Data security and privacy: All personal and usage data is stored securely and is accessible only to authorized personnel in line with the platform’s privacy policy.
Encrypted protocols: Third-party integrations (such as with OpenAI) utilize encrypted channels to protect data during transmission and adhere to strict security standards.
Confidentiality obligations: Both PlanPerfect and its users agree to treat all non-public data as confidential, with contractual obligations to protect sensitive information for up to five years after a contract ends.
Commercially reasonable safeguards: The platform implements standard security practices typical for SaaS products, though it notes that no online system can guarantee absolute security protection.
Data retention and deletion: Upon the end of service, user data may be retained for up to 90 days for legal or backup purposes, after which it is permanently deleted unless required by law. Users can request earlier deletion in writing and are encouraged to download data before account closure.
PlanPerfect releases platform updates and new features on a regular basis—typically monthly or as new enhancements are ready—using a cloud-based, SaaS delivery model. Updates are managed automatically by the PlanPerfect development team and are deployed seamlessly, ensuring users have immediate access to new capabilities, security improvements, and bug fixes without needing to manually install or configure anything themselves. Users are notified of important updates through in-platform announcements, newsletters, or support communications, allowing organizations to stay current with the latest best practices and system improvements.
PlanPerfect states that organizations control their strategic content and can take their data with them, providing self-service download/ export options and a defined post-termination retention window to facilitate portability and continuity. After service ends, data is retained for up to 90 days for legal/backup reasons and can be deleted earlier upon written request, reinforcing user control over disposition and retrieval timelines.
PlanPerfect provides flexible terms for scaling up or down to match changing organizational needs:
Users can upgrade their subscription anytime to add features, expand user access, or accommodate more advanced planning needs, with billing adjusted on a pro-rata basis for new service levels.
Downgrading—reducing features or user seats—can be requested through the account dashboard or by contacting PlanPerfect, and these changes typically take effect at the end of the current billing period, with the next payment reflecting the new reduced rate.
No penalties are imposed for scaling; users pay only for the level of service and number of licenses required, allowing nonprofits to right-size their plan as they grow or contract.
Administrators can adjust user roles and permissions as their team structure or engagement with consultants or board members changes.
PlanPerfect ensures that all strategic content, plan history, and customizations remain accessible and intact through scaling adjustments, preventing any data loss or disruption.
PlanPerfect’s contract renewal and cancellation terms offer nonprofits clarity and flexibility:
Automatic renewal: Subscriptions auto-renew at the end of each paid period unless the customer cancels before the renewal date.
Cancellation policy: Customers can cancel at any time via the account dashboard or by notifying PlanPerfect in writing. Service access continues until the end of the current paid term.
No refunds: Fees for completed or in-progress periods are generally non-refundable, except as required by law. Users are responsible for canceling prior to renewal to avoid unwanted future charges.
Notice and timing: Cancellation must be completed before the next billing cycle starts; otherwise, the next invoice will be due and payable.
Data export and retention: Users are encouraged to export/download their data before cancellation. After contract end, PlanPerfect retains user data for up to 90 days for legal, backup, or compliance purposes, after which it is deleted unless otherwise required by law.
Early deletion: Users can request expedited data deletion in writing; the process will comply with legal and contractual guidelines.
Service changes and scaling: Customers may upgrade/downgrade plans or change user counts at renewal points, with new charges pro-rated accordingly.
Termination for cause: PlanPerfect reserves the right to terminate accounts for breach of terms, misuse, non-payment, or illegal activity, with appropriate notice and data handling.
PlanPerfect meets essential compliance and data protection standards expected of modern SaaS applications for nonprofits:
GDPR compliance: PlanPerfect supports the General Data Protection Regulation (GDPR) by providing data access, correction, deletion, and export rights for users, as well as transparent data processing terms.
Confidentiality protection: Both PlanPerfect and its customers are contractually obligated to keep all confidential and non-public information secure for up to five years after the service ends, aligning with best practices for nonprofit and personal data.
Data privacy safeguards: User and organizational data is stored and processed according to strict privacy policies, with limited access provided only to authorized personnel or subprocessors under data protection agreements.
User rights management: The platform offers mechanisms for users to request data export, correction, or erasure in line with privacy law requirements, enhancing overall compliance posture.
