What is Financial Management Software?

Financial management software helps manage financial transactions within a business and keeps a record of cash flow. It performs functions such as maintaining audit trails, delivering budget reports, automating financial processes, and complying with accounting standards.

Financial management software is often compared with accounting software. However, the latter simply records and reports the movement of money and assets. Financial management software, on the other hand, uses those records to manage income, expenses, and assets to maximize profits. The tool also analyzes the financial stability of the business and makes predictions about future financial performance.

Benefits of Financial Management Software

• Automates financial processes: As businesses grow, their financial processes become more complex to coordinate, execute, and track. A financial management system helps streamline these processes. From automatically generating balance sheets and profit-and-loss (P&L) statements to approving or rejecting budgets and travel expenses, the tool is capable of automating various financial processes.
• Makes financial information accessible: Financial data often resides in multiple databases, which may be spread across multiple locations. This makes obtaining, managing, and analyzing financial data difficult. As a result, generating a comprehensive view of a business's financial standing gets challenging. However, financial management software centralizes all financial information, making it easily accessible to all users across departments.
• Facilitates regulatory compliance: Financial management software provides audit trails that capture all changes in the financial records. This helps control budget approval limits and set thresholds. The tool also includes advanced reporting capabilities that capture financial activities such as expenses and loan requests. All of these functionalities help a business stay compliant with financial regulations. Moreover, this tool also allows businesses to see how changes in financial rules and regulations will impact their operations.
• Aids strategic business planning: Financial management software allows finance executives to forecast future events. The tool helps them find answers to questions such as how emerging market trends will affect the business or what can be expected financially by acquiring a small business. By creating and assessing such "what if" scenarios, finance professionals can identify new business opportunities, set financial goals, and make informed and strategic business decisions.

Typical features of Financial Management Software

• Data visualization: Visualizes balance sheets, P&L statements, cash flow statements, and more in the form of graphs and charts.
• Financial analysis: Analyzes a business's financial state by evaluating cash flow and income statements, among other financial records.
• Financial reporting: Generates documents detailing a business’s financial activities over different time periods, typically on a quarterly and yearly basis.
• Budgeting/forecasting: Helps with financial planning by creating plans and estimates about the expected income and expenses of the business in the upcoming year.
• Cash management: Collects and manages cash inflow and outflow by tracking transactions on a daily basis.

Cost of Financial Management Software

Most products in the market are priced on a per-user, per-month basis and can be divided into three pricing tiers based on their starting price.

Price ranges*:

• $8 - $13
• $14 - $69
• $70+

*The pricing included is for the entry-level/lowest-priced offerings found on vendor websites as of September 21, 2022. These ranges correspond to the 25th, 75th, and 100th percentiles of pricing information gathered from vendor websites of sample products.

The above list includes pricing for the base plans of most products. An enterprise or premium product that is priced higher may include additional features such as bank reconciliation, compliance management, investment management, and tax management.

Considerations when purchasing Financial Management Software

• Look for an activity dashboard: An activity dashboard is a centralized location wherein the finance team can find an overview of all finance-related activities. It visualizes various reports into graphs and tables in yearly, monthly, and daily formats, allowing users to easily grasp the presented information. Therefore, go for a financial software solution that offers an activity dashboard if you want to keep tabs on financial records in an easy-to-understand format.
• Analyze compliance management features: It is important for a business to adhere to various financial laws and regulations to avoid fines and legal action. A financial management solution mitigates this risk as it captures and audits every financial transaction and helps control budget approval limits. These tools also allow small business owners to alter their financial activities based on changes in laws, allowing businesses to function with integrity. Hence, thoroughly analyze these features to ensure compliance with location-based regulations.
• Assess financial automation functionality: Automation of financial processes ensures the finance team doesn't spend its time doing repetitive tasks such as budget approval, expense tracking, invoice generation, and journal entry creation. Opt for financial software with automation features to save time on such tasks.
