What is HOA Software?

Homeowners Association (HOA) Software helps property and HOA managers handle their day-to-day administrative tasks related to housing communities, including single-family residential apartments and condominiums. These tasks include communication, accounting and financial management, property management, document management, and work order management.

HOA management system also helps property managers to track violations of community rules and manage the enforcement process. Depending upon the software’s features, the tool might also help residents access important information, such as upcoming events and contact details, payment due, and report maintenance issues.

What are the common features of HOA Software?

• Committee management: Create, organize, and coordinate committees within a community association. The feature helps property management professionals manage committee formation-related administrative tasks, including scheduling committee meetings, member assignments, communication, and task tracking.
• Member database: Maintain a comprehensive database of the residents, including their names, contact details, and mail addresses. The database links each member to their properties within the community, helping community managers track the status of each member’s membership, outstanding dues, and payment history.
• Payment processing: Handle financial and payment-related tasks associated with your HOA. The feature allows users to collect, track, and process online payments, typically in the form of dues and other financial contributions from members. It will enable members to use multiple payment options, such as bank transfer, credit cards, and other electronic payment methods, to pay their dues conveniently.
• Reporting and analytics: Generate various reports, including financial, membership, maintenance, and property details, to analyze data related to the management of the community association. Many software solutions enable property managers to customize these reports and analyze past and present trends to make informed decisions.
• Work order management: Manage and track maintenance and repair requests from residents. The software enables HOA board members and administrators to create work orders in the system, decide their priority levels, assign work to members, and track their progress to ensure timely completion.

What are the benefits of HOA software?

• Simplifies accounting and financial operations: HOA management software automates bookkeeping by recording financial transactions, including income and expenses. Moreover, it generates and sends invoices to homeowners, ensuring that HOA members receive accurate, timely payments. Many HOA solutions facilitate digital payments via bank transfer and credit cards, allowing residents to pay their dues online. All these help minimize human intervention and the risk of errors in operations.
• Enhances residents’ experience: The HOA management system provides an online platform for transparent communication between the HOA members and residents. Depending upon the software’s functionality, residents can use the tool to receive important society updates, announcements, and event notifications and stay informed about community news. The software also offers residents amenity reservations and voting options online to enhance their experience. Residents can also leverage the platform to submit maintenance requests and track their status.
• Keeps budget on track: HOA board members and administrators can utilize the platform to create the homeowner association’s budget within the software. The solution can help define income sources and fund allocation across various categories, such as maintenance and utilities. Users can monitor the budget in real time, tracking income and expenditures as they occur. The software also provides members with budget reports that help them compare the budgeted amount with the actuals, identify discrepancies, and adjust their expenses as needed.

How much does HOA software cost?

Most HOA management software products on the market are priced “per month,” and their entry-level pricing plan ranges from $10 to $79+*. An enterprise product that’s priced higher may include additional features such as event management, visitor management, HOA violation enforcement, and HOA fee collection.

*The pricing included is for the entry-level/lowest-priced offerings found on vendor websites as of October 6, 2023.

Key considerations when purchasing HOA software

• Consider the size of your association. Before investing in the best HOA software solution, consider your association's size and functional requirements. If you manage a small association with limited units or households, a basic tool with simple features, such as accounting and communication, could be helpful for you. However, if you need to manage a large association with numerous members, you’ll need a solution with advanced capabilities, such as maintenance tracking, online voting, and document management.
• Assess the accounting capabilities. Accounting is one of the most important and complex tasks of HOA management. Consider a tool that offers features such as billing and invoicing, real-time budget management, general ledger, invoicing, bank reconciliation, expense tracking, and financial reporting to simplify financial management for community managers. Your shortlisted tool should integrate with other modules, such as accounting and payment processing, for seamless data synchronization.
• Look for data security features. Data security features in HOA tools are required to protect sensitive information, ensure privacy, and safeguard data against security breaches. The best HOA software solution often includes features such as access controls, data encryption, user authentication, data backup, audit trails, firewalls, and regular software updates to maintain data integrity and prevent tampering. These features also help HOA members ensure compliance with data protection regulations, such as the General Data Protection Regulations (GDPR) and state data protection laws.
