recurring charges but does not result in a refund for the current billing period.
Annual Plans & 30-Day Money-Back Guarantee: Annual contracts come with a 30-day money-back guarantee. If the service is canceled within the first 30 days, users receive a full refund; after this period, no refunds are issued.
Refunds: No refunds are issued after the 30 period for annual plans, and the guarantee does not apply to monthly or certain human-scribe/Verified services.
