SMARTeIS
بواسطة Skill Quotient Technologies
The implementation process for SMARTeIS follows a structured, four-stage approach designed to ensure smooth deployment, compliance, and minimal disruption to business operations.
Discovery Phase – The process begins with a product demo and a consultation to understand the organization’s invoicing needs, compliance requirements, and system landscape. This stage typically involves scoping and proposal development.
Setup & Integration – This phase includes tenant setup, compliance workshops, KYC/document collection, and integration with existing ERP or POS systems (such as SAP or Oracle). Given SMARTeIS supports extensive integrations, this step may vary in duration depending on system complexity.
UAT & Testing – A sandbox environment is provided for user acceptance testing (UAT), allowing businesses to validate workflows, ensure regulatory compliance, and test invoice processing before going live.
Yes, SMARTeIS is highly customizable and designed to adapt to specific business, industry, and regional requirements. Key data points include:
Proof-of-concept (PoC) testing using real business data
On-premise licensing fees (higher upfront cost for enterprise deployments)
Bulk discounts or enterprise agreements for high-volume usage
Ongoing system maintenance and updates
SMARTeIS offers a structured onboarding and support framework to ensure a smooth user experience from implementation to daily operations. The process begins with discovery sessions and product demonstrations, helping organizations understand system capabilities and align them with business requirements. This is followed by compliance workshops that train users on regulatory requirements and system functionality.
During implementation, users gain access to a sandbox (UAT) environment, allowing them to test workflows, validate configurations, and familiarize themselves with the platform before going live. SMARTeIS also provides proof-of-concept testing using real business data, ensuring the solution meets operational needs prior to full deployment.
SMARTeIS incorporates robust, enterprise-grade security controls to protect sensitive financial and transactional data. It adheres to internationally recognized standards such as ISO 27001 for information security management and SOC 2 Type II for secure handling of customer data over time.
The platform operates on a secure Peppol-based infrastructure, ensuring standardized and protected data exchange between trading partners. It also supports data sovereignty and regional compliance requirements, including regulations like GDPR, enabling businesses to maintain proper data residency and privacy controls.
SMARTeIS follows a centralized and managed update approach, with a strong focus on compliance and system stability. The platform provides continuous regulatory updates, ensuring that changes in tax laws and e-invoicing mandates across different countries are automatically reflected in the system.
These compliance updates are typically included at no additional cost, reducing the burden on businesses to manually adapt to regulatory changes. In addition, SMARTeIS delivers ongoing maintenance and performance improvements, ensuring the system remains efficient and reliable.
SMARTeIS is designed to give organizations strong control over their data, even though detailed contractual terms are typically defined in individual agreements. Businesses generally retain ownership of their invoicing and transactional data, particularly when using the on-premise deployment option, which provides full control over storage and access.
With its cloud-based SaaS model, businesses can scale usage dynamically by increasing or decreasing transaction volumes, users, or integrations. Costs are typically volume-based, meaning organizations can expand operations with higher usage or reduce costs by lowering activity levels, depending on contractual terms.
Scalability at renewal – Organizations can expand scope (more countries, integrations, or invoice volume) or optimize costs during renewal cycles.
SMARTeIS is built with strong regulatory and industry compliance, making it suitable for global e-invoicing requirements. Key standards include:
Data sovereignty & privacy compliance – Supports regional data protection laws such as GDPR
Dual framework support – Handles both Peppol and non-Peppol invoicing environments
SMARTeIS includes localized compliance modules for multiple jurisdictions, including:
Belgium / Europe (BOSA and VAT frameworks) – Supports EU e-invoicing and VAT regulations
