Link4

The implementation process with Link4 is designed to be as frictionless as possible, with two distinct paths based on the user's technology stack. For SMEs using cloud accounting software like Xero, MYOB, or QuickBooks, the process is a 'plug-and-play' experience that takes less than five minutes. Users simply sign up on the Link4 portal, authorize the connection to their accounting software, and Link4 automatically synchronizes the necessary customer and supplier data to begin exchanging invoices. For large enterprises and organizations using complex ERP systems like SAP or Oracle, Link4 provides a dedicated implementation team. This typically involves a discovery phase to map data fields, a sandbox testing environment to ensure secure transmission, and a final 'go-live' phase. ERP implementations are bespoke and can range from a few weeks to a few months depending on the level of customization and the organization's existing procurement workflows. Link4's support team provides hands-on guidance throughout the entire journey to ensure zero disruption to daily business operations.

Link4 offers extensive customization capabilities, particularly for its enterprise-level clients. While the core e-invoicing exchange follows standardized Peppol protocols, the 'Link4 Portal' allows users to configure custom approval workflows, setting multi-level authorization rules based on invoice value, vendor, or department. For ERP integrations, Link4 can map custom data fields (such as project codes, GL codes, or specific tax variants) to ensure that incoming invoices integrate perfectly with the company's internal ledger structure. The platform also supports white-labeling for partners and large organizations who wish to brand the e-invoicing portal for their own suppliers. Additionally, Link4's recent integration with AI tools allows for customized validation rules, where the system can be 'taught' to handle specific exceptions or business-specific routing logic, providing a tailored solution that mimics a company’s manual processes but at digital speed.

Link4 is committed to a transparent 'no hidden fees' pricing structure. For standard SME plans, the monthly subscription fee covers all core features including the Peppol access point, data delivery, and dashboard access. There are no setup fees for standard cloud accounting connections. For enterprise-level ERP integrations, there is typically a one-time implementation fee that covers the discovery, custom development, and testing required to bridge the ERP with the Peppol network. Ongoing maintenance and updates are included in the annual subscription. Support is generally provided free of charge via live chat and email, though 'Priority Support' or 'Dedicated Account Management' levels are available for a premium. Link4 also offers 'Link4 Payments' as an optional add-on, which may carry standard transactional fees typical of payment processing services. All costs are clearly outlined during the proposal phase, ensuring businesses can accurately budget for their digital transformation.

Link4 provides a comprehensive educational ecosystem to ensure users can maximize the platform’s value. New users are greeted with an automated onboarding sequence and a searchable knowledge base containing hundreds of articles and 'How-to' videos. For larger organizations, Link4 offers scheduled live training sessions for finance and AP teams, covering everything from basic navigation to managing complex exceptions. The company also hosts regular webinars on global e-invoicing trends, regulatory updates (such as those from the ATO or UAE FTA), and deep dives into new features. Technical documentation is available for IT teams managing ERP integrations, providing detailed API guides and security specifications. Furthermore, Link4's live chat support is staffed by e-invoicing experts who can provide real-time assistance during business hours, ensuring that any user—from a solo bookkeeper to an enterprise CFO—has the resources they need to succeed.

Security is the cornerstone of the Link4 platform. The company is ISO 27001 certified, demonstrating that it adheres to the highest international standards for Information Security Management Systems (ISMS). Data transmission is protected by bank-level SSL/TLS encryption, and Link4 employs a 'Server Separation' strategy to isolate sensitive data and prevent unauthorized access. As a Peppol-certified Access Point, Link4 operates within a highly secure, regulated network where every participant is verified, which significantly mitigates the risk of 'Man-in-the-Middle' attacks and invoice fraud. Link4 also implements multi-factor authentication (MFA) for user accounts and maintains a complete, immutable audit trail of every document processed. The platform is regularly audited by government authorities (such as the IMDA and ATO) to maintain its accreditation, ensuring it meets the stringent data privacy and security requirements necessary for handling sensitive financial information for both private and public sector clients.

As a cloud-native SaaS platform, Link4 follows a continuous deployment model, with updates and new features being rolled out regularly without any downtime for the user. Major feature releases, such as the AI-powered AP automation or new ERP connectors, are typically announced via the Link4 blog and monthly newsletters. Because Link4 is an 'add-on' to existing software, updates to its connectors are handled automatically on the backend; if Xero or SAP updates their API, Link4’s technical team ensures the integration remains seamless without the user needing to manually install new versions. The platform’s release cadence is driven by a combination of user feedback, technological advancements (like AI), and evolving global compliance standards. This ensure that Link4 users are always utilizing the most current, compliant, and efficient e-invoicing technology available on the market.

Link4 maintains a clear and ethical data ownership policy: the user retains 100% ownership of their financial data and invoice documents. Link4 acts solely as a data processor, facilitating the secure transfer and archival of information on behalf of the user. Invoices and related transaction data are stored securely in the cloud for the duration of the subscription, meeting most regional requirements for digital record-keeping. Users have the ability to export their data at any time in various formats, including CSV, PDF, and XML, ensuring high data portability and preventing vendor lock-in. If a user chooses to discontinue their service, Link4 provides options for a final data export to ensure all historical records are preserved for the company's internal compliance and audit purposes. Link4 explicitly guarantees that user data is never shared with or sold to third parties for marketing purposes.

Link4 is built on a scalable architecture designed to support a business at every stage of its lifecycle. For micro-businesses, the 'Lite' plan handles basic monthly volumes, while the 'Plus' and 'Premium' tiers are built for growing SMEs with thousands of monthly transactions and multiple users. At the top end, the Enterprise and Government tiers are designed for high-volume environments where tens of thousands of invoices are processed daily. The platform’s infrastructure, hosted on secure global cloud servers, is capable of handling rapid surges in data volume without performance degradation. As a business scales from a simple cloud accounting system to a complex ERP, Link4 can scale with them, providing a consistent e-invoicing experience while upgrading the underlying integration. This 'future-proof' capability ensures that organizations do not need to switch vendors as they grow, regardless of how large or complex their invoicing needs become.

Link4’s service is typically provided on a month-to-month or annual subscription basis, offering businesses flexibility and control over their commitment. Standard SME plans can be cancelled or modified directly from the user dashboard at any time, with changes taking effect at the end of the current billing cycle. For enterprise and custom ERP integrations, Link4 typically utilizes an annual contract structure with defined Service Level Agreements (SLAs) regarding uptime, support response times, and data security. Renewals are managed transparently, and the company provides ample notice before any changes to pricing or terms. Link4 also offers a 30-day free trial (and often extended 3-month periods during government mandate rollouts) to allow businesses to fully test the platform’s capabilities before making a financial commitment. All terms and conditions are aligned with local consumer and commercial laws in the regions where Link4 operates.

Compliance is a primary driver of Link4's development and market strategy. The platform is fully compliant with the Peppol international standard for e-invoicing, which is the mandated framework for government procurement in Australia, New Zealand, Singapore, and many European countries. Link4 is an accredited Access Point provider for the Australian Taxation Office (ATO), the New Zealand Ministry of Business, Innovation and Employment (MBIE), and Singapore's Infocomm Media Development Authority (IMDA). Furthermore, Link4 has been actively preparing its platform to meet the Federal Tax Authority (FTA) requirements in the United Arab Emirates, positioning it as a compliant solution for the regional digital tax mandate starting in July 2026. The platform’s ISO 27001 certification and adherence to GDPR-style data privacy principles ensure that it meets the most rigorous regulatory and security standards globally, making it a trusted partner for both government agencies and highly regulated private enterprises.
