The implementation process for EDICOM software specifically its global Electronic Data Interchange (EDI), Electronic Invoicing (e-Invoicing), and Integration Platform as a Service (EDICOMiPaaS) solutions—is handled as a fully managed service. Because EDICOM designs and manages its technology entirely in-house, its structured onboarding framework is engineered to align complex B2B workflow data with local legal requirements without disrupting daily business operations.
The Typical Implementation Process
EDICOM breaks down its technical deployment lifecycle into distinct, sequential operational phases:
Phase 1: Information Analysis & Scope Definition:
In this opening diagnostic stage, EDICOM project managers and engineers evaluate your current corporate infrastructure, target enterprise applications (ERPs like SAP, Oracle, or Microsoft Dynamics), and the critical business document schemas required. This establishes a baseline strategy aligned with international compliance goals.
Phase 2: Technical Definition of Integration Flows:
Engineers map exactly how information moves between your internal software and external stakeholders. They detail the exact data fields, mapping paths, transformation rules, and standard syntaxes (such as EDIFACT, ANSI X12, XML, or UBL) required for each automated transaction.
Phase 3: Cloud Platform Configuration:
EDICOM builds out your localized environment on its servers. Engineers configure transmission frequencies, security protocols (such as AS2, AS4, OFTP2, or SFTP), cryptographic encryption mechanisms, user access rules, system alarms, and linguistic variables across separate staging and production environments.
Phase 4: ERP Integration (via EDICOMiPaaS):
Using their proprietary cloud integration architecture, EDICOM implements data translators to establish communication directly with your back-end ERP, Warehouse Management System (WMS), or billing software. This guarantees that file drops or API commands generate compliant documents natively inside your system.
Phase 5: Trading Partner & Network Coordination:
EDICOM leads outreach to your supplier/client ecosystem to align communication parameters. Using self-developed onboarding portals, they coordinate connectivity changes (such as changing an AS2 ID or gateway routing configuration) across your partner list.
Phase 6: Testing, System Validation, and Go-Live:
End-to-end Systems Integration Testing (SIT) and User Acceptance Testing (UAT) are conducted using a dedicated testing sandbox. Transactions are systematically passed through validation loops to check business rule adherence before the deployment is shifted into active production.
How Long Does It Take?
The total duration of an EDICOM onboarding cycle is rarely a fixed timeline, as it scales relative to the structural complexity of your IT environment, your integration methodology, and geographic demands.
Standard / Legacy Portal Setup (2 to 4 Weeks):
If you are implementing a baseline, web-based platform with minimal backend custom mapping to connect to pre-existing hub networks, provisioning and initial account setup can be completed rapidly within 15 to 30 days.
Direct ERP Integration & Single Market Deployment (4 to 8 Weeks):
An implementation that involves building a direct API or flat-file pipeline between EDICOMiPaaS and an established, stable internal ERP to automate a specific process (such as local e-Invoicing compliance in a single market like France or Mexico) typically takes 1 to 2 months.
Multi-Country, Enterprise Global Hub Rollout (6 to 12+ Months):
For large multinational organizations migrating complex legacy systems to a single global EDICOM hub, the deployment is rolled out in structured, staggered waves. While the foundational hub connection is completed in the first few months, full network onboarding across 40+ international jurisdictions and thousands of external suppliers typically requires a phased, long-horizon schedule spanning up to a year or more.
The EDICOM platform is designed with a high degree of technical customization to accommodate the unique operational, structural, and regulatory requirements of global enterprises. Rather than forcing organizations to modify their internal systems to match a rigid framework, EDICOM relies on a modular, multi-standard cloud infrastructure—orchestrated through
EDICOMiPaaS and its proprietary translation engines—to mold its solutions around existing corporate workflows.
Below is a detailed analysis of the specific customization data points, capabilities, and technical vectors available within the EDICOM ecosystem.
1. ERP and Internal Software Customization (Data Mapping & Integration)
EDICOM acts as an adaptive middleware layer, ensuring that no matter how heavily customized an enterprise's internal systems are, data flows seamlessly to external partners.
Native ERP Adapters: The platform features specialized, customizable connectors for major global ERP environments including SAP (with certified modules like SAP PI/PO or SAP S/4HANA integration), Oracle Enterprise, Microsoft Dynamics, Infor, and Sage.
Proprietary Mapping Engine: EDICOM’s translation software allows engineers to build bespoke data transformation maps. If a company uses unique or highly customized proprietary databases, the platform extracts those non-standard internal files (flat files, IDocs, CSVs, or internal XMLs) and converts them perfectly into compliant B2B standards.
Hybrid Connectivity Models: Businesses can choose and customize how EDICOM interfaces with their local architecture, choosing between secure API integrations for real-time data exchange, traditional file-drop systems (SFTP/FTP), or localized software agents installed on-premise.
2. Document and Syntax Standard Adaptation
The platform eliminates communication barriers by enabling companies to customize the exact format, syntax, and language used for every transaction type across different industries.
Multi-Standard Syntax Support: The system can be configured to dynamically parse, validate, and output text in virtually any global electronic data format, including EDIFACT (retail/logistics), ANSI X12 (North American standard), VDA (automotive), ODETTE, UBL, and custom JSON structures.
Bespoke Business Rules: Within the data pipeline, organizations can hardcode custom validation checks. For example, a company can customize the platform to automatically reject an incoming invoice if it lacks a specific Purchase Order (PO) number or if a line item price deviates from a master contract matrix.
Cross-Transaction Linking: The workflow can be customized to auto-generate secondary documents. For instance, receiving an EDI 850 (Purchase Order) can be mapped to automatically trigger an internal picking ticket or draft a corresponding EDI 855 (Order Acknowledgment) tailored to that client's specific business parameters.
3. Workflow and Security Protocol Customization
Enterprises can configure exactly how data travels across the global network, choosing security paths that align with internal IT governance and risk management protocols.
Custom Communications Gateways: Through its global Value-Added Network (EDICOMNet), businesses can configure individual communication channels per trading partner. One partner connection can be customized to use an AS2 pipeline, a second via AS4, a third via OFTP2 (common in automotive), and public administrations via government-mandated endpoints.
Approval Flow Engineering via EDICOMSignADoc: Organizations can build custom internal approval routes for business documents. Before an invoice or contract leaves the corporate ecosystem, it can be routed through sequential internal approval steps, requiring specific cryptographic or digital signatures from designated staff.
Custom Reporting and Alert Dashboards: System administrators can build personalized alert frameworks. If an electronic transaction fails to clear a government portal or a partner's server fails to send an acknowledgment within a 4-hour window, the platform can be configured to send automated notifications to specific IT or accounts receivable teams via email, SMS, or webhooks.
4. Scalable International Compliance Customization (Localization)
As a global compliance engine, EDICOM allows companies to activate and customize localized modules depending on the specific countries they operate in.
Geographic Expansion Modules: A company can start by using EDICOM solely for electronic invoicing compliance in Mexico, and later activate customized modules for Italy's SDI, France's PDP framework, or Spain's SIRE without tearing down their foundational ERP integration.
Tax Clearance Workflow Configuration: In countries with strict clearance systems (where invoices must be approved by the state before being sent to the buyer), EDICOM modifies the data lifecycle to automatically reroute the document to local tax authorities (like the SAT in Mexico or the DIAN in Colombia) for instantaneous cryptographic stamping (timbres) before final routing.
Customized Archiving (EDICOMLta): Document retention settings can be customized to match the legal evidentiary requirements of different jurisdictions. While one country may require 5 years of certified cloud storage with time-stamping, another can be configured for 10 years, fully aligned with European eIDAS trust service criteria.
5. Tailored Partner Onboarding and Portals
For companies acting as supply chain "hubs" managing thousands of smaller "spoke" vendors, EDICOM provides customizable web portals to bridge technical gaps.
White-Labeled WebEDI Portals: For B2B partners who lack sophisticated ERP systems or EDI capabilities, EDICOM can deploy customized, white-labeled web portals. Suppliers can log into a interface that mirrors the hub company’s branding to manually view orders, enter shipping notices, and flip orders into invoices.
The security measures put in place by EDICOM to guarantee the confidentiality, integrity, and availability of corporate data include the following core dimensions:
1. Robust Data Encryption and Secure Transmission Protocols: To prevent data interception, tampering, or leaks during cross-border B2B and B2G communications, EDICOM enforces strict cryptographic standards across all transactional data pipelines.
End-to-End Encryption: Data managed within EDICOMiPaaS and its Value-Added Network (EDICOMNet) is fully encrypted both at rest within data centers and in transit across public or private networks.
Secure Enterprise Protocols: The platform supports and mandates high-level secure file transfer and communication protocols tailored to different industries, including AS2, AS4, OFTP2 (automotive), SFTP, and secure OAuth2/OIDC-protected REST/GraphQL APIs.
Firewalls and Perimeter Defense: The network boundaries are fortified with enterprise-grade Firewalls, Intrusion Detection Systems (IDS), Intrusion Prevention Systems (IPS), and Security Information and Event Management (SIEM) tools to detect and block malicious traffic in real time.
2. Qualified Electronic Signatures and Legal Trust Infrastructure: As an officially certified Qualified Trust Service Provider under European eIDAS regulations, EDICOM embeds legal-grade authentication and integrity checks into its software workflow.
Full-Document Cryptographic Signing: Unlike baseline providers that only sign the data segment sent to government tax agencies, EDICOM applies an additional protection layer by digitally signing the entire corporate invoice or contract. This preserves commercial terms, prices, and agreements against modification.
Qualified Time-Stamping: The platform applies immutable, synchronized time-stamps to every inbound and outbound transmission. This creates an indisputable chronological log that cannot be altered retroactively.
Tamper-Evident Long-Term Archiving (EDICOMLta): Historic records preserved for regulatory audits are locked within an environment that continuously monitors and verifies document hashes. This architecture shifts the burden of proof in legal disputes by guaranteeing files have remained unchanged since ingestion.
3. Strict Identity and Access Management (IAM): To control internal and external human access to financial repositories, EDICOM relies on granular, centralized user verification mechanisms.
Role-Based Access Control (RBAC): System administrators can customize user roles, ensuring corporate employees only see or interact with the specific data blocks, regional tax nodes, or document streams required for their specific job functions.
Single Sign-On (SSO): The platform natively supports enterprise identity integrations (SSO), allowing companies to unify EDICOM access credentials with their existing corporate security tokens and directories.
Comprehensive Audit Logging: Every integration cycle, modification, user login, and document download generates an unerasable audit trail, providing full visibility into exactly who interacted with the platform and when.
4. Infrastructure Redundancy and High Availability: To protect business data from physical disasters, hardware failure, or targeted cyberattacks, the company operates out of Tier-certified, redundant cloud environments.
99.9% Service Level Agreements (SLA): Backed by its ISO 22301 certification, EDICOM's system topology features fully duplicated active-active nodes to prevent any single point of failure from causing communication downtime.
Proactive Monitoring and Disaster Recovery: Specialized engineering teams provide round-the-clock 24/7 managed monitoring, running automated testing playbooks, scheduled backups, and rapid failover drills to minimize the Mean Time to Resolution (MTTR) if an anomaly is detected.
5. Rigorous Compliance Audits and Industry Certifications: EDICOM subjects its security measures to continuous, independent third-party validation to confirm compliance with global corporate and government security benchmarks.
ISO 27001 Certified: Confirms that EDICOM’s Information Security Management System (ISMS) operates under strict risk management methodologies, routine vulnerability scanning, and patch management protocols.
EDICOM’s policies on data ownership and data portability are governed by its operational model as a business-to-business (B2B) Software-as-a-Service (SaaS) infrastructure provider and its strict compliance with international privacy laws like the European Union's General Data Protection Regulation (GDPR).
Because EDICOM processes highly sensitive enterprise financial data, corporate invoicing, and supply chain logistics, its legal and structural framework clearly distinguishes between data control and data processing.
Data Ownership Policy
EDICOM operates under a strict "Data Processor" framework regarding corporate operational transactions. The customer maintains full, absolute ownership over all business data, files, schemas, and master records transmitted through the platform. EDICOM acts solely as an outsourced infrastructure layer and does not claim any intellectual property, ownership, or usage rights over the commercial transaction information flowing through EDICOMNet or EDICOMiPaaS.
Customer as Data Controller: Enterprise clients retain complete control over the definition, access rules, and lifecycle of the commercial records (such as purchase orders and invoices) uploaded to the platform.
Restricted Vendor Access: EDICOM’s system engineers and managed services teams only access active data payloads to execute automated mappings, structural transformations, protocol routing, or troubleshooting requests authorized by the client.
Proprietary Technology vs. Customer Data: While the customer owns 100% of their operational data, EDICOM retains exclusive ownership of the in-house code, translation mappings, custom heuristic modules, and software scripts developed to execute those data flows.
Data Portability and Extraction Policy
Data portability is handled through two distinct vectors: standard user-driven system extraction (B2B interoperability) and compliance with individual data privacy rights (GDPR). Because the platform is built entirely around standard open syntaxes, migrating information out of EDICOM does not suffer from vendor-lock silos.
Multi-Standard Format Exporting: Because EDICOM translates files into standardized formats (such as EDIFACT, ANSI X12, UBL 2.1, JSON, or XML), clients can extract their operational logs or archive history at any time. The data is inherently portable and formatted to integrate directly into secondary ERPs or third-party middleware setups.
Legal Archiving Extraction (EDICOMLta): For financial documents preserved under their certified long-term archiving module, clients maintain the contractual right to download, migrate, or export their legally valid, time-stamped document repositories. This ensures that even if a company closes its account, its historic records remain portable for tax audit purposes.
The EDICOM platform meets an extensive suite of international information security, operational, financial, and legal trust compliance standards. Because the platform acts as a critical cloud infrastructure layer handling over 1.5 billion financial transactions annually, its framework is strictly aligned with global standards to guarantee data integrity and operational resilience.
The core compliance standards and certifications met by EDICOM include:
1. Information Security and IT Service Management (ISO Standards): EDICOM's complete cloud infrastructure and operations are certified against international IT benchmarks to ensure the highest tier of logical and physical security.
ISO 27001 (Information Security Management): The primary international standard for information security. It validates that EDICOM utilizes robust data encryption (at rest and in transit), stringent access controls, vulnerability management, and strict incident response protocols to safeguard sensitive enterprise financial data.
ISO 20000 (IT Service Management): This standard confirms that EDICOM’s technical support, IT service delivery, and customer success lifecycles follow industrialized, efficient, and standardized global management processes.
ISO 22301 (Business Continuity Management) certifies that the organization maintains robust, redundant disaster recovery plans, high-availability architecture, and business continuity systems to guarantee continuous transaction routing in the event of major infrastructure failures.
2. Financial and Operational Auditing Assurance: To provide complete transparency for Fortune 500 companies and multinational clients outsourcing critical back-office financial workflows, EDICOM undergoes comprehensive third-party audits.
ISAE 3402 Type II & SOC 1 / SOC 2: The platform is evaluated under these global reporting frameworks. The SOC 1 / ISAE 3402 report verifies the effectiveness of internal controls impacting financial reporting, while the SOC 2 evaluation audits the system across the Trust Services Criteria: security, availability, processing integrity, confidentiality, and data privacy over extended observation periods.
3. Legal Trust Services and Digital Archiving: EDICOM functions as an officially accredited legal trust identity provider, enabling organizations to legally sign and permanently preserve transactional data.
eIDAS Regulation (Qualified Trust Services Provider): Under European Union law, EDICOM is formally certified as a Qualified Trust Service Provider. This designation legally empowers the platform to issue electronic signatures, electronic seals, qualified time-stamping, and secure electronic delivery services with maximum evidentiary value.
EDICOMLta (Certified Long-Term Archiving): The system complies with strict international data retention rules, leveraging eIDAS properties to provide legally binding, untamperable digital preservation of historic invoice sets that shift the burden of proof in the event of an external tax audit or commercial litigation.
4. Technical Interoperability Networks: The software is continuously certified to interface seamlessly across global public administration channels and open electronic networks.
Certified Peppol Access Point: The platform is an officially registered, certified Peppol Access Point compliant with the technical requirements of international Peppol authorities. This ensures direct, automated interoperability across the decentralized "5-corner" electronic models adopted globally, including European networks and the Peppol PINT AE specifications utilized in the UAE.
