The implementation process for eeCentral is a structured, multi-phase journey managed by a dedicated EBS project manager. It begins with a 'Discovery' phase where the implementation team analyzes the client's current data structures, pay codes, and HR workflows. This is followed by the 'Configuration' phase, where the eeCentral database is set up to match the company’s specific requirements. A critical step is 'Data Migration,' where historical employee data is cleaned and imported into the PaySuite database. After setup, the system undergoes rigorous 'Parallel Testing' for at least two payroll cycles to ensure that eeCentral's output perfectly matches the expected results. Finally, 'End-User Training' is conducted before the 'Go-Live' event. Depending on the complexity and number of modules, a typical implementation can take anywhere from 90 to 120 days. This thorough process is designed to ensure 100% data accuracy and a smooth transition for the entire workforce.
eeCentral is highly customizable, thanks to its modular architecture and flexible database design. Users can configure custom fields within employee profiles to track industry-specific certifications, equipment, or other unique data points. The PaySuite Analytics engine allows for the creation of completely bespoke reports and dashboards, meaning companies are not limited to 'canned' reports. Furthermore, the system supports custom workflow definitions for processes like leave approvals, performance reviews, and onboarding checklists. For companies with specific integration needs, eeCentral offers an API and supports custom data exports to ensure it fits perfectly within a larger corporate tech stack. UI customization is also available, allowing organizations to brand the Employee Self-Service (ESS) portal with their own logos and colors, providing a consistent experience for their staff.
EBS strives for transparency in its pricing, though clients should be aware of potential costs beyond the base subscription or license fee. Typical additional costs include 'One-Time Implementation Fees,' which cover the professional services required for data migration and configuration. 'Training Fees' may apply if an organization requires extensive on-site sessions or specialized training for new administrators. Annual maintenance fees are standard for on-premise deployments to cover ongoing updates and support. Additionally, certain high-volume services like 'Year-End Processing' (W-2/1099 printing and filing) or 'ACA Reporting' may carry separate service charges. Companies requiring extensive custom development or third-party integrations not covered by the standard API may also incur 'Professional Service Fees.' EBS provides a detailed 'Statement of Work' (SOW) during the sales process to outline all these potential costs clearly.
EBS offers a comprehensive training ecosystem to ensure that users get the maximum value from their investment. Training begins during the implementation phase with hands-on sessions for system administrators. Once live, users have access to a variety of learning resources, including 'Live Online Webinars' that cover new feature releases and legislative updates. 'In-Person Training' can be arranged at the client’s site or at EBS headquarters in Colorado for a deep-dive experience. The platform also includes a robust library of 'Training Documentation' and 'Video Tutorials' that walk users through common tasks like running a payroll cycle or setting up a new hiring requisition. For larger enterprises, EBS offers 'Train-the-Trainer' programs, empowering internal leads to onboard new employees efficiently. This multi-tiered approach ensures that both seasoned HR directors and first-time employees feel confident using the system.
Security is a core pillar of the eeCentral architecture, particularly given the sensitive nature of payroll and HR data. The cloud-based version is hosted in secure, Tier-3 data centers that feature 24/7 physical security and redundant power/cooling systems. Data is protected using 'AES 256-bit Encryption' both at rest and in transit (via SSL/TLS). The software employs 'Role-Based Access Control' (RBAC), ensuring that users only see the data they are authorized to access—a critical feature for maintaining privacy in a shared HR environment. Multi-factor authentication (MFA) is available to add an extra layer of protection to user logins. EBS also performs regular security audits and vulnerability scans to identify and mitigate potential threats. For on-premise clients, EBS provides guidance on best practices for securing their local server environment to ensure the PaySuite database remains protected from internal and external threats.
eeCentral follows a proactive update cadence, with major releases typically occurring twice a year and minor 'point releases' for bug fixes and security patches issued monthly. A critical component of their update cycle is the 'Tax Table Update' service; EBS automatically updates the software with the latest federal, state, and local tax changes to ensure payroll compliance at all times. In the cloud-SaaS model, these updates are applied automatically during off-peak hours with minimal downtime. For on-premise clients, updates are delivered via a secure portal with detailed installation instructions. EBS provides 'Release Notes' for every major update, detailing new features and improvements. This frequent release cycle ensures that eeCentral stays current with both the latest technological trends and the ever-changing landscape of HR and payroll regulations.
Employee Based Systems maintains a clear policy that 'the client owns 100% of their data.' This means that organizations have full rights to their employee records, payroll history, and reporting data at all times. eeCentral includes built-in tools for 'Data Export,' allowing users to pull information out of the system in standard formats like Excel, CSV, or PDF for external use or auditing. In the event that a client decides to terminate their relationship with EBS, the company provides a structured 'Data Handover' process to ensure the client receives a complete backup of their database. This commitment to data portability is a key part of their client-first philosophy, ensuring that businesses are never 'locked in' by inaccessible data. The single-database structure also makes it easier for clients to audit their own data for compliance or internal governance purposes.
eeCentral is designed to scale horizontally across an organization as it grows in size and complexity. The single-database architecture is capable of handling thousands of employees and high-volume payroll processing without performance degradation. For companies expanding into new regions, eeCentral supports 'Multi-Company' and 'Multi-State' configurations, allowing them to manage different legal entities with different tax requirements under one umbrella. As an organization adds more HR staff or managers, the system’s 'Role-Based Access' can be refined to maintain security while expanding access. The modularity of the system also aids in scaling; a company might start with only the payroll module and add 'Time & Labor' or 'Applicant Tracking' as their workforce management needs become more sophisticated. This 'grow-as-you-go' model makes eeCentral a long-term solution that can stay with a company from their mid-market phase through to enterprise scale.
The standard contract for eeCentral cloud services is typically a 'One-Year or Multi-Year Agreement' with annual renewal options. Termination usually requires a 30-to-90-day written notice prior to the end of the current term. For on-premise licenses, the software is owned by the client after the initial purchase, but an 'Annual Maintenance Agreement' (AMA) is required to receive ongoing technical support and tax table updates. The Service Level Agreement (SLA) for cloud hosting typically guarantees 99.9% uptime, excluding scheduled maintenance windows. EBS also includes clear 'Confidentiality Clauses' in their contracts to protect sensitive company information. Any custom development or consulting work is usually handled under a separate 'Statement of Work' to ensure clear expectations regarding deliverables and timelines. The terms are designed to be straightforward, reflecting EBS’s preference for transparent, long-term business partnerships.
eeCentral is built with a deep focus on US federal and state compliance. The payroll module is continuously updated to remain compliant with IRS regulations, including support for 'W-2' and '1099' filings, and 'W-4' and 'I-9' record keeping. The software helps organizations meet 'Affordable Care Act (ACA)' reporting requirements through automated tracking and form generation. For HR compliance, eeCentral includes standard reports for 'EEO-1' (Equal Employment Opportunity) and 'VETS-4212' filing. While primarily US-focused, the system's security and data handling protocols align with 'SOC 2' trust principles for security and confidentiality. The 'EBSHR' module also assists with 'FMLA' tracking and 'COBRA' administration, ensuring that companies stay within legal requirements for employee benefits and leave. By automating these complex regulatory tasks, eeCentral significantly reduces the risk of non-compliance fines and legal issues for its clients.
